AI agents can carry out multi-step tasks—not just answer questions—by using context, approved tools and decision rules to reach a defined outcome. In customer support, that can mean troubleshooting a product issue, checking an order or guiding a return. Elsewhere, agents can prepare meeting briefs, triage helpdesk requests or compile recurring reports. The useful question is not whether a system uses generative AI, but what task it can complete, what it is allowed to do and when a person must take over.

What counts as an AI agent?

OpenAI’s A practical guide to building agents describes an agent as a system that independently accomplishes tasks on a user’s behalf. It uses a language model to manage workflow execution and make decisions, can choose tools to gather information or take action, recognizes when the task is complete, and can stop or return control to a person when needed.

That makes an agent different from a conversational interface that only generates a reply, or a classifier that labels a message without controlling what happens next. A support assistant that answers a policy question from a fixed response may be useful AI, but it is not necessarily an agent. One that checks relevant records, asks for missing details, follows an approved return process and either completes the request or escalates it is carrying out a task.

Not every agent needs broad autonomy. It may be limited to retrieving information, drafting a recommendation or prompting an employee to complete a step. What matters is that it manages some part of task execution using context and tools, rather than simply producing text.

Customer support AI agent examples

Support tasks are especially clear examples because each has a recognizable trigger, information needs, possible actions and completion condition. The examples below are documented workflow patterns, not claims of independently measured results. Their actual capabilities depend on the systems, data access and permissions an organization provides.

1. Technical troubleshooting

A technical-support agent can answer product questions, search a knowledge base and guide a customer through issue resolution. For an outage or malfunction, it might first establish which product or service is affected, gather symptoms and consult relevant support material. If the problem remains unresolved or requires an action outside its authority, it can pass the gathered context to a human support specialist.

  • Useful inputs: the customer’s description, product or account details where appropriate, and current troubleshooting documentation.
  • Possible tools: knowledge-base search and, if authorized, service-status or diagnostic systems.
  • Completion condition: the customer confirms the issue is resolved, or the agent provides a useful escalation with the information already collected.

OpenAI’s practical guide uses technical support as an example of an agent task. It does not establish a particular resolution rate or guarantee that a given product integration is available.

2. Order tracking and delivery questions

An order-management agent can look up an order and answer questions about its status or delivery schedule. Unlike a static FAQ, it needs access to the relevant order record and must match that record to the right customer under the organization’s identity and privacy rules. If tracking data is missing or inconsistent, the safe outcome may be to explain the limitation and route the question to a person rather than invent an update.

  • Useful inputs: an order identifier or authenticated account context.
  • Possible tools: an order-management system and carrier or fulfillment information, if connected and permitted.
  • Completion condition: the customer receives a status grounded in the available record, or the request is escalated with its context.

3. Returns and refunds

An agent can help process a return or refund request by collecting the information required by the company’s policy, checking eligibility through approved systems and guiding the customer through the next step. Processing a refund is a consequential action; access to a refund tool should be limited to the cases and amounts the organization has authorized, with approval or human review where required.

OpenAI’s practical guide identifies return and refund requests as an order-management example. Google Cloud’s Multi-step workflows documentation describes a more specific branching case: a customer reports a damaged, broken or defective item and asks for a replacement or refund. The workflow can collect information, include manual steps and tool calls, and wait for human approval before important actions. This pattern is useful when different answers or evidence lead to different next steps.

4. Sales assistance and purchase support

A sales agent can help a business customer browse a product catalog, compare possible solutions and move toward a purchase. OpenAI’s practical guide describes an enterprise sales assistant that can facilitate a transaction, including a purchase-order action. That action depends on a suitable catalog or purchasing integration and explicitly granted permissions; it is not a capability to assume of every sales assistant.

  • Useful inputs: the customer’s requirements and a current product catalog.
  • Possible tools: catalog search, product or account information, and an authorized purchasing system.
  • Completion condition: a suitable recommendation is provided, or a purchase action is completed through an approved process.

5. Appointment inquiry, cancellation or scheduling

Google Cloud’s multistep workflow examples include appointment inquiries, cancellations and scheduling. For an inquiry, the sequence can validate the customer, retrieve the appointment record and confirm the relevant details. A scheduling or cancellation flow may need additional steps and should make the resulting change clear to the customer.

This is a good fit for a process with required checks: the agent can collect the request conversationally while the workflow ensures that identity validation and the necessary booking steps are not skipped. The organization still needs to define which changes the agent may make itself and which require a person’s approval.

6. Support escalation summaries

An event-triggered agent can prepare a concise summary when a support case needs escalation. OpenAI Developers’ API-trigger cookbook lists support escalation summaries as a use case. The trigger might be a case reaching a defined status; the output could capture the issue, relevant context already collected and the reason for escalation. A useful success condition is delivery of the summary to the intended support destination, not merely generation of a plausible-looking paragraph.

Access should be limited to information needed for the handoff. The workflow should also distinguish between a draft for an employee and a message sent to a customer or another team.

AI agent examples beyond customer support

7. Briefings from multiple sources

An agent can gather information from several permitted sources, compare relevant signals and produce a memo for a defined audience. The task needs an explicit scope: which sources count, what period or subject to cover, what the intended reader needs and where the finished briefing should go. A person may need to review the result, particularly when the material is consequential or source coverage is incomplete.

