Yes—if your team’s work fits the alternative’s strengths. A private workspace can handle shared documentation and some project coordination, but replacing a Notion setup built around structured databases, relations, and custom views takes more careful validation. AppFlowy is presented as a broad workspace; Outline is aimed more squarely at team knowledge management. Self-hosting can give an organization more control over deployment, but it also makes that organization responsible for operating the service.
Start with the work your team needs to replace
“Private” can mean different things: choosing a product with an on-premises option, running software on infrastructure the organization controls, or simply moving away from a hosted workspace. These are not identical arrangements. Before choosing a tool, list the workflows you need to preserve and decide what level of deployment control you require.
Separate the work into three categories:
- Shared documents: editing together, comments, search, and access rules.
- Structured project work: databases or other structured records, relationships between records, boards, and multiple views.
- Visual collaboration: whiteboards or visual thinking spaces used alongside documents.
The more your team depends on the second or third category, the less likely a wiki-focused product is to replace the whole workspace without adjustments.

Compare the workflows, not just the feature lists
Use the same representative document and project in each candidate. That makes it easier to see whether the team can do its actual work rather than simply confirm that a feature name appears on a product page.
- Editing and access: Can the right people co-edit, comment, and find documents? Can administrators enforce the access rules your team needs?
- Structured project work: Can you represent your tasks or projects, connect related information, and switch between the views people rely on?
- Deployment and operations: What deployment options are offered, and who will handle backups, upgrades, service availability, and recovery?
- Migration: Bring in a representative sample and compare the result with the original. Check formatting, attachments, links, structured data, and permissions rather than assuming an import feature preserves everything.
- Authentication and integrations: Confirm that sign-in and connections to the other tools your team depends on work as required.
- Cost: Compare costs at your team’s expected scale. The sources cited here do not provide a current like-for-like price comparison.
Notion’s product page states that it has “100M users in over 50 countries” and that “62% of Fortune 100 use Notion.” Those are vendor-published figures, and the page does not state a year for them; they do not show whether a particular alternative can replace your team’s workflows. What self-hosting changes
Self-hosting is an operational choice as well as a privacy or control choice. The product may provide a deployment option, but the organization still needs a plan for keeping the service available and recoverable. Before moving important work, identify who will administer it and how the team will respond to failed upgrades, lost data, or service outages.
Do not assume that the word “self-hosted” settles questions about security, access control, or data handling. Confirm the current deployment documentation and test the configuration your organization intends to use. Server requirements and detailed backup procedures are not established by the cited product summaries.

Pilot before migrating the whole workspace
- Choose a representative space: Include shared documents and at least one project with the views, relationships, and access rules your team actually uses.
- Test collaboration: Have multiple team members edit, comment, search, and open the material using their normal roles.
- Test migration and export: Import a sample from the current workspace, inspect it for missing or changed content, and confirm you can export what you would need to recover or leave.
- Test operations: For a self-hosted deployment, exercise the planned backup and restore process and confirm who owns routine administration.
- Review integrations and sign-in: Check the connections and authentication methods your team requires.
- Decide by workflow: Record which needs are met, which require a workaround, and which are blockers before scheduling a full move.
This pilot is particularly important if projects depend on complex structured data: the available product descriptions do not provide a like-for-like evaluation of database behavior, permissions, migration fidelity, or total operating effort.

- Put visual collaboration first if whiteboards are central, while checking that document sharing and administration are also sufficient.
