You do not need to have held a job called “administrative assistant” to look for administrative work. Experience and education requirements vary by role and employer, so use related job titles to broaden your search and compare each posting’s duties and stated requirements before applying.

Do you need previous administrative experience?

Not for every U.S. administrative role. O*NET places the general secretary and administrative assistant occupation in Job Zone 1–2: some jobs may require little or no prior experience, while others may call for several months to a year. The employer’s posting—not the occupational profile—sets the requirements for a specific vacancy. O*NET’s occupation profile describes work such as drafting correspondence, scheduling appointments, maintaining files, and providing information to callers.

If your previous title was different, look for concrete examples from your work that match the posting. You might have organized schedules or records, prepared documents, communicated with customers, or coordinated requests. These examples can help you explain relevant experience, but whether they meet an employer’s requirement depends on that role.

What qualifications are typical in the United States?

The U.S. Bureau of Labor Statistics identifies a high school diploma or equivalent as the typical entry-level education for secretaries and administrative assistants. Workers usually learn their skills through a few weeks of on-the-job training. Employers hiring for executive secretary or executive administrative assistant roles may prefer some college or a bachelor’s degree. Certificates are not established as a universal requirement by these U.S. occupational sources. Read the wording of each posting carefully: “required” and “preferred” do not mean the same thing.

What do broad occupational statistics say?

The BLS Occupational Requirements Survey reports the following 2025 estimates for the broad U.S. office and administrative support occupational group. Search beyond “administrative assistant.” O*NET lists these as sample reported titles for the general secretary and administrative assistant occupation:

How should you compare administrative job postings?

Start with what you would actually do. O*NET’s general profile includes routine correspondence, scheduling, files, and caller information. Its executive assistant profile includes managing executive schedules, arranging travel, preparing reports and other documents, and responding to information requests. The profiles illustrate differences in scope; titles alone cannot establish that two jobs are equivalent. For each posting, compare:

  • Duties and scope: Which tasks are central, and how much responsibility or independence does the role involve?
  • Experience and education: What is explicitly required, and what is only preferred?
  • Industry or specialty: Does the posting describe a particular department or kind of administrative work?
  • Tools: Which software or other tools does the employer name?

How does U.S. guidance differ from U.K. advice?
