An automatic job application tracker can log some applications for you, but it will not reliably capture every submission on every job site. Use one spreadsheet or tracker as your master record, check each automatic entry after applying, and manually add anything the tool misses. That gives you a dependable list of where you applied, what stage each application is at, and what to do next.
Set up one master application record
Choose a single place to track every application: a spreadsheet, a dedicated tracker dashboard, or a job-board account supplemented by a cross-site log. Avoid keeping separate, incomplete lists in email, browser bookmarks, and multiple apps.
For each application, record the employer, job title, application date, job link or source, current status, and next action. Add notes such as a recruiter’s name, interview details, or a stated decision date when they will help you follow up. Location and salary can be useful but are not essential to basic tracking.
Check what the automatic tool actually captures
Before you rely on a browser extension or tracker, check its supported job boards, applicant tracking systems, and submission routes. For example, a Chrome Web Store listing updated September 22, 2026 describes logging LinkedIn Easy Apply, Workday, and confirmed Greenhouse submissions; it also says LinkedIn Easy Apply detection requires English. Those are claims about that listed product, not a guarantee that other tools support those sites or that every application through them will be captured.

Applications can leave a job board for an employer’s own site or another system. A tracker may not recognize that route, and products differ in which submission events they detect. Check the tool’s current compatibility information and verify that an application appears in your own record.
Verify each submission and fill in gaps
- Apply through the route you intend to use. Note the employer, role, and date in case the tool does not capture the submission.
- Check the tracker after submitting. Confirm that the correct job was added and that its date, link, and other available details are accurate.
- Add missing applications manually. Include applications submitted through unsupported sites, redirected forms, or any route that did not create a record. OwlApply, for example, describes automatic additions for applications made with its autofill and manual additions for other applications; this is a product-specific workflow, not a universal feature.
- Set the current status and next action. If there is nothing to do yet, record a decision date or leave a reminder to check back rather than inventing an update.
Use a simple status pipeline
Pick a small set of labels that fits your job search—for example, Applied, Screening, Interview, Offer, Rejected, and Withdrawn. These are practical choices, not an industry standard: trackers use overlapping but non-identical labels. Keep your own labels consistent, and add the date or context when a change matters, such as “Interview scheduled, Oct. 12.”

Turn the tracker into a follow-up system
A list of past submissions is less useful than a list that tells you what to do next. For each active application, add an action and due date when appropriate: follow up, prepare for an interview, send a thank-you note, or wait until the employer’s stated decision date. Dedicated software may provide reminders; with a spreadsheet, create calendar tasks or review the sheet on a regular schedule.
Update a status when you receive a message or another event gives you new information. Do not treat silence as a confirmed rejection. A MassHire Boston Career Center presentation points job seekers to Indeed My Jobs and a section labeled “Track your applications.” That makes Indeed’s page a useful place to check Indeed-related activity, not evidence that it records applications submitted on every external site. The presentation also advises focusing on carefully screened, high-quality applications rather than quantity.

Choose a tool by its coverage, controls, and data handling
Compare tools on the details that determine whether their records will be useful and trustworthy:
- Supported sites and submission events: Look for the specific boards, employer systems, and application actions the tool says it detects.
- Manual entry: Check how to add applications made outside the tool or through a route it does not support.
- Record fields and history: Confirm it stores the details you need, such as job link, status, notes, and status changes.
- Reminders and export: Check whether reminders are built in and whether you can export or otherwise retain your records.
- Permissions and storage: Review what the extension can access, where the data is stored, and how to delete it.
- Email access: Find out whether connecting email is optional or required and whether messages are scanned.
For example, the Chrome Web Store listing says its extension reads the job page being applied on and uses Google Sheets and Drive APIs. The Job Application Tracker Google Sheets vendor describes an optional Gmail script. These are vendors’ descriptions, not independent security audits; inspect the current permissions and privacy terms before connecting accounts. A spreadsheet workflow can give you an editable record in the vendor’s described setup, while a dedicated dashboard may offer reminders and a visual pipeline. Neither approach establishes reliable coverage of every application site.
