Protecting customer data in a Shopify voice-AI workflow means governing the entire path—not just the Shopify connection. Map where audio and transcripts go, give the app only the Shopify data it needs, verify the voice provider’s use and retention terms, tell customers what actually happens, and test how access and deletion work.
Map the complete voice-AI data flow
Start with one real customer interaction and trace it from beginning to end. A voice feature may involve more than Shopify and the AI model: for example, a phone or voice provider, transcription service, Shopify app or API, analytics, support dashboard, logs, and backups. Include every system that receives or can retrieve the data.
For each step, record what data is handled, why it is needed, who receives it, where it is processed or stored, how long it remains, and who can delete it. Include raw audio, transcripts, prompts, model outputs, and any derived data such as embeddings if the provider creates them. Note which party operates each service and which party determines the purpose of processing.
Shopify says merchants generally act as controllers of customer data, while Shopify acts as a processor when it processes data on a merchant’s behalf and follows the merchant’s instructions. That does not establish how an independent voice-AI provider or app handles data. Shopify’s data-protection guidance recommends setting a defined scope, retention period, and security arrangements with service providers.

Limit the Shopify data the feature can access
Begin with the task the voice feature must perform, then identify the smallest set of Shopify data that supports it. A tool answering a question about one order may not need a customer’s full order history or address book. Do not grant access to names, email addresses, phone numbers, addresses, or other protected fields merely in case they become useful.
Shopify distinguishes Level 1 customer data from Level 2 data, which includes name, address, phone, and email. Access to protected customer data can require separate approval and review for public apps. Check the app’s requested access against the feature’s actual purpose and Shopify’s current protected-customer-data requirements before installation or configuration.

- Review the app’s requested Shopify permissions and remove scopes the feature does not need.
- Ask the app provider to explain why each protected field is required and where it is used.
- Use development or test data where possible; do not copy production customer records into a less-protected testing environment.
- Revisit access when the feature changes, and remove permissions that are no longer necessary.
Vet the voice-AI provider separately
Ask the voice-AI provider for written, specific answers. Shopify’s published subprocessor information is an example of the kind of disclosure to inspect, but it describes processors used for Shopify services; it does not necessarily identify the separate providers in a merchant’s voice-AI integration.
- Data collected and stored: Does the service retain audio, transcripts, prompts, embeddings, or model outputs? In which locations, and for what period?
- Secondary use: Are recordings or transcripts used to train or improve general or customer-specific models? Can that use be disabled and prohibited in the contract?
- Subprocessors and transfers: Which telephony, transcription, hosting, analytics, and model providers receive data, and in which countries?
- Human review: Can employees or contractors listen to recordings or read transcripts? Under what circumstances, with what approvals, and with what access logs?
- Security and incidents: How are data in transit and at rest, accounts, backups, and staff access protected? What incident-notification and assistance commitments apply?
- Customer requests and contract end: How does the provider locate and delete a person’s information across its systems, logs, and backups? What happens to data when the service ends?
Check that contract terms match the actual product settings. The FTC’s June 2023 business guidance warns companies to align data collection, retention, and use with their privacy commitments. It states: “The message for businesses: The FTC will hold companies accountable for how they obtain, retain, and use the consumer data that powers their algorithms.”

Make the customer notice match the workflow
Explain the voice interaction in plain language before or when customers use it. The notice should accurately describe whether voice input may be recorded or transcribed, the purpose, relevant service-provider sharing, retention, and whether a person may review the material. Also provide the applicable route for customers to exercise privacy rights.
Shopify’s Customer Privacy API can check permissions for supported Shopify storefront purposes using merchant settings, location, and consent. It applies choices to Shopify-managed surfaces; it should not be treated as universal consent for a phone call, recording, or every voice-AI interaction. Configure the storefront tools for the purposes they support, and assess the separate voice channel on its own terms.

Set purpose-based retention and deletion
Choose a retention period for each kind of data based on a documented operational or legal need. If a transcript is sufficient to resolve a support request, consider whether the raw recording can be deleted sooner. Set separate rules where needed for the vendor’s systems, merchant logs, exports, and backups.
- Define what must be retained and why, distinguishing recordings from transcripts and other derived data.
- Configure the vendor and merchant systems to delete data when the applicable period ends.
- Document how staff handle a customer deletion request, including which systems and providers must be contacted.
- Verify what deletion covers in practice, including logs and backups, and record any exceptions or delays.
Shopify advises merchants not to keep personal data longer than necessary, and FTC business guidance likewise recommends limiting retention and disposing of information securely. Do not tell customers that deletion is complete until the provider’s process and any backup limitations have been confirmed.

Restrict staff access and protect payment data
Give access to recordings and transcripts only to staff whose role requires it. Use individual accounts, limit permissions, log access where available, and review permissions periodically. Include vendor personnel in the review: ask who can access customer material and how that access is approved and audited.
Avoid putting payment-card details or other sensitive information into a voice workflow unless you have established the vendor chain and the applicable payment-security scope. Shopify identifies itself as Level 1 PCI DSS compliant and reports SOC 2 Type II and SOC 3 reports for its own services. Those statements do not certify every third-party app, voice-AI provider, or integration in a merchant’s workflow.
Assess recording requirements by jurisdiction and interaction
There is no single recording rule that can be safely applied to every Shopify voice workflow. Identify the jurisdictions relevant to the customer and interaction, and distinguish inbound support from outbound sales or telemarketing. The FTC’s telemarketing guidance says state laws vary on recording telephone conversations and consent requirements, but that guidance is not a complete legal survey and does not settle every customer-service, online, or voice-AI scenario.
Have qualified counsel assess the actual locations, channel, purpose, and notice or consent approach. Shopify’s privacy guidance is informational; using Shopify by itself does not guarantee compliance with privacy laws such as the GDPR.

Use a consistent checklist when evaluating voice-AI services. These are evaluation questions, not claims that any particular provider has passed an audit or been tested.
