Start with the documents you are likely to need this term, sort them into a few clear categories, and keep a simple index of where official records live. A student’s personal folder is for convenient reference; it is not the university’s official record system, and campus retention rules do not automatically determine when you should discard your own copies.

What documents should you gather?

Make a short checklist based on your school, program, and circumstances. These are possible categories, not a universal requirement: institutional policies describe records kept by schools, not a mandatory personal collection for every student.

  • Enrollment: registration confirmations, enrollment memos, and other notices you may need to reference.
  • Courses: schedules, syllabi, grade notices, or correspondence that matters for a course or academic decision.
  • Money and aid: billing statements, financial aid notices, and payment-related correspondence you need to track.
  • Health or accommodations: only the records relevant to your situation. Keep sensitive material especially private.
  • Important school correspondence: messages or decisions from offices such as the registrar, financial aid, or student services.

Do not collect extra sensitive information just because it appears on a sample list. If you are unsure whether a form is required or where its official version is kept, ask the office responsible for it.

Choose a paper, digital, or hybrid system

Student records can exist in paper and digital formats. Duke’s student-record retention guidance also covers older media such as microfilm and fiche, while the University of Nevada, Reno describes electronic files in its own OnBase document-management system. Those examples show that institutions manage records in different formats; they are not recommendations for a particular student app or storage service.

Approach Useful when Trade-off to consider
Paper You receive originals or prefer to keep documents together physically. Retrieval depends on keeping the folder organized and accessible.
Digital You want to search or retrieve copies from a device. Choose access controls carefully, and do not assume a scan replaces an original or a submission the school requires.
Hybrid You need some originals but also want convenient reference copies. Track which version is official and where it is stored so copies do not create confusion.

A labeled folder or accordion file is an optional aid for paper documents. For any format, a short index of where official records are held—such as your student portal, registrar, or financial aid office—can help you find the authoritative copy without creating unnecessary duplicates.

Set up a filing system you can keep using

Sort paper into a few sections

Use labels that make sense to you, for example: “Enrollment,” “Courses,” “Money and aid,” “Health/accommodations,” and “School correspondence.” Add only sections you need. Put a document in one logical place rather than scattering copies across several folders.

Name digital files consistently

Use plain filenames that identify the term and document type. A pattern such as 2026-Fall_Enrollment-confirmation or 2026-Fall_Financial-aid-notice is easier to scan than a generic name such as scan001. Keep files grouped by term or category, whichever matches the way you search for them.

Keep an index of official locations

Record where to find authoritative information, such as the student portal, registrar, or financial aid office. A personal index should point you to those systems; it does not make your copy an official transcript, submission, or institutional record.

Protect private documents

Limit access to documents that contain personal, financial, health, or accommodation information. For digital copies, use an access-controlled location you trust and avoid sharing folders or links more broadly than needed. For paper, store sensitive items where casual visitors or roommates cannot browse them. No particular storage product or cloud service is endorsed here.

FERPA concerns disclosure of personally identifiable information from covered education records by institutions. Duke’s guidance describes limits on disclosure without a student’s prior written consent, but this is not a complete account of FERPA exceptions and should not be read as a rule governing how students must organize their own private folders.

Review documents at the end of the term

Do a brief cleanup when the semester ends: move useful items into a clearly labeled past-term section, update your index, and identify papers you may no longer need. Before discarding something official, sensitive, or difficult to replace, check the institution’s instructions and consider your own needs.

There is no single student retention period established here for every document. University schedules apply to institutional records and distinguish among record types. For example, Duke identifies official transcripts among the student-related records it specifies for permanent retention and says records not identified in its guidance should not be disposed of without consulting the University Registrar and Duke University Archives. Boston University School of Public Health likewise publishes a schedule that assigns different treatment to different record types. Neither policy sets a universal deadline for a student’s personal copies.

When to ask the school

Contact the relevant campus office when you need an official copy, cannot tell whether a form is required, or are unsure what the school retains. The registrar is a sensible starting point for enrollment or transcript questions; use the financial aid office for aid records and the appropriate health or accessibility office for related forms. The U.S. Department of Education’s 2025–2026 Federal Student Aid Handbook describes systematic recordkeeping requirements for schools and permits different storage formats where a specific format is not required, subject to retrieval requirements. Those rules govern school recordkeeping, not how long you must keep personal copies.
