To extract transactions from a scanned bank statement PDF, first make the page image readable to OCR, then convert the recognized text into transaction rows and verify every value against the original. OCR creates searchable text; it does not always preserve the table structure needed for a reliable CSV or spreadsheet.
1. Check whether the PDF needs OCR
Open the statement and try to select and copy a transaction line. If you can select the words, the file may already contain searchable text. If selecting a line only selects the whole page image—or copying yields nothing—the PDF may be image-only and need OCR. Adobe explains how scanned PDFs can contain image data without selectable text in its Acrobat Scan & OCR instructions.
Save an untouched copy before editing or sending the statement to a processing service. Bank statements contain sensitive financial information, so decide whether a cloud upload is acceptable before using an online service or API.
2. Prepare the scan and recognize its text
OCR works from the page image. If the scan is crooked, faint, or cropped, correct it before recognition where possible. Adobe’s OCR tutorial covers enhancing a scan or camera image, adjusting page borders, and cleaning and straightening pages. Microsoft likewise recommends a clear photo or high-quality scan for document analysis in its bank statement model documentation.

Run OCR in Acrobat
- Open the statement in Acrobat and select All tools > Scan & OCR > In this file.
- Choose the page range and recognition language that match the document.
- Select Recognize Text. Acrobat adds a searchable text layer to the PDF; the original page image remains the visual reference.
- Try selecting and copying a transaction line again. Check that the recognized text is legible before moving on to row extraction.
Acrobat also documents OCR for multiple files and an online OCR route; available options can depend on the product version and plan. This step makes text searchable, but it does not by itself guarantee that copied text will remain arranged in correct transaction rows.
3. Turn recognized text into transaction rows
When the statement has a clear table, copy or export its rows into a spreadsheet and check that each date, description, debit, credit, and balance stays in the right column. If OCR produces a block of plain text, use the original page layout to rebuild the rows rather than assuming that adjacent extracted words belong to the same transaction. Wrapped descriptions may span lines, and amounts can be especially easy to shift into the wrong row.

For code-driven workflows, choose a tool that analyzes tables or bank-statement fields, not just one that returns recognized text. AWS Textract describes extracting text, tables, and structured document data, with confidence scores and bounding boxes for identified elements. Microsoft’s documented prebuilt-bankStatement.us model returns statement and transaction details as structured JSON, but its stated scope is US bank statements; do not assume it supports statements from other countries. Adobe’s developer-focused PDF Extract API extracts text, tables, images, and other structure from native and scanned PDFs into JSON, with tables optionally available as CSV or XLSX. These APIs are distinct from Acrobat’s guided desktop workflow.
4. Choose a workflow that fits the job

Before choosing, consider whether you need searchable text or clean transaction rows, how many statements you process, the statement’s country and language, your required output format, and whether cloud processing is acceptable for the financial data. Vendor documentation describes capabilities, not a universal accuracy rate; results depend on the scan, statement layout, and tool configuration.

5. Verify the extracted transactions
Review the output against the statement image before relying on it. Adobe specifically advises reviewing OCR output for accuracy and completeness, then correcting errors or rerunning OCR with adjusted settings in its Scan & OCR guidance.
- Check dates, including year and date order.
- Confirm descriptions stay attached to the correct transaction, including descriptions wrapped onto another line.
- Check debit and credit columns, minus signs, decimal points, and currency symbols.
- Compare transaction counts and, where shown, opening, closing, and running balances. This is a useful cross-check, not a guarantee that every row is correct.
A misplaced digit or sign can change the meaning of a transaction while leaving the extracted text looking plausible. Treat the statement image as the source of truth and correct the spreadsheet or structured output before using it for accounting, reporting, or reconciliation.
