Tell the client in writing what your new rate is and when it will apply. Give one brief, truthful reason tied to the work, and check your agreement before naming an effective date. If the client cannot meet the new price, offer a smaller scope or different service level rather than the same work at the old rate.
Choose a rate and date you can support
Calculate your rate from your own work
Base the new rate on your current business needs, expenses, available capacity, the scope you handle and any relevant platform fees. There is no evidence-based percentage that fits every freelancer and client, so avoid treating an online range or example as a universal benchmark. Check the existing terms first
Review the contract, renewal date, purchase order or retainer terms for rate-change and notice provisions before you announce a date. Those agreed terms may determine when a change can take effect; general advice about notice does not supersede them. If you are unsure how a particular agreement applies, get advice appropriate to your jurisdiction.
Give a short, concrete explanation
Connect the increase to a real change in the work: broader responsibilities, relevant expertise you now bring, or a documented result you can substantiate. For example: “The project now includes deployment support and release planning, so new work from [date] will be billed at [new rate].” Use an outcome only if you can support it and reasonably attribute it to your contribution. You do not need to write a long defense of your price.

Do not imply that a client’s results have improved unless you have evidence. A statement such as “my rates reflect the increased value I offer” appears in Heather Hudson’s sample template in Awkward Conversations; it is sample wording, not proof that your particular client received increased value: Heather Hudson’s rate-change guidance.
Send the rate change as a clear written notice
Name the new rate, its pricing unit, and the date it applies. If useful, identify the current terms you will continue to honor, but only if that matches your agreement. Invite the client to discuss priorities for upcoming work.

Keep the note direct and courteous. Include an invitation to plan the next engagement rather than making the client guess what happens next.

Handle existing projects and client objections
Do not change a fixed quote mid-project without a scope reason
For work already quoted or covered by an agreement, follow the agreed terms. If the client asks for additional deliverables, discuss the added scope and its budget separately. Otherwise, apply the new rate to a future project, renewal, or other billing boundary the client agrees to.
Find out what is behind the pushback
Ask whether the issue is the total budget, the timing of the change, or the amount of work. Set your minimum acceptable arrangement before negotiating, then offer a real choice: fewer features, fewer hours or meetings, a reduced support level, or a later start date if that works for your business. If the budget stays fixed, do not quietly promise the same work for the old price.

Use platform-specific rate settings only where they apply
Upwork offers a scheduled rate-increase feature for eligible hourly contracts. Its help documentation says, “Scheduling a rate increase is optional for you and your client.” The increase must be proposed when the contract starts; it cannot be added to an existing contract. Once both parties agree, that scheduled increase is permanent for the contract’s duration, and a new contract is needed to negotiate a different rate. See Upwork’s help page on scheduling a rate increase. These rules are specific to the platform and contract types it identifies; they do not set terms for work arranged elsewhere.
