Before using an AI note-taking app, check when recording starts, how participants are notified, who can access or share the notes, how audio and transcripts are retained, which third parties process them, and whether any content may be used to train AI. Verify each setting for your specific plan and workflow: a vendor’s privacy statement does not establish how your account is configured or which recording-consent rules apply to your meeting.
Start with recording triggers and participant notice
Find out exactly what causes capture to begin. An app may wait for someone to press Record, or it may join a scheduled meeting through a calendar integration. Check whether the app can join or record automatically, how to disable that behavior, and where the pause and stop controls are. Also determine whether it captures audio only or also video, screen content, or other meeting data.
- What action starts recording: a button press, an invitation to a meeting bot, or a calendar rule?
- What do participants see or hear, and when does the notice appear?
- Can the host pause or stop capture, and can they confirm it has stopped?
- Can an administrator disable automatic joining or recording for the workspace?
Otter says recording starts when the user or a meeting participant presses Record or invites Otter. Notion describes ways to disclose its use and obtain consent. Check who can access and share the results
Recording permission and note visibility are different questions. Check the default audience for the recording, transcript, and summary separately. Determine whether access is limited to the recorder, invited collaborators, a workspace, or anyone with a share link. If people can download, export, or reshare content, identify those controls as well.

- Can workspace members or administrators see a conversation by default?
- Can a link expose content to people outside the workspace?
- Which calendar, conferencing, storage, CRM, or messaging integrations are connected, and what do they exchange?
- Can vendor staff access the content for support, and is consent required?
Otter says conversations are private to the user and people selected for sharing, and that it requires explicit customer consent before staff access for troubleshooting. Treat this as a vendor statement, then check your own sharing settings and connected integrations. Otter privacy and security.
Find separate retention and deletion rules for audio, transcripts, and summaries
Do not assume that deleting a note removes every related copy. Original audio, transcripts, summaries, locally saved files, temporary processing copies, and backups can have different lifetimes. Look for trash or recovery windows, parent-page deletion behavior, workspace retention rules, and any automatic deletion schedule available to administrators.

Notion workflows
Notion documents different handling for live, mobile, and uploaded audio. Live audio may be stored temporarily on the device, while uploaded audio may be retained for a limited time to allow processing to be retried. Uploaded files can be deleted from the AI Meeting Notes block or by deleting the parent page, after which workspace data-retention settings apply. Automatic transcript deletion is documented as an Enterprise workspace setting. Notion also says local audio storage is off by default and can be enabled by a workspace owner; only the recorder can download locally saved audio. Notion AI Meeting Notes help.
Otter conversations
Otter says deleted conversations move to Trash and are automatically deleted after 30 days; manually clearing Trash deletes them sooner. Trace data sent to subprocessors
Identify which companies receive audio or text for transcription, summarization, storage, or support. Check whether the flow changes between live desktop capture, mobile recording, and uploaded files, and whether each provider retains submitted data. A vendor’s statement about its own handling may not describe the separate terms governing its AI or transcription providers.
Notion names OpenAI, Anthropic, Fireworks, Baseten Labs, X.AI, and AssemblyAI in its AI Meeting Notes documentation, and says audio is sent to subprocessors for real-time transcription. Its security guidance says LLM providers retain Customer Data for 30 days or fewer before deletion by default for non-Enterprise workspaces. Read the AI training and product-improvement terms
A “not used for training” claim is useful only if you know what it covers. Check whether it applies to audio, transcripts, summaries, prompts, feedback, and derived data; whether it covers external providers as well as the app vendor; and whether it is a default, an opt-out, or a contractual commitment. Look separately for human review for support, safety, annotation, or product improvement.
Otter says its AI service providers do not use customer data to train or improve their models and says troubleshooting access by staff requires explicit consent. Fireflies says meeting content is not used to train AI models and describes a Zero Data Retention policy. These are vendor representations; check the current privacy policy, AI terms, account configuration, and any customer agreement before relying on them. Review workspace and device controls
Check whether an administrator can turn the feature off, set retention rules, or control local storage. Review the microphone and other device permissions the app requests, and revoke permissions when you no longer use the feature. For Notion, workspace owners can turn off AI Meeting Notes availability; local audio storage is off by default and can be enabled by a workspace owner. Notion AI Meeting Notes help.
Compare apps using the same workflow
Compare products on the same meeting setup and the same types of content. Do not reduce privacy to a single score: a no-training statement does not tell you how long transcripts are retained, and a provider’s data-retention terms do not tell you whether a local audio copy exists.

Do not treat a setting as legal clearance
Recording-consent rules vary by jurisdiction, participant location, and context. Notion’s help page notes that some US laws require consent from at least one participant and gives disclosure examples, but it is not a jurisdiction-by-jurisdiction legal analysis. A banner or app setting alone does not guarantee compliance. If the meeting is sensitive or legal exposure matters, establish which rules apply to the people and circumstances involved.
