Before connecting an AI or voice assistant to your household calendar, shopping accounts, or smart-home devices, review what it can access, what it saves, who can use it, and how the account is secured. The exact controls vary by service, device, region, and software version, so look in the assistant’s app and account settings rather than relying on a universal menu path.
Check what the assistant can hear and access
Voice assistants can mistake background speech for a wake word. When that happens, they may capture audio and send it to the provider’s servers. Check the device’s listening indicators and learn how to stop its microphone from listening when you need privacy. On a smart speaker, see whether a physical mute switch disables the microphone.
On a phone or computer, review the assistant app’s permissions. Keep access limited to what the feature you use requires; for example, a household task may need calendar access but not camera or photo access. Permission needs depend on the function, so check each one rather than approving every request by default. The Federal Trade Commission’s home Wi-Fi security guidance and the UK Information Commissioner’s Office (ICO) smart-products guidance discuss privacy and security considerations for connected devices.
Find out what the service saves and how it is used
Look for saved conversations, audio recordings, transcripts, and activity history. Check whether the service offers a retention period, automatic deletion, manual deletion, or a way to opt out of human review of recordings. Read the privacy notice to understand what information is processed, why, how long it is kept, and who receives it.

Do not assume that deleting a conversation visible in the app removes every retained or derived copy. Deletion behavior is service-specific; check the provider’s notice for what deletion covers and whether any exceptions apply. The ICO recommends that privacy information be specific to the product and easy to find again, such as through settings or a privacy dashboard. Its transparency and privacy information guidance explains what clear privacy information should cover.
Review connected accounts and household access
An assistant’s usefulness often depends on account integrations, but each connection can expose more information or enable actions. Review connected email, calendar, shopping, smart-home, and other accounts; unlink anything you do not need for the household tasks you actually use.

Shared speakers and screens create a separate access question: household members or visitors may be able to interact with the device. Check whether you can require a PIN for voice purchases, disable voice ordering, use guest mode, or manage household-member access. Pay particular attention to linked email and calendar accounts, which may contain personal information beyond the task at hand.
Decide whether personalization and advertising are acceptable
Check whether interaction or device information can be used to personalize advertisements, and turn off available controls if that use is not acceptable to your household. Options vary by product. The ICO notes that information from smart products can contribute to a detailed picture of a person; its consumer guidance on smart products is UK-focused and is under review following the Data (Use and Access) Act, so its legal discussion should not be treated as universal advice.

Secure the account, device, and home network
- Use a unique password: Do not reuse a password from another service. The FTC’s U.S. consumer guidance recommends a password of at least 15 characters.
- Turn on multifactor authentication: Enable MFA or two-step verification when offered. An authenticator-generated code is one example of an additional verification factor described by the FTC.
- Keep software current: Install updates for the assistant device and the phone or computer used to manage it.
- Secure the router: Use the router’s available security settings and keep its software current. The FTC states, “The more secure your router, the more secure your connected devices will be.”
These are general security steps, not guarantees that a service will prevent every privacy or account risk. The FTC recommendations are U.S. consumer guidance dated December 2022; the ICO material addresses UK data protection and smart products. Neither jurisdiction’s guidance should be assumed to describe every country’s rules.
A practical review order
- Open the assistant’s app and account settings. Find privacy, activity, history, or data controls; labels vary by service and version.
- Check device listening and app permissions. Confirm how to identify active listening, locate any physical mute control, and limit permissions to those needed.
- Inspect history and retention controls. Review recordings, transcripts, auto-delete, manual deletion, retention periods, and human-review options.
- Audit integrations and household controls. Disconnect unneeded accounts, review who can use shared devices, and secure or disable voice purchases.
- Review personalization and security. Adjust ad controls, enable MFA, update devices, and secure the router.
- Save the privacy notice location. Keep a route back to the service’s explanation of processing, retention, sharing, and ways to exercise applicable rights.
Understand the limits of household privacy rules
Using a product at home does not automatically mean its manufacturer’s processing is outside data-protection oversight. The ICO distinguishes an individual’s purely household activity from a manufacturer’s processing for its own purposes. The ICO’s smart-products guidance is specific to the UK and is under review after the Data (Use and Access) Act; the rules and available rights can differ elsewhere.
