Use your meeting platform’s built-in recording controls, tell participants what will be captured and who will receive access, then check the saved file’s permissions before sharing it. Recording features and access rules vary by platform, account, meeting type, and administrator policy; an in-app recording notice does not necessarily satisfy every legal or organizational consent requirement.

Before you record

First decide whether a recording is necessary and what it needs to capture. Depending on the platform and settings, a recording may include audio, video, screen sharing, captions or transcripts, and sometimes chat. Google Meet says recordings include the active speaker and presented material; chat may also be saved in some configurations (Google Meet Help).

  • Check eligibility: Recording may depend on the account edition, meeting type, who is organizing or starting the recording, and administrator settings. Microsoft Teams administrators control recording policies; Meet recording requires an eligible account, administrator enablement, and the necessary permissions (Microsoft Learn; Google Meet Help).
  • Choose the audience: Where the platform offers access choices before or during a meeting, select the smallest appropriate audience. For Teams, meeting-level choices may be affected by permissions on the underlying OneDrive or SharePoint file (Microsoft Support).
  • Explain the recording: Tell participants why you are recording, what may be captured, who will be able to view it, and how long it will be kept. Check the rules that apply to the meeting’s context and participants’ locations. Microsoft notes that permission may be required depending on the region (Microsoft Support).

Start and stop the recording

Microsoft Teams

  1. Join the meeting.
  2. Open More actions > Record and transcribe > Start recording, then confirm.
  3. To end the recording, open the same menu and select Stop recording. If transcription is running, stop it separately if you do not want it to continue.

Teams says participants are automatically notified when recording starts, and only one person can record at a time. The available controls and policy can vary by meeting type and administrator settings (Microsoft Support; Microsoft Learn).

Zoom and Google Meet

Use the platform’s own recording control rather than trying to capture the meeting by bypassing its permissions or participant notices. Zoom’s documented workflow may prompt participants to consent or leave when recording starts; its requirements can depend on the app version (Zoom Support). Google Meet notifies participants when recording starts or stops. Both platforms restrict recording availability according to account and administrator settings (Google Meet Help).

Find the file and restrict access

Cloud recordings are saved to platform-linked storage, so sharing the meeting link alone may not be enough to control access. The storage location differs by service and, for Teams, by meeting type.

Microsoft Teams OneDrive or SharePoint, depending on the meeting type (Microsoft Learn). Check the recording or transcript’s file-level permissions. Sharing its link or changing permissions in SharePoint can make the original meeting-level access setting no longer apply (Microsoft Support).
Zoom Cloud recording; the cited authentication guidance concerns cloud recordings. Depending on settings, require viewers to sign in, limit access to a specified domain, or share with selected people (Zoom Support).
Google Meet The meeting organizer’s Google Drive (Google Meet Help). Review Drive sharing permissions and any calendar or event-related access behavior.

Share with the fewest people who need it

  1. Wait until the recording has finished processing, then open it in the platform’s designated storage.
  2. Grant access to named recipients or the smallest appropriate authenticated group. In Zoom, authentication settings can limit viewers to specified people or a domain.
  3. Check the actual file permissions after sharing. In Teams, an altered SharePoint permission or shared recording link can override the meeting-level access choice.
  4. Review whether recipients can download the file and whether external guests can access it. Teams documentation says guests and external attendees need explicit sharing in the described workflow.
  5. Set or confirm a retention or expiration date that follows your organization’s rules, and remove unnecessary copies where policy permits.

Handle recordings as retained information

A recording, transcript, and related chat can contain personal or confidential information. Limit access to people with a legitimate need to know, avoid external sharing unless authorized, and follow the applicable retention schedule. The University of British Columbia’s October 2025 institutional guideline says: “Microsoft Teams and Zoom retain recordings for 12 months by default.” That statement describes UBC’s institutional context; it is not a universal platform default. The guideline also recommends reviewing transcripts and summaries before relying on them (UBC PIA Guidelines, October 2025).

Recording laws and consent requirements vary by location and context. A platform notice is useful participant information, but do not treat it as proof that every legal or workplace requirement has been met.
