Use case analysis is a requirements technique that describes how external actors interact with a system to achieve goals and get observable results. It helps teams identify functional requirements, clarify expected behavior, and derive test scenarios. A use-case diagram summarizes actors and goals; a written use-case specification explains the interaction flows and what happens when the normal path changes.

What is use case analysis?

Use case analysis examines the goals people or other external entities pursue when interacting with a system, then describes the system behavior needed to support those goals. A use case is organized around an actor’s goal and an outcome of value that can be observed. IBM defines a use case as a system function for achieving a user goal and says it must yield an observable result of value to the user (IBM, “Use cases in modeling diagrams”).

For example, an online store might have a use case called “Place Order Online.” The actor is a customer, the goal is to place an order, and the result is an order the system has recorded. The use case describes the exchanges that matter to that goal—not the store’s internal software architecture or a specific screen layout. IBM explicitly notes that use cases do not describe implementation details.

Use cases are useful for eliciting and organizing functional requirements, explaining intended behavior to stakeholders, and identifying scenarios for verification and testing. They are one technique within requirements engineering, not a substitute for a complete requirements process or system architecture. ISO/IEC/IEEE 29148:2018 describes requirements engineering more broadly as including discovery, elicitation, development, analysis, verification, validation, communication, documentation, and management (ISO/IEC/IEEE 29148:2018).

How do you perform use case analysis?

Use case analysis works best when it starts with the system boundary and stays focused on actor intent and observable system responses. A practical sequence is:

  1. Set the boundary. State which system or business process is being analyzed. Anything outside that boundary may be an actor or an external system.
  2. Identify external actors. Include people, organizations, devices, or other systems that interact with the subject. Use role names such as “Customer” or “Payment Service,” not individual names.
  3. List actors’ goals. Identify what each actor wants to accomplish and what result would satisfy that goal.
  4. Name each use case as an action with an outcome. Choose a short, verb-led phrase such as “Place Order Online,” rather than a screen name or internal function.
  5. Write the primary flow. Record the successful interaction as ordered exchanges: what the actor does, what information is provided, and how the system responds.
  6. Add relevant alternatives and exceptions. Describe meaningful variations and failures, such as invalid credentials or a required service being unavailable, and specify what the system does next.
  7. Record conditions and constraints. State preconditions, postconditions, and special requirements that do not fit naturally into the interaction sequence, including relevant quality, compatibility, legal, or regulatory constraints.
  8. Review and trace the behavior. Check the model and wording with stakeholders, then connect important flows and outcomes to verification and test scenarios.

The goal is a useful account of behavior, not an exhaustive transcript of every click. Include a branch when it changes the outcome, requirement, or expected system response.

What belongs in a use-case specification?

A use-case specification is the detailed description of one use case. IBM’s outline includes a name, brief description, basic flow, alternative flows, special requirements, preconditions, postconditions, and extension points (IBM, “Use case specification outline”).

  • Name and brief description: The goal-oriented action and a short explanation of its purpose.
  • Actors: The roles or external systems participating in the interaction.
  • Preconditions: What must already be true before the flow can begin.
  • Basic flow: The ordered actor-system exchanges that produce the expected result.
  • Alternative and exception flows: Variations, rejected inputs, unavailable dependencies, and other departures from the basic flow, with their outcomes.
  • Postconditions: What is true after successful completion—or after a defined failure outcome, where that matters.
  • Special requirements: Constraints or quality needs that affect the use case but do not belong in a particular event step.
  • Extension points, when relevant: Places where additional behavior may extend the use case.

Keep each step at the level of meaningful actor intent and system response. A specification tied too tightly to a current interface or implementation can become obsolete when those details change, even though the underlying goal remains the same.

What is the difference between a use-case diagram and a use-case specification?

A diagram gives a compact overview of actors, use cases, and their relationships. A specification explains the behavior and outcomes of an individual use case in enough detail to clarify variations and support scenario-based testing. Microsoft’s development guidance describes the diagram as a summary and says a full description includes the goal, main and alternative sequences, and exceptional outcomes (Microsoft Learn, “Use models in your development process”). IBM also documents use-case diagrams as a way to represent the actors and use cases in a model (IBM, “Use-case diagrams in UML modeling”).

A diagram alone usually cannot explain what happens when a prerequisite is missing or an interaction fails. The specification supplies that behavioral detail; the two artifacts serve different levels of explanation.

How do use cases relate to user stories and requirements engineering?

Use cases and user stories can coexist. A user story may introduce a group of use cases or extend use cases already defined, according to Microsoft Learn. The useful choice depends on what the team needs to communicate and verify, rather than on a rule that one format is always better.

  • Use cases are a good fit when the team needs explicit actor-system interaction, detailed alternate or failure flows, or traceability from a goal to test scenarios.
  • User stories may be sufficient when a short statement of user value is enough to guide discussion and the interaction details can be worked out elsewhere.
  • Use both when a story helps frame a feature while use cases clarify the important behavior and branches within it.

When deciding how much modeling to do, consider the complexity of the interaction, the consequences of unusual outcomes, stakeholder familiarity with each format, and the project’s traceability and testing needs. Use-case analysis structures functional behavior; broader requirements work still has to address the full set of requirements and their lifecycle.

What are the limitations of use case analysis?

Use case analysis is not a complete specification of a system. It centers on externally visible behavior and actor goals; it does not, by itself, define internal design, architecture, or every nonfunctional requirement. Constraints such as performance, security, compatibility, and regulatory obligations may need separate requirements, even when a use-case specification references them as special requirements.

It is also possible to make a model less useful by naming use cases after pages or components, describing implementation steps instead of actor goals, or omitting important alternate outcomes. Keep the model at a level that stakeholders can validate and that the delivery team can connect to requirements and tests.
