Map how invoices are created, sent, paid, followed up, and recorded; decide whether invoicing should stand alone or sit inside accounting software; then compare the functions, integrations, full cost, limits, and growth path that matter to your workflow. Test a realistic invoice before subscribing, and verify tax and payment requirements for your jurisdiction.
Start by mapping your invoicing workflow
Before comparing tools, write down what happens from the first customer agreement through reconciliation. That makes it easier to identify a software gap instead of paying for features you may never use.
- Volume and cadence: How many invoices do you send, and how often?
- Customers and geography: Do you bill consumers, businesses, or both? Do you invoice in more than one currency or across jurisdictions?
- Billing model: Is each invoice a one-time charge, based on time and expenses, a recurring retainer, or a subscription?
- Steps around the invoice: Do you need to prepare a quote, record delivery, send reminders, accept payment, and reconcile it against accounting records?
- People and systems: Who creates invoices, and which accounting, payment, customer, ecommerce, time-tracking, or inventory systems need the information?
This inventory also shows where manual work occurs—for example, copying customer details between a CRM and an invoice, or entering payments again in accounting software.
Choose between standalone invoicing and accounting software
The central choice is whether you need a focused invoicing tool or want invoices connected to a broader financial system.

Match features to the way you bill
Every business should check the basics, then add specialized functions only when they solve a real workflow need. Confirm plan eligibility: a feature shown on a product page may not be included in the plan you are considering.

- Payment options customers can use, together with a way to track payment status.
- Mobile access if you need to create, send, or review invoices away from a computer.
Features for specific billing models
- Recurring billing: Useful for retainers and subscriptions; check how schedules, changes, and failed or missed payments are handled.
- Time and expenses: Relevant to service businesses that bill for hours or reimbursable costs. Confirm how entries become invoice line items.
- Quotes and projects: Useful when a customer moves from an estimate or project record to an invoice; check which details carry through.
- Batch invoicing: Worth checking when you send many similar invoices and want to reduce repetitive entry.
- Inventory or point-of-sale links: More relevant to retail and ecommerce businesses that need sales or product information reflected in billing.
Stripe describes its service as supporting online payment collection, invoice tracking, and recurring billing; Salesforce emphasizes a CRM-to-invoice workflow. Treat these as examples of product approaches, not proof that a feature is available on every plan or suits every business. Check integrations and where the data goes
An integration is useful only if it removes work without creating a new reconciliation problem. List the systems your invoicing tool must connect to, then verify the connection’s behavior rather than relying on an integration logo.

- Accounting software and bank feeds or reconciliation
- Payment gateways
- CRM or customer records
- Ecommerce, inventory, or point-of-sale software
- Time-tracking and project-management tools
For each connection, ask whether it is native or uses a third-party connector, what data syncs, which system is the source of truth, and how edits or failed syncs are handled. A gap can mean duplicate entry; an unclear sync can leave invoice, payment, and accounting records inconsistent.
Compare the full cost and plan limits
Do not compare subscription prices alone. Costs and limits can differ by country, plan, and date, so confirm current official pricing for the market where your business operates.

- Subscription, setup, or transaction charges
- Payment-processing fees and whether they vary by payment method
- Fees for additional users
- Limits on invoices, clients, or other usage
- Plan gates for recurring billing, reminders, reporting, integrations, or other required features
- The cost of upgrading as volume or team size grows
A free or entry-level plan may be sufficient, but check its actual invoice, client, feature, and reporting limits against your workflow. A demo or trial is most useful when you test a real scenario rather than browse a feature list. Use a sample based on the kind of invoice your business actually sends.

- Create an invoice with the fields, terms, line items, and currency your business needs.
- Send or preview it as a customer would receive it, then inspect the payment steps available to the recipient.
- Check how invoice status changes and whether reminders can be configured for your follow-up process.
- Record a payment or use the demo flow, then see whether it reaches the accounting or other connected system as expected.
- Try the workflow on the devices and with the staff who will use it, and note any manual steps or confusing screens.
This test can expose a mismatch that a sales page will not: a missing field, an awkward customer payment experience, or a connection that does not carry the data you need.
Plan for growth without overbuying
Consider what is likely to change over the next stage of the business: invoice volume, number of users, currencies, payment methods, or need for new integrations. Check whether there is a workable upgrade path and whether moving records elsewhere is feasible if your needs change. Balance that flexibility against the cost of paying now for capabilities you do not use.
Verify tax, payment, and record requirements locally
Invoice fields, tax calculations, payment rules, and record-retention obligations depend on jurisdiction. Confirm requirements with the relevant tax authority or a qualified adviser before relying on software defaults. For Australian businesses, the government’s accounting software and business records guidance is specific to Australia and should not be treated as universal advice.
If customers pay online, check the payment gateway’s security and compliance information. NerdWallet advises checking that a gateway is PCI compliant; that is a selection check, not a certification of any particular provider. Do not assume a software vendor’s general security statements establish compliance for your own payment setup.
