Remote deposit capture (RDC) is a way for a financial institution to receive deposit information electronically from checks or other deposit documents captured away from a bank branch. For consumers, it usually means photographing a check in a bank’s mobile app; businesses may use a check scanner and banking service. Whether RDC is available, what it costs, and which deposits qualify depend on the bank.

What remote deposit capture means

The Federal Deposit Insurance Corporation’s FFIEC guidance defines remote deposit capture as a deposit delivery system in which a financial institution receives digital information from deposit documents captured at a remote location. In everyday use, “remote” means the check is captured somewhere other than the bank’s own processing site, such as on a customer’s phone or at a business office.

RDC describes the electronic capture and delivery method, not a guarantee that every bank accepts every check through it. Banks set service eligibility, supported deposit types, limits, fees, and processing terms.

How remote deposit capture works

  1. Prepare the check. Follow your bank’s endorsement and deposit instructions. Some banks require a specific endorsement notation for mobile or remote deposits.
  2. Capture the check. A consumer generally uses a mobile banking app to photograph the front and back. A business may use a compatible check scanner if its bank supports that setup.
  3. Submit the deposit. The app or banking service transmits the images and associated payment information to the financial institution.
  4. The bank processes it. The institution handles collection and settlement through applicable check-processing arrangements. Follow any instructions about retaining or disposing of the original check.

The submitted phone photo is not automatically a “substitute check.” Under U.S. Check 21 law, a substitute check is a particular paper instrument created from an electronic image that meets statutory requirements. The Federal Reserve explains Check 21 and substitute checks at its Check 21 FAQ.

Is mobile check deposit the same as RDC?

Mobile check deposit is a common consumer form of RDC: the customer captures check images with a smartphone and sends them through the bank’s app. The broader RDC term also covers business services that capture checks with scanners and transmit deposit information to a bank. The specific tools and workflow vary by financial institution.

Do you need a scanner?

Not necessarily. A consumer using mobile deposit typically uses a phone camera rather than a dedicated scanner. A business may use a check scanner when its bank offers scanner-based RDC. Hardware, software, and compatibility requirements are bank-specific, so confirm them with the institution before buying or leasing equipment.

What Check 21 does—and does not—require

In the United States, the Check Clearing for the 21st Century Act (Check 21) took effect on October 28, 2004. It supports electronic check processing and establishes the framework for substitute checks, which can be legal equivalents of original checks when statutory conditions are met. It does not require every bank to accept electronic check submissions or to create substitute checks. The Federal Reserve’s overview is available in its Check 21 FAQ.

Funds availability is a separate question. Regulation CC addresses check collection and funds availability, and Check 21 did not itself change the maximum hold times described in the Federal Reserve’s FAQ. The time your deposit becomes available depends on applicable rules and your account terms; RDC does not promise immediate access or faster availability than another deposit method. Benefits, limits, and costs

RDC can let customers submit deposits without taking checks to a branch, while electronic delivery can reduce paper handling for financial institutions. The service still comes with bank-specific conditions. Before relying on it, check the terms that affect your use:

  • Who is eligible and which accounts or check types are supported
  • Mobile-app or scanner requirements, deposit limits, and image-quality rules
  • Funds-availability timing and any holds
  • Instructions for retaining the original check after submission
  • Monthly, per-item, equipment, or other service fees

Commercial RDC pricing varies by institution and customer. A 2011 Federal Reserve document identifies possible fee categories—including monthly service, per-item, equipment lease or purchase, and other fees—but those categories are not current price quotes. Ask your bank for its present fee schedule and service agreement.

What businesses should compare

When evaluating commercial RDC, compare the terms that shape your actual deposit workflow rather than assuming services are interchangeable. Ask the bank about eligibility, mobile versus scanner capture, supported devices, item and deposit limits, availability timing, all recurring and equipment fees, image-retention instructions, customer support, and fraud controls.

For financial institutions, RDC can reduce processing costs and improve customer access, but it also introduces risks beyond traditional deposit delivery. FDIC/FFIEC guidance discusses controls for image capture and exchange, legal and compliance exposure, operations, and risk monitoring. This is institution-focused guidance, not a consumer checklist or a new rule.
