A platform may greet website visitors, answer product questions using approved business content, and collect lead details. Some also support messaging beyond a website. Channel coverage varies by product, so “chat” should not be taken to mean that a tool supports every messaging channel.
Qualification and routing
Qualification workflows ask discovery questions and assess fit or intent against criteria a business has configured. When a lead meets those criteria, the platform can pass the lead to a seller, ideally along with the conversation history. The quality of this handoff depends on the questions, rules, and connected sales systems—not simply on having an automated conversation.
Follow-up and meeting booking
Some systems help continue a lead conversation or draft a follow-up using available CRM or conversation context. Others connect to availability and calendar workflows so a prospect can book a meeting or be handed off to a seller. These functions depend on the product and its integrations.

CRM context and pipeline workflows
CRM connections can associate conversations and qualification signals with customer or deal records. Depending on the implementation, that context may help a sales team understand a lead’s history or support pipeline updates. Check what data is actually captured and where it appears; the category label alone does not specify the integration or record behavior.
Conversation intelligence
Conversation-intelligence features can transcribe and summarize interactions, identify topics or moments, and support seller coaching. They analyze conversations rather than necessarily talking to prospects. A business choosing this function should consider what is recorded, monitored, retained, and made visible to employees.

These are documented use cases, not proof that adopting a platform will increase revenue or conversion. In HubSpot’s guide, updated August 19, 2026, HubSpot reports that 84% of surveyed sales professionals said AI saves time and optimizes processes, and 83% said it helps personalize prospect interactions. Those are survey responses, not causal evidence that conversational sales platforms produce a sales lift.

Start with the sales motion you want to improve. A team trying to respond to website inquiries needs a different core capability from a team trying to review sales calls. Use the following criteria to compare products against that specific workflow:

- Channels: Confirm where prospects can converse and whether those are the channels your buyers use. Coverage can vary across website chat, messaging, email, voice, and sales calls.
- Approved content: For automated answers, determine whether the tool can ground responses in your business content and how that content is controlled.
- Qualification rules: Check whether discovery questions and lead-fit criteria can reflect your sales process, and how the system uses answers to determine the next action.
- Human handoff: Understand how a conversation reaches a seller, what context is transferred, and what happens when the automation cannot resolve a question or complete a step.
- CRM, calendar, and data integrations: Confirm which records or availability systems connect to the workflow and what information is written back or retained.
- Analytics and coaching: If you need conversation intelligence, examine the available summaries, topics, reporting, and coaching functions separately from prospect-facing engagement.
- Governance: Review recording, monitoring, access, and storage controls, as well as applicable legal obligations in the places where employees and customers are located.
Privacy, governance, and evidence to keep in perspective
Conversation systems may process customer messages, sales-call recordings, employee analytics, or CRM data. Governance is therefore part of product fit, not an afterthought. Microsoft says customers are responsible for complying with applicable laws concerning access to employee analytics and the recording and storage of communications. Microsoft also cautions that its conversation-intelligence feature is not intended for employment-affecting decisions, including decisions about compensation, rewards, seniority, or rights and entitlements.
More broadly, vendor documentation can show what a product is designed to do; it does not by itself establish independent effectiveness. The available survey finding from HubSpot is about respondents’ views of AI, not a controlled measure of category-wide business outcomes. Treat claims about time savings or personalization as claims to assess against your own workflow, rather than as a guaranteed result.
How to choose the right type
- If your main need is to respond to incoming web or messaging interest, prioritize prospect-facing engagement, accurate answers, lead capture, and a clean human handoff.
- If your main need is to qualify and distribute leads, prioritize configurable questions and criteria, routing behavior, and CRM context.
- If your main need is to schedule sales conversations, focus on calendar workflow and how booked meetings connect to the seller and lead record.
- If your main need is to improve visibility into sales calls or written exchanges, evaluate conversation intelligence, analytics, governance, and coaching controls rather than judging the tool by its chatbot.
- If you need several functions, map the end-to-end workflow: what starts a conversation, what information is collected, which rules trigger an action, which system receives the context, and when a person takes over.
