There is no single “Copilot replacement” for every Microsoft service being retired. The right substitute depends on the task: use Windows 11 Voice Access for hands-free control, Copilot for conversational help, Outlook and Microsoft 365 web services for contacts, files and calendars, and Teams for the consumer Skype transition. The Microsoft 365 app’s rename to Microsoft Copilot is a rebrand, not the replacement of Word, Excel, Outlook or PowerPoint.

This guide separates actual retirements, migrations and name changes, then gives a practical choice and transition plan for each affected function.

What Microsoft is actually retiring, migrating or renaming

“Services being replaced by Copilot” combines several unrelated changes. Microsoft’s documented changes fall into three categories:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Retirement: a feature or app is removed and users must use another way to perform the task.
  • Migration: a service moves to another product, as consumer Skype users move toward Teams.
  • Rebrand: an app changes name while continuing to provide substantially the same access to other products.

Microsoft 365 (Office) app Renamed Microsoft Copilot app Rename applies across web, mobile and Windows The renamed app still provides access to other Microsoft 365 applications

Microsoft Support’s Get started with Microsoft 365 companions states: “The Microsoft 365 companion apps will be retired on December 16th, 2026.” The retirement applies to those companion apps, not to the underlying files, calendar events or contacts, which Microsoft says remain available in Microsoft 365 services.

Best replacement for Cortana: choose by the job you need done

Cortana covered several different jobs under one name: controlling Windows by voice, finding information, helping with work content and interacting with messages or calendars. Those jobs now have different destinations. Treating Copilot as a feature-for-feature Cortana substitute leads to missing controls and false expectations.

For hands-free Windows control: Windows 11 Voice Access

Microsoft points Windows users to Voice Access in Windows 11 when they need to operate the computer by speaking. Voice Access is an accessibility and control feature: it can open applications, select controls, dictate text and issue commands. It is not the same thing as a conversational AI assistant, and it should not be expected to answer general questions or summarize a work file.

  1. Open Settings in Windows 11.
  2. Go to Accessibility > Speech > Voice access. Windows build updates can change the exact label or placement.
  3. Turn on Voice access and complete the voice-model or language setup shown on screen.
  4. Use the available command list to learn commands for opening apps, clicking controls, scrolling, dictating and correcting text.
  5. Test the commands in a non-critical document before relying on them for work. A noisy room, microphone permissions or an unsupported language can reduce recognition accuracy.

Voice Access is the closest documented destination for Cortana’s Windows-control role. It does not restore Cortana’s old reminders, conversational behavior or integrations.

For questions, drafting and content help: Copilot

Use Copilot when the task is conversational: explain a concept, draft text, brainstorm, summarize or help reason through information. Copilot in Microsoft 365 applications can assist with work content where the account, application and license support that feature. Availability and capabilities vary by tenant, subscription and administrator settings, so confirm what your account exposes rather than assuming every Copilot experience has the same access.

Copilot is therefore a task replacement, not a universal Cortana replacement. It can help produce an answer or draft, but it does not automatically provide the operating-system controls that Voice Access provides, and it does not recreate every retired Outlook mobile voice function.

For Outlook mobile voice search and Play My Emails

Microsoft retired Outlook mobile voice search and Play My Emails in June 2024. If you used those features, plan for a different workflow:

  • Use Outlook’s current text search and filters to locate messages.
  • Use the mobile operating system’s built-in accessibility and text-to-speech tools when listening to mail is important.
  • Use Copilot only where it is available in your Outlook experience and where its permissions match the information you want analyzed.
  • For urgent messages, create a repeatable rule or focused folder instead of depending on a retired voice command.

There is no documented statement that one new voice feature reproduces both Outlook mobile functions exactly. Keep that distinction in mind when evaluating an assistant.

For Cortana features inside Teams and Microsoft 365 mobile

Cortana in Teams mobile, Teams display, Teams Rooms, Outlook mobile and Microsoft 365 mobile retired in fall 2023. The practical replacement is the combination of each app’s current navigation, search, notification and accessibility controls, plus Copilot where your organization has enabled it. Review the current controls in the specific app and device you use; a command available in desktop Teams is not automatically available in Teams mobile or a Teams Room.

