Before you upload your resume, follow the job posting and portal’s requirements for file type, size, page count, and supporting documents. Then inspect the saved file—not just the editing window—and check the portal’s uploaded copy and any details it extracted. Formatting that looks right in Word or Google Docs can change during export, upload, or text extraction.
Start with the job posting and upload page
Check the specific application before choosing a format or preparing the final file. Employers and platforms do not use one universal set of upload rules. Note the requested file type, maximum file size, page limit, and any additional documents the application requires. If the employer gives instructions, use those rather than relying on a general recommendation.
For example, USAJOBS currently says federal agency resumes submitted through its system must be two pages or less. That is a USAJOBS federal-application requirement, not a general page limit for resumes. Its guidance also says resume files must be 5 MB or less. Check the current USAJOBS resume instructions and the specific announcement.
Choose a file format the portal accepts
Use the format named by the employer. If no format is specified, check the portal’s accepted types and follow any guidance it provides. The U.S. Department of Labor’s 2026 resume guide advises following employer instructions; a PDF can preserve the visual layout, while a DOCX may be appropriate when requested or supported. Neither format is right for every application.

These platform examples show why the application itself should control your choice. The limits below are service-specific guidance accessed on October 4, 2026, not general rules for all resumes.

Inspect the exported file itself
Save or export the final resume in the format you plan to upload, then open that copy in a viewer. Do not assume the on-screen editing view matches the saved file. USAJOBS recommends PDF to help retain formatting and page count; its guidance also recommends checking plain text when copying content into its resume builder.
- Look through every page for clipped margins, missing text, unexpected blank pages, and altered line breaks.
- Check that bullets, symbols, dates, and headings still appear as intended.
- Use a clear filename, such as
First_Last_Resume.pdf. The Department of Labor recommends a logical, identifying filename in its Employment Workshop Participant Guide 6.0 Update 1.
Make sure a PDF contains readable text
A PDF can look perfect while being difficult for a hiring system to read. If you use PDF, select and copy a few lines and paste them into a plain-text editor. Confirm that the words are selectable and appear in a sensible order. If the page is only an image scan, its text may not be available as text. Indeed recommends a text-created PDF rather than one scanned as an image.

Keep the layout simple enough that key information does not depend on images or complex arrangements of text. The Department of Labor’s 2026 Resume Essentials guide says applicant tracking systems can often read PDFs that do not contain images or complex layouts. That is guidance, not a guarantee about every employer’s system.

After upload, verify that the intended file is attached. If the portal shows a filename or preview, inspect it. Review any contact, employment, or education fields it filled in from the resume, since extraction can be system-specific and errors may need correction before submission.

If you paste resume content into a portal field or builder, review that version too. Formatting can change during pasting; USAJOBS notes that some Word formatting, including bullets, may not work when copied into its builder.

Final pre-upload checklist
- Read the job announcement and upload page; note the required file type, size limit, page limit, and other requested documents.
- Save or export in a format the employer requests or the portal accepts.
- Give the file a clear, identifying name.
- Open the saved copy and inspect every page for layout or text-flow problems.
- For a PDF, test that text can be selected and copied in a sensible order.
- Upload the file, confirm the attachment, and check any fields the portal populated before submitting.
