First set a close date and exit criteria; then announce a final feedback window, export or archive reports from every channel, triage them, and close the test using the platform’s documented process. Ending distribution does not always uninstall a tester’s copy: on Google Play, testers stop receiving updates when a test ends, but the app remains installed.
Plan the exit before closing access
Choose a close date and check whether the product is ready for its next stage. Use the success measures established during discovery or earlier testing, and confirm that the team can support the audience that follows the beta.
For API betas, UK Government guidance recommends an exit review that considers user research, service levels and performance, security, documentation, and ongoing governance. It also calls for checking discovery-stage measures and support readiness. This is guidance for API services, not a universal legal or operational requirement for every kind of beta. Tell testers what will happen
Send a clear notice before the close date. Include when testing ends, the deadline for final reports, where to send them, and what testers should do with the installed build afterward. Share any relevant test instructions, known issues, or survey link. Amazon’s Alexa beta guidance, for example, recommends providing testing materials such as a survey and says developers can end a test to remove access for all testers. Do not assume that closing a beta removes the app from users’ devices. Google Play says testers no longer receive updates after a test ends, but the app remains installed. Tell testers whether to keep it, uninstall it, or switch to a public release based on your product’s actual transition. Google Play: Set up an open, closed, or internal test.
Inventory and preserve every feedback channel
Before ending distribution or disabling a feedback route, list where reports arrived: the beta platform, crash-reporting tools, email, forms, forums, or direct conversations. Capture reports and useful context such as build, platform, operating system, device, and time. What an export preserves varies by platform, so verify the actual archive rather than assuming it contains every field.

TestFlight and App Store Connect
In App Store Connect, review screenshots, crash-related comments, and general feedback. Apple documents filters for platform, app version, build group, build, operating-system version, and device, and allows feedback to be downloaded as ZIP files. Apple says crash reports are available for download for 120 days; treat that as an Apple-specific availability period, not a general retention rule. Apple: View tester feedback.
Also check Xcode’s Feedback organizer if your team uses it. It supports responding to testers, sharing reports with the development team, adding notes, and marking items resolved. Feedback from iOS 12 and earlier, tvOS, and watchOS does not appear there; Apple says that feedback goes to the configured feedback email instead. Keep tester records separate from feedback records
A tester roster is not a feedback archive. Apple’s tester CSV export includes first and last names and email addresses, but not tester status, sessions, or crash information. People who joined through a public link are anonymized in the CSV. Apple also says tester metrics may take up to 24 hours to appear in App Store Connect, so do not treat a recently refreshed roster as a complete record of activity. Other platforms and direct channels
For Google Play tests, Google recommends providing a direct feedback channel, such as email, a website, or a forum. Testers cannot leave public Play reviews for test versions; open and closed tests may also offer private feedback through Google Play. Export or copy relevant reports from whichever route your test actually used before you close it.

For Alexa skill betas, Amazon describes feedback as going directly to the developer. Preserve messages received through that route before ending the test or revoking tester access. Amazon: Skill Beta Testing for Alexa Skills.

Give each report a disposition so that useful feedback does not disappear into an unowned archive. Record whether it is a defect, product change, documentation issue, known limitation, or deferred decision. Assign an owner and next step when action is required; note why a suggestion is deferred rather than implying it will be implemented.

- Preserve the original report and any screenshots or crash details.
- Record enough context to identify the affected build and environment when available.
- Mark the decision and its owner, including when the report needs no change.
- Share an appropriate summary with testers: what was fixed, what remains a known issue, and how unresolved reports will be handled.
Apple’s Feedback organizer supports notes, team sharing, and resolved status. Department for Education guidance on service feedback also emphasizes having a feedback route, analyzing results, and sharing qualitative findings. Department for Education: Surveys and feedback forms.
End distribution only after the handoff is ready
Once reports are preserved and testers have been informed, use the platform’s close-test workflow. Google Play’s documented process ends a test by pausing its track. That stops updates to testers but leaves their installed app in place. For Apple platforms, use the applicable TestFlight and App Store Connect workflow; Apple describes beta distribution and release as connected stages, including submitting a final build after beta testing. Keep an appropriate feedback route available during the transition if testers may still need to report a problem with the final beta build. Decide who will monitor it and who will review the archived reports; an export without an owner is preserved data, not a completed feedback handoff.
Use these checks for any beta platform
Before closing a test, verify the platform’s behavior rather than assuming every beta tool works alike:

- Export and retention: What can the team download, in what format, and for how long?
- Context: Does the report retain build, device, operating system, and time details?
- Identity and follow-up: Are testers identifiable and contactable, or can reports be anonymous?
- Closure behavior: Does ending the test revoke access, stop updates, or leave an installed build available?
- Triage: Can the team annotate, share, assign, and mark reports resolved?
These differences are why the safest close-out is a handoff, not a button press: establish the exit bar, notify testers, preserve reports from every route, document decisions, and then end distribution.
