AI time tracking software combines time capture with machine-learning features that classify activity, suggest timesheet entries, flag attendance exceptions, and produce reports. It can reduce manual data entry and improve payroll or project visibility, but an AI-generated entry is only a suggestion: employers still must verify hours, pay for every hour worked, and give employees a way to correct errors.

The right choice depends less on the word “AI” than on what the system captures. Some tools suggest logs from work applications after an employee permits it; others record mobile punches, locations, schedules, breaks, or geofenced attendance. Those differences affect privacy, legal compliance, cost, and employee trust.

What AI time tracking software does

Traditional time tracking asks a worker to start and stop a timer, enter a timesheet, or punch a clock. An AI-enabled system may perform some of that work automatically and then present a draft for approval.

Common AI functions

  • Activity classification: The software associates time spent in desktop or web applications with a client, project, task, or cost code.
  • Timesheet drafting: It turns observed activity, calendar information, or prior patterns into suggested time entries.
  • Exception detection: It can flag missing punches, unusually long shifts, possible overtime, overlapping entries, or a break that appears to be missing.
  • Natural-language assistance: An employee or manager can ask questions about logged time, policies, schedules, or approvals in a chat interface.
  • Reporting: The system summarizes billable hours, project progress, attendance, utilization, and payroll-ready totals.

These functions are not interchangeable. A tool that drafts project entries from permitted application activity is materially different from one that records GPS coordinates or takes screenshots. “AI time tracking” is therefore a category, not a single monitoring method.

How it differs from ordinary automation

Rules-based time clocks apply fixed conditions: a punch at 8:00 a.m., a 30-minute break, or an overtime threshold. AI attempts to infer context, such as whether time in a browser belongs to a particular client. Inference can save typing, but it can also misclassify personal browsing, research for several projects, training, meetings, travel, or work performed away from a tracked device. Keep a human approval step for any entry that affects wages or an invoice.

How the main approaches compare

Approach Typical capture Best fit Important trade-off
Automatic activity capture Web and desktop applications, with AI allocation and draft timesheets Project-based agencies, consultants, and teams that need detailed billable analysis More useful detail can mean greater privacy and policy obligations; employees need visibility and correction controls
Payroll and field/mobile workflow Mobile punches, schedules, approvals, geofencing, break or overtime alerts, and payroll synchronization Hourly, distributed, or field teams whose records must flow into payroll Location and schedule data require clear notice, limited access, and retention rules
Consent-centered assistance Questions and suggested logs; no monitoring or logging without explicit employee permission Small teams prioritizing employee control and voluntary project logging Less automatic capture may require more employee input
Low-cost attendance QR, web, and mobile clock-ins, approvals, AI chat, and policy assistance Small businesses that primarily need attendance and approvals Confirm whether advanced project, payroll, and reporting features are included in the selected plan
Combined HR platform in early access Employee-visible measurement, role-based access, tenant isolation, and an AI HR copilot Organizations wanting time data alongside HR workflows Early-access terms and security certifications can change; a vendor describing SOC 2 as “in progress” is not yet SOC 2 certified

Examples illustrate the range. Timely says it tracks time across web and desktop apps, allocates it automatically, and drafts AI timesheets. QuickBooks describes mobile entry, approvals, scheduling, geofencing, payroll synchronization, and project tracking. Justworks emphasizes overtime alerts, meal- and rest-break reminders, geofencing, and payroll sync. Toggl says its AI can answer questions and suggest logs but cannot monitor employees or log time without explicit permission. Kinmu advertises QR, web, and mobile tracking with approvals and AI assistance. Timeely describes employee-visible measurement, role-based controls, and an AI HR copilot while stating that SOC 2 is in progress.

Is AI time tracking legal?

Federal recordkeeping baseline

For covered nonexempt workers in the United States, the Fair Labor Standards Act requires employers to keep accurate records of hours worked and wages. The U.S. Department of Labor’s Fact Sheet #21 says payroll records should generally be retained for at least three years. Records used to calculate wages—such as time cards, schedules, and wage-rate tables—should generally be retained for two years. The rules do not require a particular format: a time clock, employee-entered hours, or another method is acceptable when the records are complete and accurate.

