If Outlook messages keep disappearing, first check whether they were moved or hidden rather than deleted. Search Junk Email, Archive, Other and your other folders; then inspect rules, Sweep, automatic emptying of Deleted Items, and—on work or school accounts—your organization’s retention policies. The settings and recovery options differ by Outlook version and account type, so follow the section for your app.

First, find out where the messages went

Search for a missing message and check these locations before changing deletion settings:

  • Junk Email: If a message is there, select Report > Not junk where available. Microsoft says Outlook.com and Outlook on the web automatically delete Junk Email after 30 days; this documented period should not be assumed for every Microsoft 365 tenant.   • Other: If Focused Inbox is enabled, check both Focused and Other.
  • Archive and other folders: A message moved out of the Inbox may still be present in another folder.
  • Filters: Set the message-list filter to All so a view filter is not hiding messages.
  • Deleted Items: If the message is there, it was deleted but may still be easy to restore.

Microsoft identifies inbox rules and Sweep as possible reasons mail leaves the Inbox. If you find the message in another folder, check those before treating it as permanently deleted.

Check rules that move or delete mail

Outlook rules can automatically move or delete messages when they match specified conditions. Microsoft describes rules as a way to “automatically perform specific actions on email that arrives in your inbox.” Review the rules list and disable, edit, or remove any rule that could match the missing messages. New Outlook for Windows and Outlook.com

  1. Open Settings > Mail > Rules.
  2. Find a rule that targets the missing sender, subject, or other matching conditions.
  3. Turn the rule off with its toggle, edit its action or conditions, or delete it if it is no longer needed.

Classic Outlook for Windows

  1. Select File > Manage Rules & Alerts.
  2. Review rules for actions that move or delete messages.
  3. Disable, change, or delete the rule responsible for the behavior.

If the rules list looks right but mail still moves, consider whether a rule was created in classic Outlook as a client-side rule. Microsoft notes that some client-side rules cannot be processed in new Outlook; a migrated rule may need to be recreated. Rule order can also affect which actions are applied.

Inspect Sweep in Outlook on the web

Sweep is separate from inbox rules. In Outlook on the web, a sender-specific Sweep action can delete all incoming mail from that sender, keep only the latest message, or delete messages older than 10 days. Review Sweep behavior for senders whose mail disappears and change or remove an unwanted action. The 10-day period is one Sweep option, not a general Outlook retention period. Stop Outlook from emptying Deleted Items when you close it

If messages are present in Deleted Items but vanish after you exit Outlook or sign out, check the automatic-emptying setting for your client.

New Outlook for Windows

  1. Open View > View Settings > Mail > Message handling.
  2. Under the option for closing Outlook, clear Empty deleted items folder.

Classic Outlook for Windows

  1. Open File > Options > Advanced.
  2. Under Outlook Start and Exit, clear Empty the Deleted Items folder upon exiting.

The same Advanced page also offers a confirmation prompt before permanent deletion.

Outlook on the web

Outlook on the web has a separate Message handling option to empty Deleted Items on sign-out. In the current interface, look under Settings > Mail > Message handling. The classic web interface uses a different path under Automatic processing > Message options. For the folder setting, see Microsoft’s Deleted Items guidance.

Ask your organization about retention or archive policies

For work or school mail, an administrator may have applied a retention label or archive policy that moves or deletes messages after a set period. Users may not be able to remove policies that their organization requires. If rules, Sweep, and automatic emptying do not explain the behavior, ask your IT administrator to check the mailbox policy. Microsoft’s retention-label and archive-policy guidance explains these controls.

Microsoft says the retention and archive policies covered by that Outlook on the web guidance are processed once every seven days. That is a processing cadence, not a guarantee that a particular message will be moved or deleted at a predictable time.

Recover messages that have already disappeared

If the message is in Deleted Items

Move it to a safe folder, such as Inbox or a folder you created. If it vanishes after closing Outlook, change the automatic-emptying setting before relying on Deleted Items as a holding place.

If it is no longer in Deleted Items

On a computer, look for Recover items deleted from this folder. In classic Outlook, the server recovery command for supported accounts is Home > Recover Deleted Items From Server. If the account uses a Trash folder or the command is absent, Microsoft says that account does not support this recovery route. See Microsoft’s deleted-item recovery guidance.

Microsoft’s Outlook.com and Outlook on the web guidance says Deleted Items messages are automatically deleted after 30 days, and items removed from Deleted Items can be recovered for 30 days. Those durations apply to the documented scenarios, not necessarily every Microsoft 365 tenant. The same guidance says deleted-item recovery is unavailable from Outlook mobile apps and a mobile browser; use a computer to try it.

If a retention policy removed the message

Ask your administrator about the organization’s recovery period and policy. If a message recovered after removal by a retention label is subject to that label again, Microsoft says to move it to a folder without a policy or remove the policy from the item if you are authorized; otherwise, it may be removed again.
