In most video meetings, select Share or Present in the meeting controls, choose a screen, window, or tab, approve any permission prompt, and stop sharing when you are done. For privacy, share one app or window rather than your entire desktop when that option is available. Audio usually requires a separate setting.
Before you share: choose what participants can see
A whole-screen share can show anything that appears on your display as you switch apps, including files, private messages, and notifications. A window or tab share narrows the view when the platform offers it. Before sharing your entire screen, close or hide anything you would not want meeting participants to see.
Sharing starts from the meeting controls; other participants do not automatically see your screen. Zoom says hosts and participants cannot see it without your permission or without you knowing. You choose the content to share, but should still check that selection before continuing.
How to share in most video meetings
- Join the meeting and find Share, Share screen, or Present in the meeting controls.
- Choose the screen, app window, tab, or other content you want to show. Pick a specific window or tab if it meets your needs and you want to limit what is visible.
- Approve the browser or operating-system screen-capture permission prompt if one appears.
- If people need to hear a video or other device audio, enable the meeting app’s audio-sharing option and check what sound it will send.
- When you finish, select Stop sharing, Stop presenting, or the equivalent control.
Available choices and labels differ by service, device, and operating system. The platform-specific examples below cover Zoom, Microsoft Teams, and Google Meet on Android.

Platform-specific steps
Zoom
In the meeting controls, select the screen-sharing control and choose what to share. Zoom documents options including an entire desktop or phone screen, a specific application, a resizable portion of a screen, a second camera, a whiteboard, local video, device audio, and an iPhone or iPad screen. Which options appear depends on your device and meeting context. Follow the meeting controls to end the share when finished.
Because a whole-screen share shows what is displayed as you move among apps or files, choose a specific application when you do not need to show the rest of your desktop. See Zoom’s screen-sharing instructions and its security guidance.

Microsoft Teams
In a meeting, select Share in the meeting controls, then choose an entire screen or a window. Teams warns that sharing the entire screen can expose notifications and other activity. Stop with Stop presenting or the corresponding stop control; on mobile, use the stop option for presenting or broadcasting.
On a Mac, Teams may request screen-recording permission. If needed, open System Settings > Privacy & Security and allow screen recording for Teams, then try sharing again. Microsoft’s steps are in its Teams meeting-sharing guide.

Share computer audio in Teams
Before sharing, select Share and turn on Include sound if participants need to hear computer audio. Microsoft says this can send all computer audio, including notifications. In Teams for web, sharing a tab can include tab audio, while a window or entire screen can include system audio. Microsoft’s cited instructions say computer-audio sharing on Mac requires a Teams audio driver. Check the scope of the option before you start, particularly if notifications could contain private information. Microsoft explains Teams sound sharing here.
Google Meet on Android
- Join the meeting, tap the screen, then tap More.
- Tap Share screen, then select Start Sharing.
- If the Present to everyone prompt shows an audio checkbox and you want to share sound, select it. Google notes that this option is not available on every device; muting your microphone stops the shared audio.
- When finished, tap Stop sharing and confirm if prompted.

If screen sharing does not work
The share control is missing or unavailable
The meeting host or organization may have disabled participant sharing. Check with the host, then check the service’s sharing settings. Zoom documents controls for enabling or disabling participant screen sharing.
The app or browser requests permission
Allow screen capture or recording for the meeting app or browser in your operating system’s privacy settings, then retry. On Mac with Teams, use System Settings > Privacy & Security and the screen-recording permission. For Meet, Google recommends checking browser screen-share permissions in its screen-sharing troubleshooting guide.

Participants see the wrong content
Stop the share and select the intended window or tab instead of the whole desktop if that choice is available. Close or hide private material and notifications before sharing again.
Participants cannot hear a video or other audio
Check that you enabled audio sharing and that the setting applies to the content you selected: a tab, window, or entire system can have different audio behavior. Confirm that your device and operating system support the mode. Google says Meet window or desktop audio sharing requires macOS 14.2 or Windows 11, or newer; this requirement applies to that described sharing mode, not necessarily every Meet audio-sharing option. For Android, the audio checkbox appears only on supported devices.
