To protect private notes in an AI task manager, check what stays on your device, what syncs to the cloud, and what each AI feature sends to its provider. Use the smallest necessary excerpt, review attachments before submitting them, limit sharing and integrations, and check how exports and deletions work. “Encrypted” alone is not enough to show that content stays unreadable during AI processing.
Map where your notes go
Before entering sensitive details, find out how the app handles notes at each stage: while stored, during sync, when backed up, and when an AI feature runs. These are separate data flows, and a privacy statement about one does not necessarily describe the others.
- Storage and sync: Is content stored locally, in a cloud account, or both? Is sync optional?
- Encryption: Which fields are encrypted, when does encryption and decryption happen, and who controls the keys? Does protection cover sync traffic and backups as well as stored data?
- AI processing: Is the feature user-triggered or always active? Which text, metadata, screenshots, or attachments are sent, and to which AI provider?
- Access and lifecycle: Who can access the account or shared workspace? What integrations are connected? Can you export your data, and how long can copies remain after deletion?
Policies are useful descriptions of a service’s practices, not independent proof that its controls work as described. For important or high-stakes notes, look for current security documentation and independent assurance. If the information would be harmful to expose, consider whether it belongs in the service at all.
Understand the gap between encryption and AI processing
Encryption can protect information in storage or while it travels between systems. But an AI feature may need readable text to analyze a note and produce a result. Ask whether the app decrypts content on your device, sends plaintext to a provider, or uses another processing arrangement; do not infer the answer from a general claim that notes are encrypted.

The policies of several products illustrate why the details matter:
- Jupiter Optimus: Its September 12, 2026 policy says tasks and related content are stored in the user’s private iCloud database, describes a vault encrypted on-device, and says a task’s notes are sent when the user asks for suggested subtasks. Read the policy.
- Neeos: Its September 29, 2026 policy says notes and task notes are encrypted on-device before storage. After the user agrees, the parts needed to answer are sent in readable form to OpenAI or Anthropic. The policy also describes readable Siri and Spotlight indexing as an optional device-level setting. - Shallow: Its February 26, 2026 policy says tasks, plans, notes, and AI chat history are local by default. Optional sync encrypts specified content on-device before cloud upload, while metadata remains unencrypted for product features. When an AI action is invoked, relevant plaintext content is sent to Anthropic; the policy also warns that screenshots can capture sensitive material. Read the policy.
These are vendor statements about particular products and configurations, not a comparative security audit. They do not establish that one app is categorically safer than another.

Minimize what an AI feature receives
Before using an AI action, identify what it needs to answer and provide no more than that. A short relevant excerpt is usually a safer starting point than an entire project, conversation, or note archive.
- Remove names, addresses, account details, or other identifiers when they are not needed for the task.
- Review screenshots, files, and attachments for private information before submitting them.
- Check whether a feature sends surrounding task context or related notes in addition to the text you selected.
- Use AI only for notes where the benefit justifies sending the content to the stated provider.
For example, if you need help turning a project note into subtasks, share the work description and relevant constraints rather than contact details or unrelated personal context. That reduces exposure, though it cannot guarantee that the information sent is inaccessible to every system involved.

Check the AI provider’s terms feature by feature
Find the app’s current policy and the terms for the specific AI feature you plan to use. Confirm which company receives the request, whether prompts or outputs are logged or retained, and whether data may be used for model training. These terms can differ between features and can change over time.
For example, Task Flow’s policy, effective June 30, 2026, says its enabled Email Assist feature may send email subject and body text to OpenAI. It says API request and response data may be retained for up to 30 days for abuse and misuse monitoring, subject to settings and legal exceptions. That statement applies to the described feature and conditions, not automatically to every Task Flow function. Read Task Flow’s policy.

Limit account access, sharing, and integrations
Review who and what can see your notes, not just who can sign in. Turn off sharing and connected accounts that you do not need, and periodically review collaborators, app permissions, and agent or integration access. Check whether sharing is enabled by default and whether connected services can read or copy task content.
Google says saved Tasks content is private unless shared, encrypted in transit and at rest, and downloadable through Google account data tools. It also says content is processed to provide product functionality and is not used for advertising. Plan for export and deletion
Before relying on a service for important notes, find out how to export them and what happens when you delete an item or close an account. Deletion from the visible app may not immediately erase backups or copies held by subprocessors. The European Data Protection Board’s June 2025 technical material advises organizations to identify personal-data stores, including backups and non-production environments, set retention requirements, and ensure secure erasure; it cautions that deleting a file or shutting down a cloud instance may not remove every copy. For a service you use, look for stated deletion and backup timelines rather than assuming that removing a note instantly clears every stored copy. Export options matter too: they help you retain a usable copy if you leave, but do not themselves delete the provider’s copy.