What “smart” entries do not change

The Department of Labor’s Field Assistance Bulletin 2024-1 states: “Use of these ‘smart’ entries, however, does not relieve an employer of the obligation to ensure that records are accurate and that an employee is paid for all hours worked.” Managers should therefore review exceptions, provide employee correction access, and capture off-schedule work, overtime, travel time, training, and required breaks. A manager’s approval does not cure an entry that leaves out compensable time.

State, local, and contract requirements

State and local wage laws, industry rules, collective-bargaining agreements, and biometric or electronic-monitoring statutes can impose additional notice, consent, break, retention, or access requirements. Before enabling GPS, screenshots, biometrics, or detailed activity capture, have qualified counsel review the jurisdictions in which your employees work. Do not assume that a policy lawful in one state is sufficient everywhere your business operates.

Can an employer track employees without them knowing?

Secret monitoring creates legal and employee-relations risk and is unnecessary for a compliant rollout. Tell workers what is collected, when collection occurs, why it is needed, who can see it, how long it is retained, and how to challenge an entry. Toggl’s statement that its AI cannot monitor employees or log time without explicit permission is a useful consent benchmark, even though other products offer automatic capture or location features.

Data to identify explicitly

  • Application names, website addresses, document titles, or screenshots
  • GPS coordinates, geofenced events, travel routes, or device location history
  • Biometric identifiers, keyboard or mouse signals, and idle-time calculations
  • Clock-in and clock-out times, schedules, breaks, approvals, and edits
  • Project, client, payroll, and invoice information

Controls that protect employees

  • Use the least intrusive capture that meets the business purpose; user-entered project time may be enough for a consulting team.
  • Show employees their raw events, AI suggestions, edits, approvals, and audit history.
  • Allow corrections and comments without routing every change through an administrator.
  • Restrict administrator and manager access by role; separate client visibility from employee records.
  • Set deletion and retention periods, then enforce them rather than retaining data indefinitely.
  • Document notices or consent required in each jurisdiction and prohibit monitoring outside stated work purposes.

What to compare before buying

Ask vendors to demonstrate the complete path from capture to an approved payroll or invoice record. A polished AI demo is not enough if the export omits edits or the mobile app cannot work where employees have poor connectivity.

Decision area Questions to ask
Capture scope Is time entered by the worker, inferred from applications, captured by GPS, or recorded through a clock? Can each method be enabled separately?
Visibility and consent Can employees see collection in real time, pause it, correct entries, and review who accessed their data? What notices and permissions are supported?
Payroll and accounting Which payroll or accounting systems synchronize directly? Are pay codes, overtime rules, breaks, departments, and approved edits transferred?
Projects and billing Can the system handle multiple clients, billable versus nonbillable categories, budgets, rates, and invoice exports?
Mobile and offline behavior What happens without a signal? When are punches or location events uploaded, and can a manager see that an entry was recorded offline?
Auditability Are original values preserved when someone edits a suggestion? Can you export approvals, corrections, access logs, and exception history?
Security and isolation How are tenants separated? Which roles can view locations or screenshots? What encryption, incident notification, deletion, and backup policies apply?
Total cost Is billing per employee, active employee, user, location, or feature? Add implementation, payroll connectors, storage, and premium support to the subscription price.

How much does AI time tracking cost?

Published pricing is uneven and changes frequently. Kinmu displays $3 per active employee per month on its pricing page, with QR, web, and mobile tracking, approvals, AI chat, and policy assistance described alongside the offer. That is a vendor-displayed price, not a guarantee that every feature, region, tax, or future billing term is included.

Pricing information reported by the vendor Qualification
Kinmu: $3 per active employee per month Displayed pricing accessed in 2026; verify current inclusions and geography
Timely: 14-day trial Offer stated on its product page; trial terms can change
Timeely: free early access for founding customers Early-access offer; availability and future pricing are not established
Other products Plan tiers, trials, or sales-led pricing; a comparable public figure is not stated

Estimate cost using your highest likely active headcount, not only the current number of employees. Confirm whether contractors, managers, multiple workspaces, payroll connectors, geofencing, screenshots, storage, and historical exports incur separate charges.

