Choose based on the service your organization needs around email—not just the inbox. Gmail for Google Workspace brings email together with Google chat, Spaces, and meetings; Exchange Online is hosted email that Microsoft sells on its own and includes in some Microsoft 365 plans. The right choice depends on your users’ workflows, required plan features, and whether your data and access arrangements can migrate cleanly.

First, compare the right services and plans

Here, “hosted Microsoft Exchange” means Exchange Online, not an Exchange server your organization runs itself. The comparison is not automatically one mailbox plan against another: Google Workspace packages Gmail with other Workspace services, while Microsoft offers Exchange Online as a standalone subscription and as part of some Microsoft 365 bundles. Compare the bundles and editions that meet your needs, in your country and at the billing term you expect to use. Google’s edition comparison is available in its Workspace plan comparison; because that page is for a particular locale, confirm local editions and terms before buying.

How their day-to-day collaboration differs

Gmail within Google Workspace

Google describes Gmail as an integrated workspace where users can access email, direct messages, Spaces, and audio or video meetings. Depending on configuration, users can also share and edit files in Spaces, use shared task lists, and search across email and chat. This can suit organizations that want those interactions close to their inbox. These features are not guaranteed to appear for every account: administrators control availability. Exchange Online with Outlook-centered work

Exchange Online is hosted email. It may be the more natural fit when an organization’s email processes and administration are already built around Outlook and Exchange. Whether Exchange is purchased alone or as part of Microsoft 365 affects the total package; the standalone mailbox price is not a like-for-like measure of a Workspace subscription. Neither service is inherently more productive: the practical question is whether users benefit from Google’s integrated Gmail workflow or prefer to stay with their existing Microsoft-centered setup.

Exchange Online mailbox and archive limits—and US-listed prices

Microsoft’s US Exchange Online business-plan listing shows the following standalone plans. Prices are in US dollars per user per month, paid yearly, on the US listing accessed in 2026; they are not global prices or a market-wide comparison. Storage figures are Microsoft plan specifications, not independent measurements. Check current terms and eligibility before purchasing.

These are distinct primary-mailbox and archive allowances, and Exchange limits depend on subscription. Plan 2’s US listing also highlights built-in data loss prevention (DLP). A comparable current Google Workspace price was not established here, so these figures alone cannot show which service costs less.

What to verify before moving from Exchange to Gmail

A migration is a data-and-workflow change, not simply a transfer of messages between inboxes. Google documents that Exchange email folders map to Gmail labels, and its migration guidance identifies limitations in what can be transferred. For example, the cited documentation lists send-as settings and delegation among unsupported Exchange settings; calendar behavior also has limits and monitoring points. That is a reason to test your actual setup, not a prediction that every organization will have the same outcome.

  1. Inventory what users rely on. Record mailboxes and folder structures, shared mailbox access, delegation, send-as permissions, calendars and recurring events, archives, public folders, retention obligations, legal holds, and mail settings. Treat these as checks to investigate rather than assuming each item migrates.
  2. Check the current migration path. Google’s Exchange Online migration documentation says Workspace Migrate for Exchange Online will no longer be available starting October 2026 and directs administrators to its advanced data import tool. Since that transition is time-sensitive, verify which tool and supported process are currently available before setting a cutover date. Google separately documents Exchange Online email and calendar migration and its limitations.
  3. Pilot representative accounts and workflows. Include users with delegated or shared access, complex calendars, archives, and relevant compliance requirements. Compare the results with the inventory, check migration monitoring, and resolve gaps before scheduling the wider move.
  4. Plan for the post-migration workflow. Confirm how users will find mail under Gmail labels, regain any access or settings that need manual attention, and handle data or configurations the selected tool does not support.

Google states that its migration tool does not delete or modify existing Exchange Online data, but also notes that some features are not supported in Workspace. Do not treat that statement as a substitute for a backup, a tested migration plan, or review of your organization’s retention and legal obligations. Compare security and retention by requirement, not by label

Broad descriptions such as “secure email” do not establish that two editions meet the same security, retention, eDiscovery, or data-location requirements. Translate your policies into required controls, then confirm those controls for the exact provider edition and subscription under consideration. The available plan information is not a complete feature-by-feature parity audit.

Google client-side encryption

Google says Workspace encrypts data at rest and in transit between its facilities, and Gmail uses TLS with other email providers. Its additional client-side encryption (CSE) is limited to specified editions and adds encryption to message bodies, inline images, and attachments—not email headers such as the subject, timestamps, and recipients. Recipient and administrator conditions also apply. If CSE is a requirement, verify the edition and operating conditions in Google’s Gmail client-side encryption documentation.

Microsoft plan-specific controls

Microsoft highlights built-in DLP for standalone Exchange Online Plan 2. That detail does not establish equivalence with Google’s controls or settle which service satisfies a particular retention or compliance policy. Confirm the features and limits attached to the Microsoft plan or Microsoft 365 bundle you would actually buy.

Which service should your organization choose?

  • Lean toward Gmail for Workspace if your organization wants email alongside Google Chat, Spaces, and Meet in Gmail, and the relevant features and controls are available in the Workspace edition you will use.
  • Lean toward Exchange Online if users and processes already depend on Outlook and Exchange, or if a Microsoft plan’s mailbox, archive, or other included features fit your requirements. Verify whether standalone Exchange or a Microsoft 365 bundle is the appropriate comparison.
  • Pause before switching if shared or delegated access, calendars, archives, public folders, legal holds, or retention requirements are central to your operation and have not yet been validated against the migration tool and destination setup.
  • Compare total cost only after specifying the package. Include the services, security and compliance controls, storage, billing term, and local pricing your organization actually needs. The US Exchange prices above are not comparable to an unspecified Workspace edition or a different regional offer.

There is no universal winner. A sound decision follows from workflow fit, required mailbox and archive capacity, verified plan-level controls, local total cost, and a migration pilot that accounts for the organization’s real dependencies.
