Choose Google Keep for quick capture, lists, and reminders; OneNote for notebook-style organization and a Microsoft-centered workflow; or Obsidian for local Markdown files and a connected personal knowledge base. The right fit depends less on which app has the most features than on how you want to collect, organize, sync, and keep your notes. This comparison is based on documented product features, not hands-on testing.

How the three note apps differ

These are workflow distinctions, not claims that one app is objectively faster or easier. The product documentation describes features and behavior, not controlled comparative tests.

Choose Google Keep for quick capture and lists

Keep is designed as an online notes and list tool. Google says notes remain updated offline and changes sync when the device reconnects. Keep can also export notes to Google Docs, which makes it a practical choice when you want a light capture surface in a Google-centered setup. See Google Keep.

If you expect to move your notes later, distinguish being able to export from preserving every feature. Google documents a way to export and download Keep data. Obsidian’s import guide describes using Google Takeout followed by its Importer plugin, but says checklist indentation is not exported and reminders and user assignments are not imported as Keep-specific behavior. Google’s privacy help says attached files such as photos and voice-note audio are stored in its data centers, offline-accessed information is stored on the device, and performance data is collected to improve reliability and troubleshoot issues. That description does not establish that Keep is end-to-end encrypted or support a broader comparative privacy conclusion. See Google Keep privacy help.

Choose OneNote for a notebook-style system

OneNote gives notes a familiar hierarchy: notebooks contain sections, and sections contain pages. That structure suits people who prefer to browse organized notebooks rather than build a folder of linked text files. Microsoft says supported OneNote versions are free to download and use, while certain premium features can be unlocked with an optional Office 2019 or Microsoft 365 subscription. The exact experience depends on the OneNote version, device, and account, so identify your edition before comparing features. See Microsoft’s OneNote version comparison.

Check sync when changing devices or collaborating

Sync depends on the notebook and app setup. Microsoft documents that if automatic notebook synchronization is turned off, other people will not see changes until it is turned back on. On Windows, working with an offline file can also leave changes in a local cache rather than the server copy. Check notebook sync status when collaborators or another device need the latest version. Check the export route before moving to Obsidian

Obsidian documents both account-based OneNote import and import from exported OneNote Package (.onepkg) or section (.one) files. The file-export route depends on OneNote for Windows desktop; the Mac app and older OneNote for Windows 10 app cannot export to those formats. Work or school accounts may require organizational approval, and account-sign-in import is limited to notebooks owned by that account. Check Obsidian’s OneNote import guide against your installed OneNote version before choosing a migration method.

Choose Obsidian for local Markdown files and linked notes

Obsidian stores notes as Markdown-formatted plain-text files in a local vault folder. You can manage those files with other text editors and file managers. Obsidian documents syncing through its own service and third-party options including Dropbox, iCloud, OneDrive, and Git. This model is a good fit if direct access to your note files matters and you are comfortable maintaining a folder-based system. See Obsidian’s data storage guide.

Links and graph tools support—but do not build—the knowledge base

Obsidian’s built-in core features include backlinks, Graph view, daily notes, search, Canvas, and templates. Backlinks show notes that link to or mention the current note, while Graph view visualizes relationships between notes. These tools can support a connected knowledge workflow, but useful connections still depend on how you organize and link your own notes. Plan sync and backups separately

Obsidian Sync is an optional subscription service. Its current help page lists Standard and Plus plan limits for vaults, file size, storage, and version history; check the live plan and storage limits for current details. Obsidian recommends using a backup system and explicitly says a syncing service is not a backup. See Obsidian’s Sync setup guide.

What to weigh before choosing

  • Capture and organization: Keep favors individual notes and lists, OneNote uses notebooks and sections, and Obsidian uses vault files, folders, properties, and links.
  • Ecosystem: Keep fits naturally with a Google account and Docs; OneNote aligns with Microsoft services; Obsidian keeps notes in local files that can also be edited with other tools.
  • Portability: Keep and OneNote have documented import or export routes, but migration can lose app-specific behavior or require a particular version. Obsidian’s Markdown files are directly inspectable, although app-specific links, metadata, attachments, and configuration may need attention when moving to another tool.
  • Sync and offline use: Keep documents offline access followed by sync on reconnection. OneNote sync depends on its settings and setup. With Obsidian, choose a sync method that suits your devices and keep a separate backup.
  • Complexity tolerance: If you want a simple place to capture notes and lists, Keep is the closest fit. If you prefer a preset notebook hierarchy, consider OneNote. If you want to maintain your own linked file system, Obsidian offers the most direct control over the underlying notes.

Switching between the apps

Move Google Keep notes to Obsidian

  1. Export and download your Keep data using Google Takeout.
  2. Use Obsidian’s Google Keep import guide to bring the exported notes into a vault.
  3. Review checklists and reminders after import: checklist indentation is not exported, and reminders and user assignments do not transfer as Keep-specific behavior in this workflow.

Move OneNote notebooks to Obsidian

  1. Choose account-based import or file import using Obsidian’s OneNote import guide.
  2. If using files, confirm you can export OneNote Package (.onepkg) or section (.one) files from OneNote for Windows desktop.
  3. Before account import, check whether the notebook is owned by the signed-in account and whether a work or school organization needs to approve the import.

Move Obsidian notes elsewhere

Obsidian’s Markdown files can be opened with other text editors, but a move may still need attention to links, metadata, attachments, and configuration. See Obsidian’s data storage guide.
