If a student is falling behind, start by identifying what is difficult, then talk with the teacher or school team and agree on a support plan with a review date. A persistent pattern deserves attention, but grades alone do not diagnose a learning difficulty or disability. Learning, language, emotional, social, behavioral, and health factors can all affect school progress, so work with the student, school, and—when appropriate—a pediatrician to understand what is getting in the way.

What to do first when a student is falling behind

  1. Describe the pattern. Note the subjects or skills that are difficult, when the problem began, what the student says, and whether attendance, behavior, or completed work has changed. Gather teacher feedback and examples of work. Ask the student what feels hard without blame or assuming they are not trying.
  2. Contact the teacher or school team. Share your observations and ask what the school has noticed, what support has already been tried, who will coordinate next steps, and when progress will be reviewed. Bringing a short written list of questions can help keep the conversation focused.
  3. Agree on a support and a way to check progress. Ask what specific skill or barrier the proposed support targets, what the student’s current starting point is, and what observable change would count as improvement. Set a date to check in rather than waiting indefinitely for the student to catch up.
  4. Consider other factors and involve the right people. If struggles continue, discuss them with the student’s pediatrician, particularly if there are concerns about health, sleep, mood, behavior, development, or attendance. Involve the student in decisions in an age-appropriate way.
  5. Revisit the plan if it is not helping. At the agreed review, ask whether the strategy, its intensity, or the evaluation plan should change. The school may be able to start regular-education interventions while adults learn more about the underlying need.

The American Academy of Pediatrics recommends a team approach among family, school, and the child’s health-care providers when a child is falling behind (HealthyChildren.org guidance).

What might be making school difficult?

There may be more than one contributing factor, and the same outward sign—such as unfinished assignments or declining grades—can have different explanations. The American Academy of Pediatrics discusses learning and language difficulties, behavioral or psychological concerns, social stress, illness, and chronic medical conditions as possible factors. Health problems can affect attendance and academic performance; grades alone cannot establish a health or learning diagnosis.

Some disabilities are not immediately visible. The U.S. Department of Education notes that disability-related needs can affect a student’s ability to understand instruction, process information, or concentrate. These are reasons to ask what is getting in the way and whether an evaluation is appropriate—not grounds to assume a particular student has a disability (Department of Education Section 504 resource).

How to talk with the school and make a workable plan

Ask the school to turn general concern into a specific plan. Useful questions include:

  • Which subject, skill, or school situation is the main concern?
  • What does the school see in class, attendance, assignments, or assessments?
  • What has been tried so far, and what happened?
  • What support is available, who will provide or coordinate it, and how does it connect with classroom instruction?
  • What information will be used to monitor progress, and when will the school and family review it?
  • If progress is limited, what is the next step, including whether an evaluation should be considered?

In the United States, the Department of Education describes regular-education interventions such as tutoring, mentoring, and before- or after-school programs. Ireland’s Department of Education and Youth describes NEPS casework as consultation and problem-solving among school staff, parents, and the student, including planning, monitoring, and reviewing interventions. Availability and procedures differ by school and jurisdiction; ask the local school what applies. See the U.S. Department of Education overview of meeting students’ needs and Ireland’s NEPS service information.

How to compare school or community supports

Tutoring or mentoring may help with a particular need, but neither is the right answer for every student, and tutoring should not replace an assessment or school services that may be appropriate. Compare the options the school identifies against the student’s specific circumstances:

  • Target: Does the support address the skill or barrier the school and family identified?
  • Practical fit: Can the student attend at the proposed time and place without adding an unmanageable burden?
  • Coordination: Who provides the support, and how will it connect with classroom instruction and communication with family?
  • Evidence of progress: What baseline and follow-up information will show whether it is helping?
  • Access: Is it offered by the school or community, and are there eligibility rules or costs?

When to talk with a pediatrician or ask about evaluation

Bring persistent school concerns to the student’s pediatrician, especially when they occur alongside changes in sleep, health, mood, behavior, development, or attendance. A clinician can help consider whether health factors may be involved and whether educational, psychological, or specialist assessment or referral is appropriate. The American Academy of Pediatrics discusses these possibilities in its guidance on school difficulties.

If a disability may be affecting access to education, ask the school which evaluation process applies where you live. In the United States, families can ask the district about evaluation under the Individuals with Disabilities Education Act (IDEA) and about Section 504. A U.S. individualized education program (IEP) sets academic goals and specifies education services and additional support; Section 504 has a separate framework for evaluating disability-related needs that may require services or accommodations. Eligibility and supports depend on the facts and applicable legal criteria. These U.S. processes do not describe the rules in other countries; request current procedural information from the relevant school or education authority.

In Ireland, the National Educational Psychological Service (NEPS) is the Department of Education’s educational psychology service. Its published casework approach involves consultation and problem-solving with school staff, parents, and the student, including intervention planning and review. Families should ask the school how that approach applies to their child.

What not to conclude from grades alone

  • A period of difficulty does not by itself mean a student has a learning disorder, disability, or lack of motivation.
  • Do not assume there is only one cause; learning, emotional, social, behavioral, and health factors may overlap.
  • Do not wait for a student to catch up without support if the concern is recurring. Ask the school what it can try and how it will monitor the response.
  • Do not treat a generic product or outside tutoring as a substitute for understanding the need, communicating with the school, or considering appropriate evaluation and services.

A historical U.S. statistic should not be mistaken for a current estimate: HealthyChildren.org reported that 6.6 million students, or 13% of total U.S. public school enrollment, received special education services in the 2017–18 school year. It also reported the distribution of conditions among students in those programs for that school year. Those figures describe a past school year, not an individual student’s likelihood of eligibility or today’s enrollment.