OpenAI Academy’s Workspace agents, dated April 22, 2026, presents cross-team workflows as repeatable work that uses shared systems, consistent handoffs and defined outputs. Its examples include governance choices such as keeping recommendations in draft form or escalating high-priority issues.

8. Sales meeting preparation

An OpenAI Developers cookbook example describes a workspace agent that finds upcoming customer meetings, excludes internal-only meetings, collects account material, searches for recent company news and prepares a meeting brief. The steps matter: the agent is not simply asked to “summarize the customer,” but given a defined selection rule, information-gathering tasks and an expected output.

For a dependable brief, the workflow needs access to the relevant calendar and account materials, a clear rule for which meetings qualify, and a destination or format for the result. Recent news should be presented with enough context for the employee to assess it rather than treated as a substitute for human judgment.

9. Employee helpdesk triage

An event-triggered agent can help sort employee helpdesk requests and prepare them for the right next step. OpenAI Developers’ API-trigger cookbook lists employee helpdesk triage as a possible use case. A narrowly scoped version might categorize an incoming request, gather missing information or prepare a summary for a human team. If it can make changes to employee accounts or systems, those actions require carefully bounded permissions and appropriate approval rules.

10. Recurring reports and team updates

An agent can summarize new records on a schedule or prepare a weekly team update. The API-trigger cookbook lists weekly reporting that summarizes new records or prepares a team update as an example. To make the output useful, specify which records count, the reporting period, the intended audience, the format and the destination. Define whether the agent should only draft the update or publish it.

Conversational agents versus structured workflows

Google Cloud distinguishes chat agents from workflows by the shape of the task. Chat agents are suited to open-ended conversation, dynamic tasks that depend on the user’s input, and question-answering or personalized data lookup. Workflows are sequences of steps or actions that can combine AI automation with human intervention.

How to choose and scope a first agent workflow

Start with a repeated task whose outcome can be checked, not with a broad ambition to “automate support.” OpenAI’s practical guide recommends considering whether a use case has well-defined success criteria, repeated work and a process suited to agent flexibility. Its guidance also emphasizes bounded tool access, guardrails and the ability to halt or transfer control.

  1. Choose one narrow, recurring task. Give it a clear trigger, such as a customer request, a case status change or a scheduled reporting event. OpenAI Developers’ API-trigger cookbook recommends starting with one narrow workflow and one clear source event.
  2. Define the finished result. State what observable condition means the task is done: for example, a confirmed appointment, a return request submitted for approval or an escalation summary delivered to the correct team.
  3. List only the necessary information and tools. Identify the records, knowledge sources and systems the task truly needs. Grant access only to those resources and actions; do not give a support agent broad permissions merely because they might be useful later.
  4. Make the procedure explicit. Turn existing scripts, operating procedures and policy material into steps, decision points and permitted actions. OpenAI’s practical guide to building agents advises grounding customer-service routines in existing operating materials.
  5. Specify exceptions and handoffs. Decide what happens when identity cannot be confirmed, information is missing, a policy case is ambiguous, a tool fails or an action needs approval. Define who receives an escalation and what context should accompany it.
  6. Test representative cases before expanding scope. Include ordinary requests, incomplete details, conflicting information, tool errors and cases requiring human review. Check whether the agent reaches the defined completion state, respects its permissions and hands off when it should.
  7. Expand cautiously. Add another source, destination or permitted action only after the initial flow behaves consistently. Keep approval controls for consequential actions and monitor whether the workflow’s outputs remain useful.

What makes an agent example production-ready?

A compelling demo can obscure the operational details that determine whether a workflow is safe and useful. Before treating any example as ready for real customers or employees, make these elements explicit:

  • Trigger: what user request, event or schedule starts the task?
  • Context: which records or knowledge sources may the agent consult, and how does it identify the right person or case?
  • Tools and permissions: can it read, draft, update, submit or approve? Which actions are off limits?
  • Success condition: what verifiable result marks completion?
  • Failure path: what does it do when evidence is missing, systems disagree or a tool is unavailable?
  • Human control: where is approval mandatory, and how does a person regain control?
  • Output owner: who receives the result, and who is accountable for acting on it?

OpenAI Academy’s workspace-agent examples emphasize governance patterns such as draft-only recommendations, escalation of high-priority issues and approval before submissions or budget changes. Google Cloud’s workflow examples show how manual steps and approval points can sit alongside automated actions. These controls are part of the workflow design, not an afterthought.

Frequently Asked Questions

Is an AI agent just a chatbot?

No. A chatbot may only answer or classify. An agent manages at least part of a task’s execution using context and tools, and can recognize completion or hand control back to a person.

What is a good first customer-support task for an AI agent?

Choose a repeated task with a clear trigger and verifiable outcome, such as looking up an order status or preparing an escalation summary. Keep the first version narrow and define its data access, permitted actions and handoff conditions.

Can an AI agent issue refunds or change appointments automatically?

Only if it has an appropriate integration and explicit permission to do so. Refunds and other consequential changes may require approval or human review; the workflow should state which cases can be handled automatically.

Should I use a conversational agent or a workflow?

Use conversation when the next step depends on what a user says. Use a structured workflow when required steps, branches or approvals need to be tracked. The two can work together.

Do these examples prove that AI agents improve support outcomes?
