Use ChatGPT for business by starting with a bounded task, giving it approved context, specifying what a good result looks like, and having a person check the output before it is used. For repeated work, a custom GPT can package stable instructions and reference files; connected apps can bring in company context or support actions when the workspace and provider permissions allow them.

ChatGPT Business is a team workspace with centralized billing and administrator controls. OpenAI says it does not train models on Business workspace data, but that does not settle every question about connected providers, retention, legal requirements, or administrator access. Treat ChatGPT as an aid to drafting and analysis—not as a substitute for the source records or the person accountable for the decision.

Start with a workflow you can bound and review

Keep the first version narrow. Once the task, inputs, and checks work reliably for your team, decide whether the instructions should become reusable or whether the workflow needs a connected app.

Practical ChatGPT workflows for business

Draft or transform routine material

ChatGPT can turn supplied notes into a first draft, summarize a meeting record, or adapt approved material to a defined format. The strongest use case is transformation of material a person has already selected, not asking the model to invent missing facts.

A prompt for a meeting summary might specify the source, audience, and desired structure: “Use only the notes below. Create a short internal summary with decisions, action items, owners, and unresolved questions. If an owner or date is missing, label it ‘not specified’ instead of guessing.” Before sharing the summary, a participant should check the decisions, names, dates, assignments, and any sensitive details against the meeting record.

For customer-facing or public material, add the approved source text, required wording, prohibited disclosures, and a clear instruction to flag unsupported claims. A human should confirm that the draft does not create a promise, policy, price, or commitment the business has not approved.

Package repeatable guidance in a custom GPT

A custom GPT can combine purpose-specific instructions, uploaded knowledge, and selected capabilities. It can help standardize a recurring task—for example, shaping approved internal guidance into a consistent response format—without requiring each employee to reconstruct the instructions every time.

  1. Give it one clear purpose. Define the job in terms of the input it receives and the output it should produce. Avoid combining unrelated roles that need different sources or review standards.
  2. Write the operating rules. Name the sources it should rely on, explain how to handle conflicts or missing information, and state when it must stop and request human input.
  3. Add only approved reference material. Use current documents that the intended users are permitted to access. Establish who owns updates so stale files do not quietly become the GPT’s working reference.
  4. Select only necessary capabilities. A workflow that only drafts from reference material may not need access to external tools or services.
  5. Test representative requests in preview. Try ordinary cases, incomplete inputs, conflicting instructions, and requests that should be declined or escalated. Check whether the output follows the rules and cites or identifies the right source material where applicable.

Use write actions cautiously

A connected tool may support actions such as creating a project issue or triggering a workflow. These actions change an external system, so treat them differently from summarizing or looking up information.

  • Limit who can invoke the action and which records it may affect.
  • Make the intended change explicit, including the destination, content, and any required fields.
  • Require a human to inspect the request and intended result where the impact warrants it.
  • After the action, inspect the resulting record or workflow in the system that owns it.

Keep app access narrow

ChatGPT Business is described by OpenAI as a self-serve team workspace with centralized billing and administrator controls.