Alternatives to the Microsoft 365 People, Files and Calendar companion apps

The People, Files and Calendar companion apps are scheduled to retire on December 16, 2026. Microsoft says the data itself remains in Microsoft 365 services. You do not need to recreate every contact, event or document merely because a companion-app icon disappears. You do need to establish a replacement workflow before the date.

Files: use the service that owns the file

For documents stored in OneDrive or SharePoint, open them from the Microsoft 365 web experience, OneDrive, SharePoint or the relevant Office application. The companion app was a shortcut and overview layer; it was not a separate storage location.

  • Identify whether each important file is in OneDrive, a SharePoint site, a Teams-connected library or local storage.
  • Pin frequently used libraries or folders in the service that hosts them.
  • Confirm that collaborators still have the required permissions and that offline copies are synchronized.
  • Export or download a local backup of irreplaceable material according to your organization’s retention policy.

Do not assume that a file visible in a companion view is stored locally. Check its location and sharing status in the owning service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Calendar: use Outlook’s calendar views

Open your calendar through Outlook on the web, Outlook for Windows or Outlook mobile, depending on the account and device. Recreate the views you relied on—day, work week, shared calendars, categories or reminders—in Outlook rather than waiting for a replacement companion icon.

  • Verify that recurring meetings, time zones and shared-calendar permissions appear correctly.
  • Check delegates and room calendars if you manage scheduling for other people.
  • Keep notifications enabled for appointments that are time-critical.
  • For a second account, add the account to Outlook or use its organization-approved calendar client instead of copying events manually.

People and contacts: use Microsoft 365 or Outlook contact views

Contacts remain in Microsoft 365 services after the companion-app retirement. Use the contacts or People view available in your Microsoft 365 or Outlook account to search, edit and organize them. Before the retirement date, verify which account owns each contact; a personal account, a work account and a device-only contact list can behave differently.

  • Review duplicate entries and outdated phone numbers.
  • Confirm that important contacts are synchronized to the intended account.
  • Export contacts if your organization permits it and if you need an independent backup.
  • Test contact lookup from the mail and calendar apps you actually use.

A transition checklist for the 2026 retirement

  1. List the companion-app actions you perform weekly: opening a file, checking a shared calendar, finding a contact or switching accounts.
  2. Map each action to its owning Microsoft 365 service.
  3. Set bookmarks, app shortcuts or pinned folders for those destinations.
  4. Test access on every device and account before December 16, 2026.
  5. Remove obsolete shortcuts only after you have confirmed that files, events and contacts are present in the service that stores them.

The date is a currently documented future date. Recheck Microsoft’s support notice as it approaches in case Microsoft changes the schedule or supported access methods.

What replaces consumer Skype?

Microsoft announced on February 28, 2025 that consumer Skype was moving toward Teams. This is a migration to a communications product, not a Cortana or Copilot feature replacement. Consumer Skype and Skype for Business are separate cases: Microsoft describes Skype for Business as unaffected by the consumer change.

Use Teams for consumer conversations

For ordinary consumer chats, calls and meetings, install or open Teams Free and sign in with the account used for Skype. The exact migration experience, retained history and calling options can change, so follow the current in-product instructions rather than deleting Skype first.

  1. Confirm whether you use consumer Skype or Skype for Business.
  2. Install the current Teams app on your phone or computer, or open the supported web experience.
  3. Sign in with the Microsoft account associated with consumer Skype.
  4. Review which contacts, chats and meeting links are available.
  5. Test a message and a call before relying on Teams for an important appointment.
  6. Keep any needed Skype records or account information according to your personal or organizational retention requirements.

Calling and phone numbers require an entitlement check

Some paid-service users may have access to a Skype Dial Pad through Teams Free. That does not mean every Teams Free account can call telephone numbers. Check your current entitlement, region and account type before promising inbound or outbound phone service. A Teams chat account and a phone-number-enabled calling plan are different things.

If your priority is calling landlines or mobiles, compare the options available to your account by checking:

  • whether you need a phone number or only internet-to-internet calls;
  • which countries and regions are supported;
  • whether emergency calling is available and correctly registered;
  • how credits, subscriptions or organization licenses are billed;
  • whether contacts can be reached without installing the same app.

If you use Skype for Business

Do not migrate a Skype for Business deployment solely because consumer Skype is moving toward Teams. Microsoft states that Skype for Business is unaffected by the consumer change. Follow your organization’s administrator or Microsoft 365 migration plan for that separate product.

