To verify a cybersecurity vendor for a DoD contract, match the contract’s required CMMC level and assessment type to the current SPRS status for each applicable CMMC unique identifier (UID)—the identifier for an assessed contractor information system. First establish which of the vendor’s systems and services are in scope. A company-wide “CMMC compliant” claim, badge, or certificate image alone does not show that the system supporting your contract has the required current status.

1. Start with the solicitation or contract

Find the CMMC requirement in the specific solicitation or contract, including the required level and assessment type. Requirements can differ between procurements; do not assume that a vendor’s status at a particular level is sufficient for every DoD contract. CMMC applies to covered DoD work involving Federal Contract Information (FCI) or Controlled Unclassified Information (CUI) on contractor information systems, subject to the contract’s terms, implementation phase, and applicable exceptions.

Write down the exact requirement before assessing a vendor. In particular, distinguish the level from the assessment route: a requirement for Level 2 certification through a C3PAO is not met merely by a Level 2 self-assessment.

2. Identify the systems and services that support the work

Map where contract-related FCI, CUI, or security protection data will be processed, stored, or transmitted. Include systems that provide security protection for the covered environment, not just the application or network where users view the data. Ask the vendor to identify the contractor information system or systems that will support your service and explain how they map to the CMMC assessment scope.

Check the actual service boundary. A status for a different business unit, environment, product, or system may not establish that the service being proposed is covered. If the vendor relies on cloud or subcontracted services, identify those dependencies as part of the map.

3. Ask the vendor for the information needed to verify its status

Request a written mapping between the proposed service and the relevant CMMC assessment scope. For each in-scope contractor information system, ask for:

  • The CMMC UID used in SPRS.
  • The CMMC level and status type, including whether the route is self-assessment, C3PAO certification, or DIBCAC assessment.
  • The status date and the related CAGE code or codes.
  • Confirmation that the required affirmation is current.
  • The system scope and service description, including relevant customer responsibility documentation for external service providers.

These details let the procurement-side reviewer compare a specific system record with the contract requirement. A screenshot or a vendor’s statement can help identify what to check, but it is not a substitute for confirmation in SPRS through the authorized procurement process.

4. Confirm the record in SPRS

DFARS 204.7503(b) directs contracting officers to check the Supplier Performance Risk System (SPRS) before award and also for options or extensions. The check is for each relevant UID supplied for systems that will process, store, or transmit FCI or CUI for the contract. The posted status must be current and meet or exceed the level and assessment type required by the solicitation.

Use the vendor-provided UID and system mapping to make sure the record being checked actually corresponds to the work. The reviewed official sources do not establish a public lookup that lets any reader search another company’s UID-specific status. Treat verification as an authorized procurement-side check, rather than assuming that a company name search or public certificate image will answer the question.

5. Understand which status and assessment route the contract requires

CMMC has distinct assessment routes. Compare the contract requirement with the route shown for the relevant system; a shared level number does not make different assessment types interchangeable.

Route What to match to the contract
Level 1 self-assessment Confirm that the solicitation calls for this route and that the corresponding status is current for the relevant system.
Level 2 self-assessment Use only when the contract permits or requires the self-assessment route; it does not substitute for Level 2 C3PAO certification when that is specified.
Level 2 C3PAO certification Confirm the SPRS status reflects the required third-party certification route for the system in scope.
Level 3 DIBCAC assessment Confirm the contract requirement and the posted DIBCAC assessment status for the relevant system.

The route labels and status in SPRS, not a general company claim, are what the authorized reviewer must reconcile with the procurement requirement.

6. Check whether the status is still current

Do not judge currency by how recent a certificate image looks. Check the actual SPRS record, status date, status type, and applicable rule. Under the current rules, a Conditional status is limited to 180 days and depends on the required closeout conditions, including the required affirmation. A Conditional status can expire if required POA&M items are not closed on time.

Final-status validity periods vary by level and assessment route; the applicable period is generally one or three years depending on status type. Affirmations recur annually. Do not infer the exact expiration date from a generic vendor statement: confirm the live status and applicable conditions for that system when the procurement review occurs.

7. Assess external service providers and cloud services

Managed service providers and cybersecurity vendors

An external service provider (ESP) can include external people, technology, or facilities providing IT or cybersecurity services where CUI or security protection data is processed, stored, or transmitted. Ask whether the vendor’s assets handle either category of information and request the service description and customer responsibility matrix (CRM). The CMMC rule provides for documenting ESP services in the organization’s system security plan and service description or CRM, and those services may be part of the customer’s assessment scope.

An ESP may voluntarily pursue certification to reduce assessment effort, but that does not mean every IT or cybersecurity vendor must hold its own standalone CMMC certificate. The organization’s DoD contract requirement sets the minimum assessment type. Determine whether the provider’s services and systems are within the customer’s scope instead of treating the provider’s certification status as an automatic answer.

Cloud service providers

For a cloud service processing CUI, verify the exact service offering and its evidence of FedRAMP Moderate-or-higher authorization or the equivalent security requirements described by DoD policy. A provider-wide brand statement does not establish that a particular offering meets the requirement. The customer’s infrastructure that connects to the cloud service is also included in assessment scope, so confirm how responsibilities are divided and represented in the assessment documentation.

8. Check subcontracting and contract flow-down

Determine whether the vendor is the prime contractor or a subcontractor, which systems will support the work, and whether applicable CMMC requirements have been flowed down to qualifying subcontractors. The CMMC regulation applies to qualifying subcontractors as well as prime contractors. Check the actual contract language and the systems used to perform the work; do not assume the prime’s status automatically covers a subcontractor’s separate environment.

Common verification mistakes

  • Matching only the company name: Confirm the UID belongs to the system supporting the contract.
  • Ignoring the assessment route: A Level 2 self-assessment is not a replacement for Level 2 C3PAO certification when the solicitation calls for certification.
  • Treating Conditional as unrestricted: Check the 180-day limit, POA&M closeout conditions, and required affirmation.
  • Assuming every MSP needs a separate certificate: Determine whether the MSP handles CUI or security protection data and how its services affect the customer’s scope.
  • Relying on a badge or general statement: Verify the level, route, system scope, status currency, and affirmation against the specific procurement requirement.

How to compare two vendor offerings

Use the same checks for each proposed service so that a higher-level or broader-sounding claim does not obscure a scope mismatch.

Where to check the governing requirement

Use the live solicitation or contract and the current SPRS record for the procurement decision. The relevant official rule sources include DFARS Subpart 204.75 and 32 CFR Part 170. As of October 4, 2026, the eCFR page for Title 32 reported currency through October 1, 2026, with its latest amendment dated August 17, 2026; DFARS Subpart 204.75 showed a revision date of November 10, 2025. Contract clauses, implementation dates, vendor scope, and posted statuses can change, so verify them at the time of procurement.
