Start by checking the invoice and agreed payment terms, then send a calm, specific reminder as soon as the invoice is overdue. If there is no reply, follow up in the same thread, contact the person responsible for payment, and agree in writing on a payment plan or next step if needed. This practical sequence helps you pursue payment without opening with blame or threats; no particular number of reminders can guarantee payment or preserve a client relationship.

Check the invoice before you follow up

First confirm that the invoice is actually overdue: use the due date agreed in your contract or other arrangement, not an assumed standard. Review the invoice number, amount outstanding, payment instructions, and the contact or portal where it was supposed to go. A wrong contact, missing purchase-order detail, or submission problem can hold up processing.

  • Confirm the agreed payment terms and due date.
  • Check the invoice for errors and verify the balance still owed.
  • Make sure it reached the right client contact or finance portal; resend it if useful.

Do not describe the invoice as overdue until its agreed due date has passed. If no payment date was agreed, the applicable rule depends on the governing law and customer type.

Send a calm first reminder shortly after the due date

Make the message easy to act on: identify the invoice, amount, and due date; include payment instructions; and leave room for an administrative issue or a request to resend the document. Financial difficulty and processing errors are among the reasons the UK Small Business Commissioner says payment can be delayed. The Commissioner advises suppliers to contact the customer as soon as an invoice becomes overdue to establish why payment has not been made and follow their escalation process (UK Small Business Commissioner guidance).

Subject: Quick check: invoice [number]

Hi [Name], I’m checking in on invoice [number] for [amount], which was due on [date]. I’ve attached it here in case it’s helpful. Could you let me know whether it’s in the payment queue, or if you need anything else from me? Thanks, [Name]

This first note is a practical starting point, not a required legal form or a guarantee of payment. Keep it courteous, but make the amount and request clear.

Use an adaptable follow-up cadence

Government guidance supports prompt contact and escalation when needed, but it does not set a universal day-by-day reminder schedule or establish which cadence best preserves clients. The intervals below are a suggested workflow, not a legal or evidence-based standard. Adjust them to the relationship, contract, and circumstances.

  1. Shortly after the due date: Send the first reminder with the invoice details and payment instructions.
  2. After a few business days without a reply: Reply in the same email thread. Restate the invoice number, balance, and due date, and ask for a specific expected payment date. Invite the client to flag a dispute or processing obstacle.
  3. If email is not resolving it: Call or contact the person responsible for payment. Ask whether the invoice was received, is correct, and has been scheduled. If it was not received, resend it and verify the payment details.
  4. If it remains unpaid: Send a firmer written notice identifying the outstanding balance and a clear response or payment deadline. Consider formal collection or legal steps only after weighing the contract, applicable rules, costs, and likely effect on the relationship.

Keep the tone matter-of-fact at each step. Avoid adding late fees or threatening action unless the contract and applicable rules support it.

Respond constructively to a payment problem

If the client says they cannot pay in full, ask whether installments would help and decide whether the proposed schedule works for your business. A payment plan can provide a route forward, but an informal promise is not a completed agreement.

  1. Agree on installment amounts and due dates that both sides can meet.
  2. Put those terms in writing and send a confirmation email.
  3. Track each installment against the balance and follow up if a date is missed.

If the client disputes the invoice or says it is blocked in processing, ask what information or correction is needed and document the response. Keep the payment request separate from any genuine work or billing issue so both can be resolved clearly.

Keep a record of each contact and next step

Maintain a simple invoice log with the invoice status, amount outstanding, contact dates, replies, promised payment dates, and next action. This creates a reliable history if the matter needs to be escalated and prevents reminders from becoming contradictory. The UK Small Business Commissioner recommends keeping invoice and payment-status records and says businesses may consider invoicing software to automate and track payments (record-keeping guidance).

A spreadsheet, accounts-receivable ledger, or small-business invoice book can work for a modest volume. Invoicing software may be useful if it fits your workload and can track payment status or automate reminders; the Commissioner does not endorse a particular provider.

Know when legal and payment-term rules matter

Do not assume that late-payment interest, fees, or recovery costs are automatically available. Before claiming them, check the original contract, governing law, whether the customer is a business or public authority, and the rules that apply in the relevant jurisdiction. If collection or legal action is on the table, compare the amount at stake with likely costs and the possible impact on the client relationship.

For UK readers, GOV.UK says that when no payment date is agreed, a customer generally must pay within 30 days of receiving the invoice or the goods or service. Its guidance on late commercial payments says agreed dates are usually within 30 days for public authorities and 60 days for business transactions; a longer business-to-business period may be agreed if it is fair to both businesses. Where no date is agreed, payment is described as late 30 days after invoice receipt or, if later, delivery of goods or services. These are UK-specific guideposts, not universal rules or a substitute for checking the current law and contract (GOV.UK: when a commercial payment becomes late; GOV.UK: late commercial payments).
