Choose accounting software by matching it to the work your business actually does, the rules that apply where it operates, and the systems your team already uses. Then compare the full cost and test shortlisted options with real tasks before subscribing. There is no universal best package: requirements differ by country, business structure, accounting method, and needs such as payroll or inventory.
Start with the work you need the software to do
Write down the recurring bookkeeping and reporting tasks, who handles each one, and where the underlying information comes from. Include the parts that are slow, duplicated, or error-prone today. A longer feature list is not automatically better: extra complexity can increase setup effort and cost without solving a real problem. The U.S. Small Business Administration’s software-selection checklist makes the point that a package may work for some businesses without addressing another business’s problem.
- Sales, customer invoices, and payment tracking
- Expenses, supplier bills, and receipt records
- Bank and card accounts, including transaction matching and reconciliation
- Payroll, if you employ staff
- Inventory, stock, or work in progress, if relevant
- Projects, jobs, departments, or multiple entities, if you need that reporting
- Tax or other required reporting and submissions
Mark each item as essential, useful, or unnecessary. This prevents an optional capability from distracting from a gap in a task the business must perform.
Check the rules for your country and business
Accounting software requirements are jurisdiction-specific. A feature advertised as “tax ready” or “compliant” does not by itself establish that the software supports your particular obligations. Identify your location, legal form, tax registrations, accounting method, payroll obligations, and inventory status, then confirm the relevant rules with the regulator’s current guidance and your accountant or bookkeeper.

United Kingdom
UK government guidance says some businesses must use software compatible with Making Tax Digital, including VAT-registered businesses and certain sole traders or landlords where applicable. Who is covered and the relevant thresholds can change, so check current GOV.UK accounting guidance for your circumstances rather than relying on a generic product claim. The guidance also distinguishes cash-basis and traditional accounting. Stock, unpaid invoices, or more complex finances may affect which method is suitable, and some entity types cannot use cash basis.
Australia
Business Victoria’s accounting software checklist highlights considerations such as payroll, stock or work in progress, multiple bank accounts, foreign currency, integrations, and the records the business needs to manage. It also advises checking which ATO Standard Business Reporting forms are required. Ask an accountant or business adviser if you are unsure which obligations apply.

The IRS says, “You can choose any recordkeeping system suited to your business that clearly shows your income and expenses.” Its Publication 583 (12/2024), Starting a Business and Keeping Records, discusses supporting documents and bank reconciliation. Inventory can affect accounting method and tax treatment; the IRS’s Publication 334 (2025), Tax Guide for Small Business, describes the relevant rules and qualifications. Neither source means every small business has identical recordkeeping or inventory treatment.
Compare shortlisted packages on the same criteria
Use a side-by-side worksheet and assess each option against the same needs. Separate must-haves from preferences so a high score in optional features cannot disguise a missing essential.

Current prices are not established here; check each provider’s current pricing and terms. Ask your accountant or bookkeeper which products they can support and what access or exports they require. Business Victoria also recommends speaking with an accountant or adviser when you are uncertain about your needs.
Test the software with representative work
If a demo or trial is available, use it to see whether normal tasks are clear and whether the results are usable. Vendor guidance from Xero recommends testing actual tasks; that is useful as a trial idea, not independent evidence that one provider outperforms another.

- Record a supplier bill or expense and attach the supporting information you normally keep.
- Connect or import representative bank activity and reconcile it.
- Produce a month-end report you or your adviser will actually use.
- If essential to your business, test the exact payroll, tax submission, inventory, or other specialist workflow—not just the general ledger screens.
Note whether routine actions are easy to find, whether the information flows between systems without avoidable duplicate entry, and whether the output is accessible to the people who need it.

- Map the work. List recurring tasks, the person responsible for each, and the source of the data.
- Confirm your obligations. Identify jurisdiction, entity type, tax registrations, accounting method, payroll duties, and inventory status; verify applicable requirements with current regulator guidance.
- Check professional compatibility. Ask your accountant or bookkeeper about systems, permissions, reports, and exports they can work with.
- Build a shortlist. Keep packages that meet every must-have and connect to the banking, payment, and operational systems you rely on. Rule out options whose limits or extra charges make a required workflow impractical.
- Run the trial or demo. Use representative transactions and reporting, adding any critical payroll, tax, or stock workflow.
- Make the whole-cost decision. Compare subscription and add-on costs with implementation effort, data access, support, and the ability to upgrade. Avoid paying for complexity that does not serve a real need.
