Protect your personal data by treating every prompt as information disclosed to an online service: share only what the task needs, remove identifying details, and never submit credentials or confidential material to a consumer chatbot unless its service and your account are explicitly approved for that use. Then check the exact chatbot’s current privacy controls and account terms—settings for training, chat history, human review, and retention are different, and they can change.
Before you send a prompt, reduce what it reveals
A prompt can identify you or someone else without including a name. A workplace, location, date, unusual event, and job title may identify a person when combined. Give the chatbot only the context needed to answer.
- Replace names and identifying details with labels such as “[client],” “[doctor],” or “[city].”
- Generalize or round details when exact dates, amounts, ages, or locations are not necessary.
- Remove information about other people unless it is essential and you are permitted to share it.
- Do not paste passwords, authentication codes, payment credentials, financial account numbers, identity-document numbers, private keys, or confidential records.
For health, legal, employment, or financial questions, describe the situation in general terms. Use a qualified professional for decisions with significant consequences; a chatbot is not a substitute for that advice.
Which information should not go into a consumer chatbot?
Do not submit sensitive or confidential material unless the provider, product, account, and intended use have been explicitly approved for it. This is especially important for employer, client, patient, student, and customer information. A personal paid subscription is not automatically an enterprise privacy arrangement.

Google’s Gemini Apps guidance warns: “If that setting is on, don’t enter data that’s confidential or that you wouldn’t want a reviewer to see or Google to use to improve its services.” Google’s Gemini Apps Privacy Hub gives this warning in connection with its Keep Activity setting.
Who has access to my chats?
There is no single rule for all AI chatbots. Depending on the provider, product, setting, account type, and action you take, chats may be saved in history, used to improve services, reviewed by people, or shared with connected features. Turning off model training does not necessarily turn off history, safety processing, or retention.

For example, Google says some Gemini chats may be reviewed by human reviewers. Feedback submitted to Google may include chat context and uploaded or connected-app content, and may also be reviewed. OpenAI describes separate controls for training choice, memories, conversations, and account data. Review the policy for the specific service rather than assuming one control governs every use.
How long are AI chatbot chats retained?
Retention depends on the service and the type of data. A setting that prevents chats from appearing in history or being used for training is not necessarily a promise of immediate deletion. Provider-specific statements below reflect official pages accessed on October 4, 2026; account type, region, feature, and feedback choices may affect what applies.

These are statements about the named providers, not industry-wide retention rules. Check the live product settings and terms before relying on a particular duration or control.

Open the chatbot’s current privacy or data controls and verify what each option changes. Look for:

- Chat, memory, and account deletion controls
- Retention terms and exceptions
For OpenAI, its security and privacy information describes individual users’ training choices, deletion controls for memories, conversations, and account data, and enhanced sign-in and recovery safeguards. Its privacy policy explains that retention depends on context and may continue for legitimate purposes, including legal or security reasons. Deletion controls should not be read as overriding those exceptions.
Google’s Gemini Apps Privacy Hub describes how Keep Activity, temporary chats, feedback, and human review affect data use and retention. Because these controls and labels can change, confirm the current options in the product you actually use.

Use an approved account for work or other people’s data
If a prompt contains information owned by an employer or entrusted to you by a client, patient, student, or customer, follow the organization’s policy and use only an approved service and account. Provider terms may differ between consumer and business offerings. OpenAI says organizational data is not used to train models by default for its business offerings; that commitment should not be assumed for another provider, plan, or personal account. Secure the account—and understand what that does not do
Use a strong, unique password and enable available multi-factor or enhanced sign-in protections. These steps help reduce the risk of someone taking over your account; they do not change how the provider may use or retain information you submit. OpenAI describes sign-in and recovery safeguards in its security and privacy information.
What privacy rules say—and what they do not promise you
Regulatory guidance provides context, but it is not a personal guarantee about a particular chatbot. The US Federal Trade Commission says companies that retain or use consumer data for other purposes without clear and conspicuous notice and affirmative express consent risk violating the law. This is general US guidance, not a legal conclusion about a specific service or user. FTC guidance on protecting personal information
The UK Information Commissioner’s Office says organizations processing personal data for AI training or deployment need an appropriate lawful basis, and advises separating purposes, documenting the basis, and including it in the privacy notice. Special-category data requires both a lawful basis and an additional condition. This guidance applies in the context of UK data-protection law; it is not a universal consumer rule.
