A local drive stores files on your computer; OneDrive stores files in Microsoft’s cloud. They are not mutually exclusive: OneDrive can keep selected files on your computer while syncing them to the cloud. Choose based on how much local disk space you have, whether you need files offline, whether you work across devices, and what recovery options you need.
Local drive and OneDrive are different storage arrangements
A file saved only on a local drive is stored on that computer. You can open that copy without an internet connection, but it is not automatically available on your other devices.
OneDrive stores files in cloud storage that you can access through its apps or the web, subject to account access and synchronization. On Windows, Files On-Demand can show cloud files in File Explorer without downloading each file. Microsoft describes the feature as helping users access cloud files “without having to download them and use storage space on your computer.” Microsoft Support: OneDrive Files On-Demand for Windows.
You can also keep OneDrive files on the computer. In that arrangement, a file has a local copy and is synchronized with OneDrive. That can combine offline access with cross-device availability, but synchronization is not the same as maintaining an independent backup.

How the options compare
| Consideration | Local-drive file | OneDrive file |
|---|---|---|
| Computer storage | A local copy uses space on the computer’s drive. | An online-only file does not use local file storage until downloaded. A file kept on the device uses local space. |
| Offline access | The local copy is available offline. | An online-only file requires an internet connection. A downloaded file, including one marked “Always keep on this device,” can be opened offline. |
| Access from other devices | Not provided by the local copy alone. | Available through OneDrive apps or the web, subject to account access and synchronization. |
| Internet or account dependency | Opening the local copy does not require OneDrive or an internet connection. | Online-only files need connectivity to open; access across devices depends on OneDrive and the relevant account. |
| Recovery options | A local copy alone does not provide OneDrive’s recycle bin, version history, or whole-OneDrive restore. | OneDrive offers recovery features with retention, eligibility, and configuration limits described below. |
Choose based on how you use your files
Use local storage when offline access is essential
Files stored on the computer are the straightforward choice for work you must be able to open without internet access. The trade-off is that local copies take up disk space and do not automatically appear on other devices. If you use OneDrive but need certain files offline, keep those files on the device rather than relying on online-only placeholders.
Use OneDrive when you need files across devices
OneDrive is useful when you want files available from more than one device through the web or apps. Online-only files can reduce the space used on a computer, but opening them requires a connection. Microsoft’s app comparison notes that OneDrive offerings and features can vary between personal and work or school use. Microsoft Support: Which OneDrive app?

Use both when you need cloud access and selected offline copies
With Files On-Demand, you can leave less frequently used files online-only and keep important working folders locally. In File Explorer, right-click a OneDrive file or folder and select Always keep on this device to download it and retain it for offline use. This uses local disk space; online-only files do not occupy local file storage until downloaded. Microsoft’s documented requirements for the Windows feature include Windows 10 version 1709 or later, or Windows Server 2019. Microsoft also notes possible incompatibility with some third-party antivirus software and lack of support when Windows Information Protection is enabled, so check its current requirements if those conditions apply. Understand what syncing does before deleting files
Synchronization keeps changes aligned across OneDrive and connected devices; it does not make each synced copy independent. If you delete an online-only synced file from File Explorer, it is deleted from OneDrive and other synced devices too. Deleting it is not a way to hide it only from the computer. If your goal is to free local disk space while keeping the file in OneDrive, use the option to free up space rather than deleting the file. Before removing a file, check whether the action is a deletion or only a change to its local availability.
OneDrive recovery helps, but has limits
Microsoft documents several recovery routes, each with its own eligibility and retention limits. A recovery feature can help after a mistake, but it should not be treated as a guarantee that every deleted or damaged file can be restored.

- Recycle bin: Microsoft says deleted files can be recovered for up to 30 days in personal OneDrive accounts and up to 93 days in work or school accounts, unless an administrator changes the latter retention setting. Permanently deleted items cannot be restored. Microsoft Support: Restore files deleted from OneDrive
- Version history: Microsoft’s reviewed support page states that OneDrive retains file versions for 30 days. A work or school administrator may turn document versioning off, and behavior may depend on organizational configuration. Microsoft Support: Restore a previous version of a OneDrive file
- Restore your OneDrive: Microsoft 365 subscribers can undo account-wide file and folder actions from the preceding 30 days. Items created after the chosen restore point are moved to the recycle bin; permanently deleted recycle-bin files cannot be recovered. Microsoft Support: Restore your OneDrive
For ransomware recovery, Microsoft advises cleaning connected devices before restoring files, to reduce the chance of re-encrypting recovered files. Microsoft Support: Detect ransomware and recover OneDrive files
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Is OneDrive a backup?
Microsoft describes the OneDrive Windows desktop app as a backup and sync app, but synchronization can also propagate deletions and other changes. OneDrive’s recycle bin, version history, and restore feature provide recovery paths, but they have limits and do not make a synced copy invulnerable. A local-only file likewise has no cloud copy merely because it is stored on a drive.
