Companies use n8n to connect incoming requests, business rules, AI steps and updates across systems—automating work from individual support tickets to employee-facing tools. Here are eight examples published by n8n, with the workflows and outcomes each organization reported. Those figures are company-reported, not independently verified, and the case-study pages reviewed do not display publication dates for the metrics.

Eight real n8n workflow examples

The examples show different ways to apply workflow automation. Some use AI to interpret or summarize information; others mainly move, validate or update data. In several cases, a person still reviews the result or decides what to do next.

System AI WhatsApp text or voice note is interpreted and turned into a lead or property record. Zoho CRM for leads; Google Sheets for property records. The workflow checks for an existing lead and sends confirmation. Admin work fell from four to five minutes to about 10–20 seconds; the customer estimated about one day saved per week. Property onboarding-to-sale time fell from 62 to 44 days.
Flow AI A spoken request starts a real-estate outreach campaign, with opt-in checks and safeguards. ElevenLabs structures spoken input; n8n checks the database, creates personalized copy, routes messages through SMS providers or Mailgun, and logs activity. Customers are separated into dedicated n8n projects. Campaign work that previously took three to five hours reportedly ran in under 60 seconds. The company described 50+ live n8n projects.
Oversee A service request triggers collection of case information and assembly of a structured investigation report. n8n gathers information from a case database and other systems; staff use the resulting context to decide the next action. Other workflows support internal and external reporting, including a Notion-based request flow. The company reported a 50% reduction in first response time. Its CTO demonstrated producing a report in two to three hours that had previously taken two weeks.
Huel Employee-facing assistants and internal tools support legal questions, invoice queries, calendar and inbox tasks, creative work, sentiment analysis and workflow management. Examples include Slack, Airtable and n8n. Huel described an API and Airtable governance approach, approval gates and InfoSec review of webhook use. Huel reported saving more than 1,000 hours over nine months, canceling approximately £100,000 in annual software licenses, and having more than 100 active employee users.
Trendyol Teams build workflows including a seller chatbot, legal assistant, search-relevance agent, AI code review and smaller automations. The self-hosted deployment is organized into roughly 200 team projects with scoped credentials and access. Trendyol reported 1,000+ active users, 700 production workflows and about 500,000 workflow executions in three months.
Stepstone One workflow batches daily contract mappings after reseller data-feed changes; another removes a discontinued product from customer contract entries. The first handles 60–70 mappings per day. A separate bulk update affected about 4,500 entries for 20 large customers. Manual mapping work of two to three minutes per item became a batch process taking around 20 seconds. The bulk update was said to save the equivalent of two workdays for five full-time employees.
Fullscript A workflow helps check that personal data is deleted after practitioner calls. Another supports security investigations. The first addresses call-recording compliance; the team had manually listened to calls within 30 minutes. The security flow verifies an account user, uses a Slack bot for data verification, summarizes findings with an AI agent, and creates an audit report in Google Docs with suggested next steps. The manual process involved 13,000 calls a month. The case study reports hundreds or thousands of employee hours saved, without giving one precise total.
Koralplay A blocked-payment ticket triggers a workflow that gathers transaction details, checks regulatory status, updates the ticket and notifies the customer. The workflow authenticates to a back office, enriches transaction information and records the result in Notion. n8n is also used for recurring reports, release notifications, QA and internal workflows. The company reported that a ticket taking 10–15 minutes now takes about 70 seconds, saving 616 hours weekly. It reported automating 70% of payment-related tickets in one market.

How to choose an example to adapt

Start with the work itself, not the tool list. A useful automation has a clear event that starts it and a defined outcome, such as a record created, a ticket updated or a report prepared. Compare a candidate workflow against these factors:

  • Trigger and volume: Is the work started by a message, ticket, customer request, scheduled report or data-feed change? How often does it happen?
  • Systems and destination: Which application holds the source data, and where should the result go? Identify each handoff before adding AI.
  • AI and human review: Decide whether AI interprets, drafts or summarizes information. Specify where a person must approve an action or make the final decision.
  • Data sensitivity and controls: Consider access scope, logging, approval gates and audit needs, particularly when handling customer or personal data.
  • Deployment and scale: A personal prototype and a company-wide system have different needs for hosting, credential management and project access.
  • Outcome and measurement period: Define a practical measure—such as handling time or response time—and record the baseline and period so results can be assessed meaningfully.

What the examples do—and do not—show

Across these cases, n8n coordinates triggers, business logic, APIs, AI steps and updates between systems. The work ranges from a single repeated task to a platform used by multiple teams. The reported results are specific to each organization’s process and conditions; they are not a promise that another company will achieve the same savings or speed.

Automation also does not always mean removing people from a process. Oversee’s workflow prepares context for staff to decide what action to take, while Huel describes approval gates and security review. These are examples of using automation to support decisions while retaining human oversight.
