Most online stores should optimize five event-driven email flows: order confirmation, shipment update, delivery or exception update, return/refund confirmation, and account/payment/security notice. This is a practical checklist, not a universal rule: choose messages to match the events and services your store actually supports.

What counts as a transactional email?

A transactional email is triggered by a customer action or a change to a purchase, fulfillment, return, account, or billing status. Nielsen Norman Group’s ecommerce taxonomy includes purchase and service confirmations, shipment and delivery notifications, cancellations and refunds, account and billing messages, and customer-service acknowledgments. It treats return-to-site prompts and abandoned-cart reminders as a different category of shopper prompt, even though some platforms group them with automated email. The five flows below cover the main questions a general store needs to answer after checkout: Was the order received? What is happening to it? What if the outcome changes? What happened to my return or account?

1. Order confirmation: show what the customer just bought

Send this after the store has received the order. Its job is to confirm the transaction and make it easy for the customer to verify the details—not to turn the receipt into a promotion.

Include the essentials

  • Order number and a clear confirmation that the order was received.
  • An item summary with quantities and relevant options, such as size or color.
  • Billing and shipping information, with a clear way to spot an error.
  • An expected delivery timeline when the store can provide one reliably.

2. Shipment update: explain what has changed

Send a shipment update when the order is dispatched, not merely because time has passed since checkout. State that it has shipped and provide a tracking route or current status when one is available. If the order is split into multiple packages, make clear which items the update covers.

3. Delivery or exception update: close the loop accurately

Tell customers when an order is marked delivered, delayed, or otherwise needs attention. For delivery, identify the order or shipment and give the status plainly. For an exception, explain what is known and what the customer can do next, such as checking a carrier update or contacting support.

Only state a precise delivery date or time when the store’s fulfillment data supports it. A status notice that is honest about uncertainty is more useful than a confident estimate that may be wrong. 4. Return/refund confirmation: make the next step clear

Use a confirmation when a return, cancellation, or refund event occurs. Identify the relevant order or item and state what has actually happened: for example, that a return request was received, a return was processed, or a refund was issued. If another step remains, say what it is rather than implying that the whole process is complete.

5. Account/payment/security notice: confirm consequential changes

Notify customers about relevant account and billing events, such as an account update or payment-related change. Name the event clearly and include enough context for the customer to recognize what changed. For a notice that may require action, state the next step in direct language.

How to optimize the flows as a system

Connect each message to a real event

Map each email to a purchase, fulfillment, return, account, or billing event that the store can detect. Check that the wording reflects the event’s actual state: an order received is not the same as an order dispatched, and a refund request is not the same as a completed refund.

Make the message useful at that moment

Review the sender name, subject, preheader, body, and format. These are all elements identified for consideration in Nielsen Norman Group’s report outline. Keep fulfillment updates in sequence

Use the order, shipment, and delivery notices as a connected series. Each should communicate the new status, not repeat the previous email unchanged. If no meaningful status change has occurred, avoid sending an update that suggests otherwise.

Separate service notices from promotional prompts

Transactional notices answer questions about a customer’s order or account. Abandoned-cart and return-to-site emails try to bring a shopper back and may be subject to different marketing treatment or consent requirements depending on jurisdiction and implementation. Do not assume a message becomes transactional simply because an email platform automates it.

Measure outcomes without treating averages as promises

Omnisend’s 2025 report says it sent 24 billion emails, 230 million SMS messages, and 413 million push notifications in 2024. The report also says one in three people who clicked an automated message made a purchase, compared with one in 18 for scheduled messages. Those figures concern automated messages broadly, not transactional email specifically, and they do not predict an individual store’s results. When email should not be the only update

Email, SMS, and push are distinct notification channels, but the available source set does not establish a universal performance ranking among them. Choose a channel based on the event’s urgency, the information the customer needs, their preferences, and whether your systems can provide an accurate status. DHL eCommerce’s 2025 research covered 24,000 online shoppers across 24 global markets and reports that delivery and returns expectations can factor into purchase abandonment. For implementation, an ecommerce email automation or transactional delivery service may be appropriate if it supports your store platform and the events you need. No single provider is established here as the right choice for every store.
