Start with a small Notes database, add Sources and Projects databases only when you need to connect them, and use a few focused views to retrieve and review what you save.
Decide what you need to find later
Before creating databases or properties, write down the questions your system should answer. For example:
- What have I learned about this topic?
- Which source supports or expands on this note?
- What notes are relevant to a project I am working on?
- What have I saved that I should revisit?
These questions determine what structure is useful. A property or connection that does not help answer one of them can wait.
Choose a small starting structure
In Notion, a database is a collection of pages: each database item opens as a page where you can keep fuller notes, while properties add information you can use to organize those pages. Notion’s database guide explains how properties and views work.

This is a practical starter arrangement, not a schema prescribed by Notion. If you only need to save and find notes, begin with one database. Add another when a real retrieval need calls for it.
Set up Notes for quick capture
Keep the capture step lightweight
Create a Notes database and give each entry a clear title. Add only the properties you expect to use when finding or sorting notes—for example, a topic, source, created date, status, or related project. A short type or status can help distinguish an idea from a note that still needs processing, but use it only if that distinction matters to you.
Avoid making every property mandatory at the moment of capture. You can save the thought first and add context later if that fits your workflow.

Create views for specific questions
A view is a different way to display the same database records. Choose a layout, then use filtering, sorting, or grouping to make a particular task easier. Notion supports table and other layouts, as well as these ways to organize a view.
- A recently captured view can show new notes in date order.
- A topic-filtered view can collect notes relevant to a subject.
- A project-focused view can surface the notes connected to an outcome.
- A review view can display notes you have marked to revisit.
Give each view a clear purpose. If two views answer the same question, keep the one you actually use.
Connect notes to sources and projects
Use a relation when a link between records provides useful context—for example, when a note draws on a particular article or contributes to a project. Notion relations connect items across databases; a two-way relation can make the corresponding link visible from both sides. A rollup can display or calculate information from related pages, and a self-relation can connect entries within the same database.

- Create the databases you need, such as Notes, Sources, and Projects.
- Add a relation property to the database where you want to record the connection, and select the database it should link to.
- Choose whether the relation should also appear in the linked database when that reciprocal view is useful.
- Link a note to the relevant source or project, then use a view on that database to find its related notes.
For example, a reading note can link to its source and to a project it informs. A project view can then surface the notes associated with that project. Add a rollup only if seeing a property from a related record answers a real question; not every relation needs one.
Use templates only for repeated note formats
A database template can provide a repeatable page structure and property defaults. A reading-note template might include prompts for the source, summary, key idea, and follow-up question. Create one when you repeatedly use the same shape, rather than trying to anticipate every kind of note.

Check relation properties before saving a template. If a relation is pre-filled, every page made from that template will inherit that relation. Leave it blank unless each new page should link to the same record. See Notion’s database template guidance.

Keep the system useful as it grows
Review whether saved material is still findable and useful, and adjust the structure when a recurring search fails. There is no single review schedule that fits everyone. Prefer the smallest system that answers your repeated questions; add a property, view, or database in response to a specific need rather than adding structure simply because it is available.
When deciding whether a feature is worth maintaining, consider:
- Capture effort: How many choices must you make to save a thought?
- Retrieval clarity: Can you find material by topic, project, source, or status?
- Maintenance: Will you keep its fields and links current?
- Connection value: Does the relation reveal useful context?
Export a copy without expecting a workspace restore
Notion supports exports in Markdown, CSV, HTML, and PDF, with available options depending on the content being exported. Its export guide describes the formats and process. An export is useful as a local copy, but it is not a one-click way to recreate the full workspace.

In particular, relation fields in relational database CSV exports become plain-text URLs. They cannot currently be re-imported to restore the structured relations. Notion’s database documentation describes this limitation.
Prepare pages for offline access
Offline access requires planning in Notion’s desktop or mobile app. Download the pages you expect to need; downloading a database includes the first 50 rows of its first view, and subpages must be downloaded separately. Offline availability is device-level for individually downloaded pages. Check Notion’s offline pages guidance for the current behavior before relying on a particular database or page while disconnected.
