Before sending a board, check the audience and permission; before exporting, decide whether you need a visual snapshot or structured data; and before restoring history, confirm whether the app replaces the working file or creates a separate copy.
How do you share a canvas with people inside or outside your organization?
Check three things before sharing: who can open the link, whether they can view or edit, and whether your organization permits the sharing route. Product settings and the way a board is stored or opened can change what is possible.
Microsoft Whiteboard
Microsoft Whiteboard lets users invite individuals or groups, select “Can edit” or “Can view,” and create a link. The standard collaboration path described in Microsoft’s getting-started guidance is for people in the organization. External sharing has extra conditions: the external participant needs an eligible account and guest relationship, and the organization must allow external file sharing. Microsoft says external participants must be invited using a “Share with specific people” link; an organization-wide link will not work for this case. See Microsoft’s external-sharing guidance.
Whiteboard behavior also depends on the scenario, including whether the board is used in a Teams meeting, call, client, or channel/chat tab, and whether it is stored in OneDrive for Business or older Azure storage. For example, Microsoft’s administration guidance says a Whiteboard added as a Teams channel or chat tab supports in-tenant collaboration, but not external users or Teams guests in that scenario. Check the specific route rather than assuming Whiteboard either always permits or never permits external collaboration.

Figma and FigJam
A Figma file link is live by default: it opens the current file state, subject to the recipient’s access. A link to a previous version instead lets a collaborator view that iteration while work continues. Figma says a recipient needs edit access to view a previous-version link. The same guide distinguishes viewing history from changing it: anyone with “Can view” access can browse history, but only “Can edit” users can create, name, remove, or restore versions. FigJam also documents view-only file exploration and temporary open sessions, which are different from ordinary file access. Its temporary open sessions allow editing for up to 24 hours. See FigJam’s file-exploration documentation.

Can you export a board to PDF, an image, or CSV?
Usually, but available formats and what they preserve differ. A PDF or image is useful for sharing a visual record; CSV can be more useful for extracting certain text or table data. Neither should be assumed to be a complete, editable backup of the original canvas.

Miro: check export access and fidelity
Miro’s export guide lists JPG, PDF, SVG, and CSV. PDF export places frames on separate pages. CSV can include board text and selected fields, but Miro says comments are not included in exported documents, frame titles do not appear unless represented as text widgets, and voting results cannot be exported through the documented flow. Tables retain their structure in CSV; other board structure and relationships ordinarily do not. Miro states: “At the moment, CSV export doesn’t keep board structure and relationships.”

Availability can depend on the plan, browser or device, board permissions, and content settings. Miro’s guide says high-resolution export without a watermark is not available on the Free plan, and its documented matrix does not support mobile board export. Confirm the options in your own board and account before relying on an export.
FigJam: export data or copy content to a design file
FigJam’s import and export guidance lists PNG, JPG, and PDF image exports, plus CSV export for sticky notes and FigJam tables. It also supports copying board contents into a Figma Design file. These routes serve different purposes: an image export is a visual record, CSV carries specified sticky-note or table data, and copying into a design file moves content into another editable environment rather than producing a standalone board backup.
How does version history help you recover an earlier board?
History can help inspect or recover an earlier state, but retention, permissions, and the meaning of “restore” vary. Check whether recovery changes the current board or creates a separate working copy, and keep independent backups for important work.

Miro: restore into a separate board
Miro says boards are backed up every hour when a change has been made and at the end of each collaborative session. Saved history versions are retained for 90 days, according to its board-history documentation. The board owner, co-owner, and eligible editors can use history; editor eligibility depends on team membership and whether copying board content is allowed.

Miro creates a separate board from the selected version with a dated default title, so the current board remains available. Miro also warns that unforeseen network issues may prevent a board from being backed up; history should not be treated as infallible or as the only backup.

Figma: inspect, duplicate, share, or restore a version
Figma’s version history supports viewing snapshots, creating and naming versions, duplicating an earlier version into a new file, sharing a specific version, and restoring. The retention available depends on the team type: the help page says Starter-team members can view 30 days of history, while Professional and Education teams or organizations can access the entire file history. These are the retention terms stated in Figma’s version-history guide.
Restoring is described as non-destructive: Figma adds autosave checkpoints, and comments from later versions remain, though deleted comments are not recovered. Use duplication when you want a past version in a separate file while leaving the current file intact; use a version link when someone needs to inspect a specific past state while work proceeds.

- Audience: Is access limited to named people, your organization, or a broader link audience? Does external sharing require a guest account or administrator approval?
- Permission: Is the recipient allowed to view, edit, inspect history, or restore a version? Those may be separate capabilities.
- Export purpose: Do you need a visual snapshot, selected structured data, or an editable copy? Check whether comments, relationships, frame information, or other content is omitted.
- Recovery behavior: Does restore alter the working file, create a separate board, or allow a duplicate? Confirm the history window and eligible roles.
- Independent backup: Export or back up important work separately from in-app history, especially where the vendor notes that backups can fail or where exports omit board structure.
For Microsoft Whiteboard users with personal Microsoft accounts, Microsoft has scheduled the standalone Whiteboard apps’ retirement for October 16, 2026. As of October 5, 2026, that date is upcoming. Microsoft says work or school account users can continue using the listed supported web, Teams, and OneDrive entry points; check the retirement notice for current availability and supported routes.
