What Proton Workspace includes
Proton describes Workspace as a privacy-focused alternative to Microsoft 365, but that positioning does not mean the two suites contain identical apps or administration features. Proton’s Standard and Premium plans list Mail, Calendar, Drive, Docs, Sheets, Meet, VPN, and Pass.

Proton’s business Drive comparison also lists a business admin panel, delegated administrator permissions, organization keys, enforced two-factor authentication, account recovery, independent audits, and open-source apps. It includes document and spreadsheet collaboration and file-version history. What Microsoft 365 Business offers that differs
Microsoft’s business comparison distinguishes Basic, Standard, and Premium. Basic lists web and mobile versions of Word, Excel, PowerPoint, and Outlook. Standard and Premium list desktop, web, and mobile versions of those apps. The most visible gap for many organizations is installed Office software: Proton lists online Docs and Sheets, whereas Microsoft Standard and Premium list desktop Office apps. A company that depends on advanced Word or Excel features, Outlook desktop, or Microsoft-specific document behavior should test its actual files and processes rather than assume the online alternatives are interchangeable.

Microsoft 365 Business Premium additionally lists advanced identity and access management, device management, enhanced threat protection, and sensitive-data discovery, classification, and protection. These integrated controls may matter where a company centrally manages endpoints or applies data-protection policies. Verify the exact capabilities and licensing for the selected plan and region.
Compare the suites against your company’s work
- Installed Office applications: Determine whether staff need desktop Word, Excel, PowerPoint, and Outlook or can work in browser-based editors. Microsoft Standard and Premium list desktop apps; Proton lists online Docs and Sheets.
- Existing workflows and compatibility: Inventory Microsoft-specific documents, macros, Teams meetings, SharePoint sites, and integrations. The service lists differ, so test critical workflows before switching.
- Security and administration: Map requirements for device management, identity policies, threat protection, data governance, encryption, and administrative controls to the exact features in each plan.
- Privacy: Proton emphasizes privacy-focused encrypted services and includes a VPN and password manager in the listed Workspace bundle. For sensitive work, review the vendors’ technical documentation and contractual terms rather than treating marketing language as a security assessment. Proton calls Workspace “a privacy-first alternative to Google Workspace and Microsoft 365”; that is Proton’s positioning, not independent evidence of feature parity. Proton for Business
- Storage, meetings, and retention: Compare limits for the precise tiers under consideration. Avoid treating one bundle’s storage or meeting allowance as representative of every plan.
- Price and region: Check the correct regional SKU, billing cadence, taxes, Teams packaging, and promotions. Microsoft’s cited US pricing page, accessed October 4, 2026, lists yearly-billing reference prices of $6 per user per month for Business Basic, $12.50 for Business Standard, and $22 for Business Premium. Which suite is the better fit?
Proton Workspace is a plausible fit when a company’s core requirements are email, calendar, file collaboration, online documents and spreadsheets, meetings, VPN, and password management, and when its employees can work without the Microsoft desktop apps or workflows they currently rely on. Microsoft 365 is the more direct fit when the organization needs installed Office applications or depends on Teams, SharePoint, OneDrive, or Microsoft’s listed Premium security and management controls.

Neither bundle should be chosen on its name alone. Identify required workflows first, compare the specific Proton and Microsoft tiers that provide them, and validate compatibility with representative users and files.
