Before building a real estate voice agent, map the conversations it may need to handle: new buyer inquiries, property questions, viewing coordination, seller consultations, client updates, and calls that need an agent. That is a practical discovery checklist—not a measured ranking of call frequency. The available National Association of REALTORS® (NAR) data describes buyer contact channels and reported needs, but it does not provide a complete call inventory or show that voice agents improve results.

What the evidence says about how buyers contact agents

In NAR’s 2024 Profile of Home Buyers and Sellers, 28% of buyers said their first contact with their agent was a phone call. Other reported first-contact methods were talking in person (22%), asking a friend to put them in touch (18%), making an inquiry through a third-party website (10%), email (8%), text message (8%), an agent website (3%), and social media (3%). Phone was the largest single channel, but most buyers did not report it as their first contact method. These are first-contact patterns, not a count of all calls agents receive or an estimate of which calls suit automation. NAR’s 2024 report highlights also put the median number of times buyers contacted an agent before receiving a response at one; that figure does not establish how response time affects conversion.

What buyers and sellers need from conversations

Buyer questions go beyond property availability

NAR’s April 2024 summary of its 2024 generational trends report found buyers cited several benefits of using an agent: help understanding the process (61%), noticing property features or faults (58%), negotiating better contract terms (46%), getting a better list of service providers such as inspectors (46%), and learning more about search areas (45%). Buyers also cited help negotiating a better price (33%), shortening the search (23%), and expanding the search area (21%). These are buyer-reported benefits, not proof that a voice agent can provide the same judgment or advice. NAR’s April 4, 2024 summary provides the figures.

Seller conversations need their own path

Sellers seek help pricing competitively, marketing the home, finding a qualified buyer, and selling within a desired timeframe. NAR’s 2024 report says 90% of sellers used an agent or broker; 88% of buyers did. Those figures establish the prominence of agent involvement, not the volume of buyer versus seller calls. A seller inquiry should therefore not be treated as a buyer lead with different fields: it may require discussion of pricing, marketing plans, timing, and a listing consultation. Buyers value useful, timely communication

In the same April 2024 summary, 73% of buyers said they valued an agent who personally calls with activity updates, 71% valued receiving property information and communicating by text, and 70% valued postings when a property is listed, its price changes, or it goes under contract. These preferences support designing for continuity and clear updates; they do not show that an automated call is equivalent to a personal one.

A practical call-discovery checklist

The categories below are a proposed way to investigate calls before implementation, not a taxonomy published by NAR or a ranking by frequency. Validate them against a brokerage’s own call logs, agent interviews, and applicable caller-consent and privacy requirements.

  1. New buyer inquiry or property interest: Identify whether the caller is asking about a specific property, beginning a search, or seeking an agent. Capture the caller’s stated need and preferred follow-up channel rather than assuming every inquiry is ready for a viewing.
  2. Viewing and next-step coordination: Determine whether the caller wants to arrange a showing, confirm logistics, or speak with the agent. Check availability through an approved calendar workflow; do not promise a time until it is confirmed.
  3. Buyer process and search questions: Separate straightforward information requests from questions requiring explanation of the buying process, property-specific judgment, negotiation, or advice. Route the latter to a qualified agent rather than improvising an answer.
  4. Seller inquiry and listing consultation: Establish whether the caller wants to discuss selling, pricing, marketing, a potential buyer, or timing. Gather context for a follow-up without presenting an unsupported valuation or making commitments on the agent’s behalf.
  5. Current-client activity update: Recognize calls about a listing, price change, offer, or other transaction update. Verify identity and the information the caller is authorized to receive before sharing anything sensitive.
  6. Human handoff: Provide a clear route to an agent for negotiation, uncertain property facts, sensitive matters, or any request the system cannot reliably resolve. Pass along the caller’s stated intent and details already collected so the caller does not have to start over.

Decide what the agent may answer—and what it must hand off

The evidence points to a useful boundary: buyers value help understanding the process and a property, but those needs can involve interpretation rather than simple information retrieval. Treat the voice agent as an intake and coordination layer unless the brokerage has validated a narrower set of answers. Keep property facts tied to an authoritative, current source; if a fact is missing, conflicting, or stale, say so and transfer the question. Do not let a fluent response stand in for an agent’s judgment on property condition, price, contract terms, or other consequential advice.

For each call type, specify the permitted task, the information needed, the system of record, and the handoff trigger. Also define the caller-facing disclosure, whether calls are recorded, who can access recordings or transcripts, how long they are retained, and what happens when a caller declines recording or automation. Consent and privacy duties depend on the circumstances and jurisdiction; determine applicable requirements before deployment rather than treating one disclosure as universally sufficient.

Evaluate a proposed voice-agent setup before launch

There is no evidence here to declare one implementation approach the winner. Compare candidate setups against the brokerage’s own needs, using the same representative scenarios for each:

  • Intent coverage: Can it distinguish buyer, seller, existing-client, and misrouted calls, and recognize when intent is unclear?
  • Property-fact accuracy: Are answers grounded in current, authorized data, and does the system abstain when it cannot verify a detail?
  • Conversation handling: Does it cope with interruptions, corrections, background noise, and a caller changing direction without losing essential context?
  • Transfer quality: Can it reach the right person and pass a concise, accurate summary of the caller’s request?
  • Operational fit: Does it integrate appropriately with the brokerage’s CRM and calendar, and what happens after hours or when staff are unavailable?
  • Controls and review burden: Can the business manage disclosures, consent, recording access and retention, and agent review without creating an unworkable workload?

Test these scenarios with agents before taking live calls, document failure cases, and set a fallback that reaches a person or captures a callback request. A business phone system or voice-agent platform may support routing and integration, but the existence of those features does not establish call quality or suitability for a particular brokerage.

What NAR’s technology survey does—and does not—show

NAR’s September 18, 2025 release on its Technology Survey reports general AI and technology use among surveyed REALTORS®, not adoption or effectiveness of real estate voice agents. In that survey, 20% said they used AI tools daily, 22% weekly, 27% a few times a month, and 32% had not yet used AI in their business. On impact, 17% reported a significantly positive impact, 33% a moderately positive impact, and 46% no noticeable impact. Separately, 82% said clients responded positively or very positively to technology integrated into buying and selling. None of these results measures voice-agent performance. NAR Deputy Chief Economist Jessica Lautz said the profession was adapting to technological change while prioritizing client satisfaction, and emphasized that the trusted relationship between agent and client remains central. NAR’s 2025 survey release contains the survey context and statement.
