A bank-statement PDF conversion can look neat and still put a transaction on the wrong date, reverse its sign, or shift a description into the wrong column. The reliable fix is to identify whether the PDF contains selectable text, check the converter’s date and number settings, compare suspect rows with the original, and validate the final columns against the importer’s requirements before importing.
Why a bank statement PDF can convert incorrectly
A PDF is designed to preserve how a page looks, not necessarily to store transactions as a structured table. The converter has to interpret text, positions, and visual cues such as column boundaries. That interpretation can fail even when the resulting spreadsheet appears orderly.
The PDF may contain images rather than usable text
Some PDFs are scans: each page is an image, not selectable transaction text. Encrypted or otherwise unusable text can cause a similar problem. A converter then has to use optical character recognition (OCR), which can mistake characters or leave uncertain values for manual correction. MoneyThumb’s PDF2CSV help recommends checking whether text can be selected and copied, and describes OCR for image-based statements.
The statement’s dates may omit the year
A transaction row may show a month and day while the year appears only in the statement period. A converter can infer the wrong year, especially around New Year, or interpret a date in the wrong order: day-month-year instead of month-day-year, or vice versa. A date that looks plausible is not necessarily correct.

Digits do not tell you the amount convention
Commas, periods, spaces, and minus signs vary by locale. For example, a comma may mark decimals or thousands; a minus sign may appear after the amount; or debits and credits may be represented in separate columns rather than with positive and negative signs. Able2Extract’s server user guide notes that a trailing minus, such as 4,560-, may be interpreted as text instead of a number. A numeric spreadsheet cell alone does not prove that the amount or its direction is right.
Visual columns are not always real data fields
PDF text can be stored in an order that differs from the order a person reads on the page. Extraction methods may use text coordinates to reconstruct rows and columns, but neighboring fields or wrapped descriptions can still be assigned incorrectly. A study by W. V. Lymantama et al., “Optimizing Table Extraction from PDFs: A Dual-Approach Solution”, describes reconstructing reading order and grouping words by position. Its dataset contained 105 statement PDFs from six Indonesian banks; that is a description of one study’s dataset, not a general measure of conversion accuracy.

How to find and correct bad dates, amounts, and columns
- Preserve the original. Keep the bank statement unchanged and make corrections in a copy of the converted file.
- Check whether the statement has selectable text. Try selecting and copying a transaction from the PDF. If the copied text is missing, garbled, or the page is an image, use OCR or obtain a text-based statement or export from the bank if available. MoneyThumb recommends a clean, crisp 300 dpi scan for its OCR process; that is its product guidance, not a guarantee that recognition will be accurate.
- Review the conversion settings. Set the source language and date order to match the statement. Check how the converter handles missing years, decimal and thousands separators, leading or trailing minus signs, and separate debit and credit columns. If spacing or wrapped descriptions are configurable, review those options. MoneyThumb also advises processing pages or sections separately when multiple account sections confuse extraction.
- Compare each suspect row directly with the PDF. Confirm the full date, amount, debit-or-credit direction, description, and row placement. Give extra attention to year-end transactions, page boundaries, and descriptions that wrap onto another line. Correct the export only after checking the corresponding source row.
- Match the destination’s import format. Use the accounting or banking importer’s own instructions for required columns, date format, numeric amounts, currency, and account selection. For example, Xero’s manual bank-statement import guidance identifies invalid dates, non-numeric amounts, inconsistent column alignment, and currency or account conditions as possible import problems. Those requirements are specific to Xero; another destination may expect a different schema.
- Check the corrected file before importing again. Re-import only after comparing the corrected output against the source statement. A successful import shows that the file was accepted; it does not establish that the extracted financial data is accurate.
What to check before choosing a converter or workflow
No universally best converter or general conversion error rate is established by the sources cited here. Compare workflows against the statement you actually have and the system that must receive the data.