Is Microsoft Copilot replacing Word, Excel, Outlook or PowerPoint?

No. Microsoft renamed the Microsoft 365 (Office) app the Microsoft Copilot app across web, mobile and Windows. Microsoft says the renamed app continues to provide access to other Microsoft 365 productivity applications. The name change alone is not evidence that Word, Excel, Outlook or PowerPoint has been replaced.

Think of the renamed app as a front door. Copilot may be the prominent assistant or entry point, while the individual applications remain the tools that open, edit and manage documents, spreadsheets, email, presentations and calendars. Continue using the application that owns the file or workflow unless Microsoft gives your account a specific migration notice.

How to choose an alternative without losing a needed feature

Start with the function, not the product name. Use this decision table when evaluating Microsoft’s documented destinations or another service your organization has approved.

Your primary need First option to evaluate What to verify
Control Windows by voice Windows 11 Voice Access Windows edition and build, language, microphone permissions, command coverage and accessibility requirements
Ask questions or draft content Copilot or Copilot in a Microsoft 365 app Account eligibility, administrator policy, data permissions, supported applications and whether the answer needs current web information
Find or edit a document OneDrive, SharePoint or the Microsoft 365 web experience File location, sharing rights, synchronization, offline access and retention policy
Check appointments Outlook calendar Account type, shared calendars, delegates, time zones, reminders and mobile notifications
Find a person or phone number Microsoft 365 or Outlook contacts Which account owns the contact, synchronization status, duplicate records and export permissions
Chat or call other consumers Teams Free during the Skype transition Migration status, contact availability, call type, region and phone-number entitlement

Compatibility and accessibility questions

Before switching, answer these questions for your actual devices and accounts:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Does the option run on your operating system and on older devices your household or team still uses?
  • Can you sign in with a personal account, a work account or both?
  • Does voice input work in your language and environment?
  • Can the service be used with a screen reader, keyboard-only navigation or other assistive technology?
  • Will your data stay in the same tenant or move to a different provider?
  • Can you export contacts, files, messages or calendar events if you later change services?
  • Are phone calls, recordings, storage or AI features included, metered or separately licensed?

Common transition problems and fixes

“The replacement is installed, but my data is missing.”

First confirm the signed-in account. A personal Microsoft account and a work or school account can expose different files, contacts and calendars. Then check whether the data belongs to a SharePoint site, OneDrive account, Outlook mailbox or another service. Do not create duplicates until you have checked the original location and permissions.

“Voice Access does not understand me.”

Check microphone selection and permissions, complete the language setup, reduce background noise and try the built-in command list. If you need conversational answers rather than control commands, use Copilot for that separate task.

“Copilot cannot see the document or mailbox information I expected.”

Copilot’s access depends on the account, application, license and administrator policy. Open the file in its owning Microsoft 365 application, confirm that you have permission to view it and check whether your organization restricts AI features. Do not paste confidential material into an assistant that is not approved for that data.

“Teams does not show my Skype phone calling.”

Check whether you had a paid Skype calling entitlement and whether it is eligible for access through Teams Free. Internet chat and calls do not automatically include calls to telephone numbers. Verify the current regional and account requirements before purchasing a new plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The Microsoft Copilot icon makes it look as if Office disappeared.”

Open the renamed app’s application list or launch Word, Excel, Outlook or PowerPoint directly. The rename changed the app’s identity, not the documented availability of those productivity applications.

A practical migration plan

  1. Inventory tasks. Write down the exact actions you perform in Cortana, the companion apps or Skype instead of starting with a brand name.
  2. Separate data from interface. Identify where each file, event, contact, conversation or phone entitlement is stored.
  3. Choose the narrowest replacement. Use Voice Access for control, Copilot for assistance, Outlook for calendar and contacts, Microsoft 365 services for files, and Teams for the consumer Skype transition.
  4. Test with a low-risk example. Open a non-critical file, create a test calendar event, message a contact or place a nonessential call.
  5. Protect continuity. Export or back up data where permitted, document account credentials and retain recovery methods.
  6. Recheck dates and entitlements. The companion-app retirement is scheduled for December 16, 2026, while Skype migration details and calling eligibility can change.
