Yes—you can use many AI assistant features without connecting your accounts. Start with ordinary chat or a document you choose to provide. If a task needs more access, check whether the assistant will read a connected account, control an app on your device, or work inside an authenticated browser session. Those are different kinds of access, and none of the available safeguards guarantees that sensitive information will never be processed.
What “account access” can mean
An assistant does not need a formal account connection to encounter account information. Access can come from several places, with different consequences:
- Prompt or file: You provide text or a document for the assistant to use. This avoids granting access to the account where the information came from, but the material you submit is still shared with the service.
- Connected account: You authorize a provider to access a service such as email or a calendar. Depending on the connection and its settings, the assistant may read information or take actions.
- Device permission: A mobile assistant may request access to information such as location, calendar entries, or health data.
- Computer use: An assistant may see screen content and interact with windows, menus, keyboard input, or clipboard state in an app it is permitted to use.
- Authenticated browser: A browser agent may work in a session that is already signed in. Google’s Gemini privacy notice, for example, identifies remote-browser cookies containing website authentication information and page content as data that can be processed for applicable features. The practical question is not simply whether an assistant is “connected.” Ask what information it can see, whether it can change or send anything, how long permission lasts, and how to revoke it.
How to use an assistant with the least access
- Try the task without an agent. Ask a normal chat question or provide only the specific text or file needed. If that works, do not connect an account or enable computer use.
- Identify the source of the information. If the task requires a calendar, inbox, or another service, find out whether the feature uses an account connection, a device permission, screen control, or an authenticated browser.
- Review the exact scope. Check which account and data the feature can access, and whether it can only read or can also send, edit, delete, purchase, or change settings.
- Choose a narrow approval option. When offered, prefer read-only access, ask-before-action controls, or permission for a single task over persistent access. The labels and choices differ across products.
- Stay present for sensitive work. Close unrelated sensitive apps and windows. Review any proposed action before approving it, especially for communications, payments, security changes, or changes to important records.
- Revoke access when finished. Remove the connected provider account or device permission if you no longer need the feature. Changing an in-app permission setting may not revoke the provider’s authorization.
These steps limit exposure; they do not prove that a service never processes sensitive information. Review the service’s privacy and retention controls separately from its access permissions.

How access works in current assistant features
These examples describe specific features, not a universal privacy ranking. Availability and settings may vary by account, plan, device, region, and rollout.

Two settings that are easy to confuse
Permission to use a connection
An assistant’s app-level setting controls how it may use a connection already made. ChatGPT’s available examples include “Always ask,” allowing reads while asking before changes, and allowing low-risk actions; options depend on the account, app, connected account, and workspace. Sending messages, changing files or records, changing security settings, making purchases, or sharing sensitive information may require review. Authorization to the provider account
The account connection itself is a separate grant. OpenAI states that changing an app permission does not disconnect the app or revoke access already granted to the provider account. If your goal is to stop future access through that connection, disconnect the provider account rather than relying only on the app’s permission setting.
When to avoid agent access
Prefer ordinary chat, manual sharing of a specific document, or no AI assistance when a task involves sensitive records and the feature’s access is broader than the task requires. Anthropic specifically says it does not recommend computer use on apps with sensitive healthcare, financial, or other personal records; screenshots may reveal visible private information. Microsoft likewise advises against giving Copilot Tasks sensitive personal data that you would not want used for activities performed on your behalf.

For consequential actions, use a workflow where you can inspect and approve the exact action before it happens. An approval prompt is a useful control, but it is not a substitute for limiting what the assistant can see in the first place.

Permission prompts, read-only modes, and account disconnection can narrow access, but they do not establish that a product is objectively safer than another or that no data is processed. They also address a different question from retention and model-improvement settings. Review those privacy controls separately, and check the current product documentation because features, eligibility, and rollout can change.
