An invoice is more than a list of charges: it is a structured financial record connecting what was supplied, the taxable amount, the tax calculation, and the amount due. The required fields and the rules for calculating and rounding tax depend on the jurisdiction and invoice type. For invoicing software, those rules should be an explicit calculation policy—not an assumed universal formula.

What details belong on an invoice?

There is no universal invoice checklist. Requirements vary by jurisdiction and may also depend on whether the document is a full, simplified, or retailer invoice. For example, HMRC’s UK VAT guidance describes the contents of a full VAT invoice, while Spain’s Tax Agency distinguishes complete and simplified invoices. Use the rules governing the transaction rather than treating one country’s fields as a global standard.

UK full VAT invoice example

HMRC’s VAT guide (VAT Notice 700) lists information for a full UK VAT invoice including:

  • A unique, sequential invoice number.
  • The tax point and, if different, the invoice issue date.
  • The supplier’s identity and VAT number, and the customer’s name and address.
  • A description of the goods or services, with relevant quantity or extent of services.
  • The VAT rate and net amount, the gross total, and total VAT expressed in sterling.
  • The unit price where applicable, and the cash-discount rate if a discount is offered.

HMRC has separate provisions for simplified and retailer invoices. Spain’s Tax Agency likewise describes complete and simplified invoice categories and their respective content. See its VAT invoice-content guidance for that jurisdiction.

How do you calculate tax on an invoice?

Start with the taxable base: the amount to which the applicable tax rules and rate apply. Then calculate tax at the required precision, apply the relevant rounding policy, and derive the amount payable. The rate, what belongs in the base, and the calculation rules must come from the jurisdiction and transaction—not from a generic invoice template.

Swedish example: calculate before rounding

The Swedish Tax Agency gives an example in which a gardening consultant charges SEK 3,500 for plants, SEK 720 for work, and SEK 247.75 for mileage. The taxable base is SEK 4,467.75. At 25%, VAT calculates to SEK 1,116.9375 before rounding; rounded to SEK 1,116.94, the total is SEK 5,584.69. This is the agency’s example for Sweden, not a recommended rate or calculation rule for other places. The example appears in the agency’s invoice-content guidance, 2026.11 edition.

When should invoice tax be rounded?

Rounding is not merely a display choice: the point at which it happens can change the tax total. A policy should specify whether tax is rounded per unit, line, or document, as well as the precision retained before rounding and the applicable rounding method.

UK guidance distinguishes invoice traders from retailers

HMRC’s UK VAT Notice 700 describes a concession under which invoice traders may round down total VAT payable to a whole penny. It also describes consistent line calculations using specified increments. The notice says this concession is generally not appropriate for retailers. HMRC’s manuals separately explain that it cannot require retailers to account for more tax than the law provides, and that a retailer may choose a fair and reasonable approach to rounding up or down. Those are UK-specific distinctions, not a rule for all sellers. Saudi e-invoicing standard uses document-level rounding

ZATCA’s XML implementation standard for Saudi e-invoicing specifies two-decimal document totals and document-level rounding for VAT-category tax, rather than summing rounded line VAT amounts. This is an example tied to that implementation standard, not a universal requirement; verify the standard’s current version and applicability before using it as an implementation requirement. The cited standard is dated 24 June 2022: E-Invoicing XML Implementation Standard.

How should invoicing software handle money math?

Store the calculation policy alongside the invoice data so the displayed lines, tax, and payable total can be reproduced and reconciled. At minimum, make these choices explicit for each applicable jurisdiction and transaction type:

  • The taxable base and the items included in it.
  • The tax rate or rates applied.
  • The calculation precision retained before rounding.
  • The rounding method and whether rounding occurs per unit, line, or document.
  • Whether prices and totals are tax-exclusive or tax-inclusive.
  • The currency of the taxable amount and the currency in which tax must be expressed.
  • The invoice type and the legal rules that govern its required fields.

Line-level and document-level rounding can produce different totals. If software calculates one way but displays or exports totals using another, the tax total may not reconcile with the lines. The UK, Swedish, and Saudi examples above show why a system should apply a defined policy consistently rather than silently mixing calculation levels.

What changes for electronic invoices?

Electronic format does not by itself remove invoice-content or record-integrity requirements. HMRC says electronic VAT invoices must contain the information required for paper VAT invoices. Its guidance also describes conditions around electronic transmission and says authenticity of origin, integrity of data, and legibility must be ensured for electronic invoices used as evidence for input tax deduction under the normal rules. These are UK VAT guidance points; check the relevant jurisdiction’s requirements for other electronic-invoice regimes.
