Build the workflow around a stable claim record: collect and validate each expense, check it against your organization’s policy, save it with a pending status, then send a human approver a decision request. Write the decision and its timestamp back to that same record, and give incomplete, duplicate, rejected, expired, and failed claims explicit outcomes. The pattern below is configurable; your organization must set its own approval authority, thresholds, reimbursement rules, and retention requirements.

How the workflow should work

A useful expense approval workflow is more than a form followed by an approval email. It should keep a traceable record from submission through final status, including exceptions that do not reach an approver.

  1. Capture: receive the claim through a structured form or webhook. Add a dedicated mailbox or Drive folder if receipts commonly arrive as attachments.
  2. Normalize and validate: assign a unique claim ID, check required fields, and confirm that receipt data is complete and totals reconcile where extraction is used.
  3. Check policy: apply explicit rules for required information, duplicates, limits, categories, and approval routes. Use the organization’s policy and, where needed, prior ledger entries.
  4. Persist: write the claim to a ledger as PENDING_APPROVAL before requesting a decision.
  5. Request human review: give the designated approver the information and receipt needed to approve or reject, with an optional comment.
  6. Close the record: update the same claim with the decision or an explicit no-response/expired outcome, notify the employee, and alert the workflow owner to execution errors.

Choose an intake route

Structured form or webhook

A structured submission is a good first route because it can require fields such as employee, expense date, amount, currency, category, and description before the claim enters the workflow. n8n gallery examples show webhook-based expense intake and policy-configurable routing. Email or file intake

If employees already send claims or receipts by email, a mailbox or Drive folder can be monitored instead. The invoice-processing example combines Gmail and Drive intake; another expense example includes IMAP receipt intake. These routes are convenient when attachments are common, but require a plan for matching each receipt to the right employee and claim. Define the claim record before building routing

Use a stable, unique claim ID as the key for every later update. A minimum useful ledger can include:

  • Claim ID and submitter identity
  • Submitted date and expense date
  • Amount and currency
  • Merchant, category, and description
  • Receipt reference or link
  • Policy-check outcome and assigned approver
  • Status, decision timestamp, and decision comment

Store the pending claim before sending the approval request. This makes it possible to match a later approval, rejection, or timeout to the correct entry instead of relying on email subject text or a message thread. The n8n expense and invoice examples use spreadsheet ledgers and status fields, but the exact schema above is an implementation recommendation, not a required template.

Validate information and apply policy deterministically

Check claim completeness

Reject or route incomplete submissions for correction before asking an approver to decide. If OCR or another extraction step reads a receipt, validate the extracted fields and compare the receipt total with the claim amount. The n8n invoice example describes checking extraction completeness and totals before proceeding.

Check duplicates and rules

Define how the workflow identifies a possible duplicate, such as a matching receipt reference or a combination of employee, date, merchant, and amount. Use a review outcome when the match is uncertain rather than silently treating similar claims as identical. Apply organization-defined thresholds, category restrictions, and approval routes with explicit currency and date handling. The expense-claim template demonstrates policy thresholds and ledger-history checks; the invoice example demonstrates duplicate checking and threshold routing.

Keep these decisions in clear, reviewable rules. Do not leave currency conversion, date interpretation, or approval authority to an unstructured model response. Thresholds and other policy values must come from your organization.

Choose an approval channel that returns a decision to the record

Email is familiar and can suit a straightforward approval. n8n’s Gmail node documents a “Send and Wait for Approval” operation; its documentation says, “For more complex approvals, consider using the Wait node.”

For human review of AI tool calls, n8n documents channels including Slack, Telegram, Gmail, Teams, Google Chat, and n8n Chat. It states: “You can require human approval before an AI Agent executes a specific tool.” This describes n8n’s human-review feature, not an accounting or legal requirement. Whichever channel you choose, make the request identify the claim and give the approver access to the relevant details and receipt. Ensure the response writes the decision, approver, timestamp, and any comment against the same claim ID. A channel by itself does not guarantee that the ledger will be updated reliably.

Build and test in a safe order

  1. Start with one intake route and a small policy table. Choose a form/webhook or the mailbox route that best matches how claims arrive.
  2. Create and inspect a sample ledger entry. Confirm that the ID, submitter, amount and currency, category, receipt reference, policy outcome, approver, status, timestamps, and decision comment can be represented.
  3. Add deterministic checks and one approval channel. Route valid claims to a responsible person; give invalid or uncertain claims a defined exception path.
  4. Test representative outcomes before enabling automatic intake. Exercise approved, rejected, duplicate, incomplete-receipt, threshold-boundary, timeout, and workflow-error cases with sample data. Verify both notifications and ledger updates.

Make exceptions and failures visible

Do not leave claims indefinitely pending. Define what happens when an approver does not respond, a claim is rejected, receipt data is incomplete, a duplicate is suspected, or a workflow execution fails. Use distinct statuses that make the next action clear, such as an explicit no-response/expired state, and assign an owner where a person needs to intervene.

One n8n invoice example uses a three-day decision wait and records a no-response outcome. That is an example configuration, not a universal timeout recommendation. Set timing and escalation behavior to match your organization’s process.

Add AI extraction only after the basic route works

AI can help extract receipt fields or suggest a category, but keep the output constrained to a defined schema, validate required values, and retain the original receipt. Route uncertain or contradictory extraction results for review, and do not let a language model make the final reimbursement decision without policy checks and a responsible reviewer. n8n’s human-review feature can pause before an AI Agent executes a tool, but it does not replace the claim ledger or organization-specific policy.

Adapt the pattern to your finance process

The workflow gallery provides examples involving Google Sheets and connected email, messaging, and AI services. Your implementation still needs to fit existing finance tools, access permissions, policy ownership, and retention practices. For policy-specific integrations or exception handling, n8n workflow implementation may require configuration beyond a gallery template.
