BambooHR applicant tracking takes a candidate from job application through review, offer, and onboarding. To use it effectively, set up a role-specific application process, keep candidate stages aligned with your real hiring steps, coordinate feedback and communication, and confirm that your account permissions support each task. Exact menus and available features can vary by account, so use your administrator or BambooHR’s current customer help materials for screen-by-screen directions.
1. Set up the job opening and application
Start by defining the role and what you need to learn from applicants. BambooHR describes job posting as the entry point to its hiring workflow; the specific steps for creating an opening depend on your account’s interface and permissions.
Choose application questions that relate to the job and help reviewers assess candidates consistently. BambooHR’s customization guide describes question formats including short or long text responses, yes/no, multiple choice, checkboxes, and file uploads. Custom questions can be saved for reuse. Avoid collecting information that is not needed for the hiring decision.

2. Bring applications into a shared review process
Applications may come through the careers experience and, where configured, an external job-board integration. Integrations are not necessarily available in every region or account. For example, BambooHR’s SEEK integration update describes a regional workflow in which applicants complete required fields and then appear on the Candidates tab for the relevant job opening. Do not assume that another job board follows the same process; check availability and requirements for your region and subscription.
Once candidates are in the opening’s review process, make sure reviewers know where to find the application and how to share their assessments. BambooHR describes collaborative candidate review, alerts, in-system messaging, ratings, and feedback in its Hiring app. These are product capabilities described by BambooHR; the particular features visible to your team depend on your account configuration.

3. Review candidates and keep stages meaningful
Use consistent, job-related review criteria
Review each application and resume against the role requirements, and assess responses to the application questions using the same criteria across candidates. Gather interviewer feedback in the hiring workflow where available, and communicate with candidates in a timely way.
Customize candidate statuses to match your process
Use a concise sequence of stages that reflects how your organization actually hires. BambooHR supports custom candidate statuses, so teams can represent steps such as interviews, assessments, or checks when those steps apply. There is no universal status list: a useful sequence is one that reviewers understand and update consistently.

For administrators using the API
BambooHR’s public API documentation supports listing applications with filters and sorting, retrieving application details, adding comments, updating statuses, and creating candidates. The applications endpoint documents filters including job ID, application status IDs or groups, job status groups, search string, sorting, and a submission-time cutoff. Its newSince parameter expects a documented UTC timestamp format; follow the API reference rather than assuming a date format from another system.
BambooHR’s ATS API overview says the API allows users to view job and application summaries and details and add comments to an application. API references document developer capabilities; they do not establish the exact user-interface path for performing the same tasks.

4. Communicate with candidates and prepare offers
BambooHR describes candidate communication features, customizable offer-letter templates, and electronic signatures. At a practical level, prepare the appropriate offer, verify the candidate and position details, send it through your configured workflow, and track the response. The exact labels, approval steps, and required legal terms depend on your employer’s setup and jurisdiction.
5. Hand the hire into onboarding
BambooHR says candidate data can transfer into employee records after a hire. It also describes customizable onboarding kits that can provide new hires with information and paperwork before their first day. Confirm which handoff and onboarding features are enabled in your account before relying on them as part of your process.

When an option is missing or access is denied
Some ATS actions depend on user permissions, and API access must be enabled for API requests. BambooHR’s API documentation identifies insufficient permissions and disabled API access as reasons for 403 responses. If a feature is missing or an action is denied, ask your BambooHR administrator to review your role and the relevant feature or API access. Public materials do not establish every subscription tier or permission name.
