You can reduce task-management alerts without missing important assignments: identify which app, channel, and event is causing the interruption, then adjust those settings selectively. Start with noisy pop-ups or duplicate messages, keep alerts for direct requests and deadlines, and use scheduled quiet time where available. The exact controls depend on the app, workspace, plan, and administrator policies.

Trace the alert before changing settings

For a day or two, note the app that sent each distracting alert, where it arrived, and what triggered it. A single task update may appear as an in-app notification, an email, a browser or desktop pop-up, a mobile push, or a message from a connected service such as Slack or Teams.

  • Channel: email, browser or desktop, mobile, in-app inbox, or a connected chat app.
  • Trigger: assignment, due date, comment, mention, status change, or general activity.
  • Scope: one task, a project or plan, or activity across a workspace.

If the same event arrives through both the task manager and an integration, check both services. Asana documents separate notification settings for Slack, and Microsoft documents separate controls for the Planner bot in Teams. One setting may not stop delivery from the other service.

Reduce interruptions without losing useful alerts

  1. Choose the channel to quiet first. If you still want to review activity later, reduce browser, desktop, or mobile push alerts before disabling email or the in-app inbox. Where the app offers separate channel controls, change only the channel that is disrupting you.
  2. Filter the event types. Keep alerts for work assigned to you, direct mentions, and deadlines you rely on. Reduce broad activity updates or changes to work you do not need to follow closely. Look for focused or mentions-only presets if available; otherwise, choose individual triggers.
  3. Set quiet time. Schedule a pause for meetings, focus blocks, or time off if your app supports it. Check which channels the pause covers: a setting may silence push and browser notifications without changing email or other delivery.
  4. Review project, plan, and group subscriptions. Leave or mute updates you do not need, while retaining notifications for work you own or must track. Group emails and plan activity messages may be controlled separately from personal task alerts.
  5. Test the result. After changing settings, watch for the trigger that was overwhelming you and confirm that important direct alerts still arrive. If an alert persists, check integrations, group delivery, and administrator-controlled settings.

Where to find the controls in common task managers

These are the options documented by the vendors as of October 4, 2026. Labels and availability can vary with product updates, workspace or plan settings, and organization policy.

When an alert will not turn off

  • It still arrives in another channel: review each delivery route, including email, mobile push, browser or desktop notifications, and connected chat apps.
  • It is tied to a project or group: find the project, plan, or group-level subscription rather than changing only personal task alerts. Some controls may belong to a group owner.
  • The setting is unavailable: the feature may differ by plan or workspace, or be restricted by an administrator. For Planner, the documented user controls do not cover every event.
  • You are considering turning everything off: first check whether the app offers a focused, mentions-only, or custom setting. Broadly disabling alerts can also remove the assignment or deadline signals you need.

Vendor help pages describe current procedures but can change; if a label differs in your account, look for the same notification category in the app’s settings or consult your workspace administrator.