Can AI-generated timesheets be wrong?

Yes. Common errors include assigning a meeting to the wrong client, treating research as idle time, missing work done on a phone, counting a commute as work, duplicating overlapping applications, and failing to recognize an unscheduled after-hours task. Location data can also be inaccurate indoors or when a device loses connectivity.

A practical correction workflow

  1. Let the employee review the draft before submission.
  2. Require a reason or comment for material edits, without penalizing good-faith corrections.
  3. Route overtime, missed breaks, overlapping shifts, and unusually long days to a manager exception queue.
  4. Preserve the original suggestion and the final approved value in an audit trail.
  5. Export approved records to payroll or invoicing only after exceptions are resolved.
  6. Sample approved entries each pay period and compare them with schedules, calendars, tickets, or other independent evidence.

Never use an AI confidence score as proof that hours were worked. The record must reflect actual compensable time, including time that the software did not observe.

Does it integrate with payroll?

Many systems advertise payroll synchronization, but “integration” can mean anything from a one-way CSV export to a direct connector that maps employees, pay codes, overtime, breaks, departments, and approved edits. During a trial, run a complete test with a regular shift, overtime, a corrected punch, a missed break, and an employee who works across two projects. Reconcile the resulting payroll preview with the approved timesheet and verify that edits remain traceable.

A low-risk implementation plan

  1. Define the purpose. Decide whether the goal is payroll accuracy, project billing, attendance, scheduling, or all of these. Reject data collection that does not serve a documented purpose.
  2. Choose the least intrusive capture. Start with employee-entered or consent-based suggestions before enabling screenshots, GPS, biometrics, or detailed application monitoring.
  3. Write the employee policy. Explain collection, purpose, access, retention, correction, consent, off-schedule work, and contacts for questions. Account for every jurisdiction where staff work.
  4. Configure rules and roles. Set overtime and break rules, projects, pay codes, approval chains, mobile behavior, geofences, and administrator permissions.
  5. Run a small pilot. Include office, remote, mobile, hourly, and project-based workers if those groups exist. Compare AI suggestions with actual hours for at least one complete pay cycle.
  6. Test failures deliberately. Turn off connectivity, edit a punch, work after schedule, miss a break, change projects, and export payroll. Record what employees and managers see.
  7. Launch with correction access. Train staff to review drafts and report missing time. Treat corrections as a control, not as evidence of employee misconduct.
  8. Audit continuously. Review overtime, breaks, access logs, retention, payroll reconciliation, and recurring misclassifications. Adjust rules or disable capture that creates more risk than value.

Which approach fits a small business?

  • Choose automatic activity capture when billable project allocation is the primary need and your team accepts transparent, consent-based application tracking.
  • Choose payroll and mobile workflows when hourly attendance, schedules, breaks, geofencing, and payroll synchronization matter more than detailed desktop activity.
  • Choose a consent-centered assistant when employee trust and voluntary logging are priorities and the business can tolerate more manual entry.
  • Choose a low-cost attendance tool when you need simple QR, web, or mobile clock-ins and approvals, but verify project and payroll features before committing.
  • Evaluate an early-access platform cautiously when you want integrated HR features; confirm support, data export, security status, and what happens if the early-access terms end.

Frequently Asked Questions

What does the U.S. Department of Labor say about AI-generated time entries?

Field Assistance Bulletin 2024-1 says: “Use of these ‘smart’ entries, however, does not relieve an employer of the obligation to ensure that records are accurate and that an employee is paid for all hours worked.” Employers must review exceptions and maintain a correction process.

How long should U.S. employers retain time records?

The Department of Labor generally says to retain payroll records for at least three years and records used to calculate wages, such as time cards and schedules, for two years. State or local rules may require longer retention.

What should an employee do when an AI timesheet is wrong?

Use the system’s correction workflow, describe the missing or misclassified work, and notify the designated manager or payroll contact before approval. Keep personal notes about the dates and hours until the correction appears in the approved record.
