Ordinary notes are not a purpose-built password vault, and a note app’s sync or device security does not automatically mean every note is encrypted end to end. Use a dedicated password manager to create and keep a different password for each account, and enable multifactor authentication (MFA) where available. A note locked with a specific encryption feature can be a limited fallback, but verify exactly what is protected and how you would recover access.
Why a regular note is a poor place for passwords
A password written in an ordinary note may be exposed if someone gains access to the device or the account that syncs the note. CISA warns that an attacker with access to a device can read, alter, steal, or deny access to data that is not encrypted. Device encryption helps protect data at rest, but it does not make every synced note an end-to-end encrypted vault. CISA’s device data guidance explains the risk.
Notes apps also do not necessarily provide the safeguards designed around login credentials. NIST’s current SP 800-63B-4, published in July 2025, says users may use password managers to select secure passwords and maintain distinct passwords for each service. Unique passwords reduce the chance that a password exposed in one breach can be reused to break into another account. NIST SP 800-63B-4 describes this approach; NIST’s FAQ says password managers offer greater security and convenience for using passwords to access online services. NIST FAQ
What note-app locks do—and do not—protect
Do not treat a lock icon, device passcode, or account sign-in as proof that all note contents are protected in the same way. Encryption features differ by app, and may apply only to notes or sections that you explicitly lock. Sharing, backups, synced devices, and access to the underlying account are separate parts of the threat picture.

Apple Notes
Apple documents end-to-end encryption for secure notes protected with a user-provided passphrase. Its security documentation specifies PBKDF2 with SHA-256 for key derivation and AES-GCM for the note and supported attachments. This protection applies to secure notes that are locked; it does not mean every item in Notes is a protected password vault. Check that the specific note is locked and understand the passphrase and recovery implications. Apple’s security documentation
Google Keep
Google says Keep processes note content for features such as handwriting recognition, categorization, and search, and that uploaded files are stored securely in its data centers. The cited privacy guidance does not describe Keep notes as an end-to-end encrypted password vault. Secure storage in a service’s data centers is not the same claim as end-to-end encryption. OneNote
Microsoft’s cited instructions cover OneNote for Windows 10, a version whose support ended in October 2025. In that version, password protection encrypts sections, not entire notebooks. Locked sections are omitted from search, and Microsoft warns that a forgotten section password may make the notes unrecoverable. Because those instructions concern a legacy app, check current documentation for the OneNote version you use rather than following old steps by assumption. Microsoft’s OneNote support page

A locked note may protect its contents, but it does not provide all the credential-specific functions of a password manager. NIST’s recommendation is especially useful where the same person has many accounts: a manager can help maintain distinct passwords rather than encouraging reuse. Product features and recovery procedures vary, so check them for the manager you choose.

How to move passwords out of notes safely
- Choose and set up a password manager. Confirm it can generate and store distinct passwords and supports MFA. Read how its master password and account recovery work before importing anything.
- Secure the manager account. Use a long master passphrase and turn on MFA where supported. NIST advises a long master passphrase and MFA where available; CISA also recommends enabling available security features for password managers. NIST FAQ · CISA StopRansomware Guide
- Replace reused passwords. Change passwords that appear in multiple places, starting with email, financial, and administrator accounts. Enable MFA on those accounts where it is available.
- Verify the replacement before deleting notes. Confirm that you can sign in to the manager and retrieve the credentials you moved. Store recovery information securely so a forgotten master password does not lock you out.
- Check every copy of the old note. If you used a locked note, verify that it was actually locked. Consider which synced devices, shared users, and backups may still have access, then remove credentials from ordinary notes after the replacement vault works.
- Follow workplace rules for work credentials. Do not move employer passwords into a personal notes app or manager if your organization’s policy specifies an approved method. CISA stresses following corporate policies for work-related data.
When is a locked note an acceptable fallback?
A locked, encrypted note is better than an ordinary note only when the app’s documented protection applies to that particular note or section and you can manage its password safely. It may suit a small, temporary need, but it is less suited to maintaining many distinct credentials, and forgotten note passwords can create a recovery problem. For regular account use, a dedicated manager is the better fit.
