Identify the exact medium, avoid stressing it, and copy readable data into current managed storage as soon as you can. Verify the copy and keep another backup. If the medium is damaged, the drive is failing, or the format is unusual, stop experimenting and contact a specialist experienced with that format.

Why obsolete storage can become unreadable even when it is intact

Data can become inaccessible for two different reasons: the medium may physically deteriorate, or the equipment, interface, or software needed to read it may disappear. The Library of Congress notes that optical discs depend on playback machines that eventually become obsolete. A readable disk is therefore not safe to leave untouched until the day you need it.

The goal is to move the content into storage you can manage now—not simply to get an old device to work once. The Library of Congress’s general guideline is to copy content from external media and ingest it into managed storage. A successful transfer still needs verification and another copy.

Identify the medium and assess the risk before connecting it

Record the label, approximate format, visible condition, and any known device or operating system that created the data. A photograph of a label can help preserve clues if the original becomes harder to identify. Distinguish, for example, a 3.5-inch floppy from a 5.25-inch floppy, an optical disc from a hard drive, and a data tape from an audiovisual tape. Physical size alone does not establish that a reader supports a disk’s format.

Choose a conservative approach if the contents are unique, valuable, legally sensitive, or part of a collection whose original should not be changed. For overwriteable media, a write blocker or equivalent acquisition practice can help protect the original; it does not repair media or guarantee recovery. The Library of Congress and NARA describe write blockers as a safeguard during acquisition.

  • Accessible and apparently healthy: use a reader confirmed to support the medium’s format and interface, then copy the contents.
  • Physically damaged, intermittently readable, or showing signs of failure: avoid repeated attempts and seek a format-specific recovery service.
  • Unusual format or preservation-sensitive collection: ask a specialist whether the goal should be extracting files or making a bit-level image with an acquisition record.

Handle the original without making the damage worse

Magnetic disks and tapes

Handle magnetic media by the edges and do not touch the recording surface. Do not open floppy disk shells or change a floppy’s write-protect switch as part of a recovery attempt. Keep magnetic media away from strong magnetic fields, such as those near motors or loudspeakers. NARA’s Machine-Readable Media guidance, last reviewed in 2023, advises allowing magnetic media at least 24 hours to acclimate to room temperature and relative humidity before use. That is a handling recommendation, not a guaranteed recovery period.

Do not repeatedly retry a failing drive or play damaged tape. The Library of Congress’s Audio/Visual Materials FAQ warns that playback of damaged tape or film can further harm both the media and playback equipment.

Optical discs

Hold a CD, DVD, or Blu-ray disc by its outer edge and center hole; avoid flexing it or touching its data surface. If there is a visible deposit, NARA advises using a dry, lint-free soft cloth and wiping in straight strokes from the center to the edge—not in a circle. If distilled or deionized water is needed, let the disc dry completely before storage or playback.

Scratches, deposits, aging, storage conditions, and handling can all affect readability. A general longevity estimate cannot tell you whether a particular disc will still work.

Choose a transfer route that matches the format

Medium Initial route if it appears healthy When to escalate
Floppy disk or Zip disk Use a reader that supports the disk’s size and format. A basic USB floppy reader works only with compatible disks. Use a specialist for damaged or uncommon formats. The Library of Congress has documented institutional floppy imaging with KryoFlux or FC5025, followed by forensic and preservation tools; those tools are not necessary or suitable for every home user.
CD, DVD, or Blu-ray Use a compatible optical drive and copy or rip the readable content. For a faulty audio or visual disc, the Library of Congress suggests ripping to a computer drive at the lowest possible speed. If gentle handling and a compatible drive do not produce a reliable read, consult a service equipped for optical-media recovery rather than assuming repeated attempts will help.
USB flash drive, memory card, SSD, or magnetic disk Match the reader or adapter to the connector and format. Copy the contents into current storage as soon as practical; protect an overwriteable original when appropriate. Stop if the device disconnects repeatedly or shows other physical symptoms. NARA says solid-state media life expectancy varies with use and may be only a few years; that broad warning is not a prediction for an individual device.
Hard drive that is failing or damaged Do not treat a failing drive as a routine adapter problem or keep retrying it. NARA says hard-drive salvage is most successful through a data recovery firm. Choose one with experience relevant to the drive and data.
Data or audiovisual tape If the tape is intact and its format and playback equipment are known, arrange a suitable transfer promptly. Magnetic data tapes require routine migration. Do not play damaged tape. The Library of Congress advises using a provider experienced with the exact transfer format when tape or film is damaged.

When hiring a provider, agree in advance how data will be secured, what happens if recovery fails, what form recovered data will take, and how the original hardware will be returned or handled. These are among the contract considerations NARA identifies for hard-drive recovery.

Copy the files, then verify what you recovered

  1. Connect only a compatible reader. For valuable overwriteable media, use a write blocker or another preservation-oriented acquisition practice where appropriate.
  2. Copy readable contents to current managed storage. Avoid treating a successful connection or a completed copy operation as proof that every file transferred correctly.
  3. Check the result. Open representative files and compare expected folders, file counts, or known contents. For archival or high-value work, retain acquisition notes that identify the source medium, reader, date, and any errors.
  4. Create fixity information when appropriate. A hash value can help validate file state and detect accidental changes or errors during transfer or storage, as NARA explains in its guidance.
  5. Make another copy in a separate location or managed storage system. The Library of Congress calls for verification before content is managed in its approved inventory systems; NARA’s optical-storage report also recommends verifying transferred data and maintaining an offsite backup.

A second copy is a safeguard against loss of the newly recovered data; it does not replace periodic integrity checks or migration as storage technology changes.

What the preservation timelines do—and do not—mean

NARA’s Machine-Readable Media guidance, last reviewed in 2023, recommends reformatting video tape older than five years and audio tape older than 15 years, prioritizing deteriorating tapes with important content. These are NARA institutional recommendations, not universal countdowns for every tape. The same guidance says solid-state media may have a life expectancy of only a few years depending on use; it does not establish the remaining life of any particular flash drive, SSD, or memory card.

No representative home-recovery success rate across these media types is established by the cited guidance. The sensible route depends on compatibility, physical condition, the uniqueness of the data, and whether a read attempt could worsen the original.
