Set a verified baseline and target, define what your team controls, cost the full service scope, then choose a predictable fee structure with clear review and change rules. Technical SLA results help show whether you delivered the service; by themselves, they do not prove business value.
1. Agree on the business result before discussing the price
Start with the client’s business problem, not a broad promise such as “better IT.” Find out what the problem costs or obstructs, who experiences it, and what a meaningful improvement would look like to the client. Possible outcomes to validate together include fewer business interruptions, stronger recovery readiness, or a more reliable employee-onboarding process. These are examples, not universal MSP performance measures.
Gartner’s February 17, 2026 research abstract describes rising pressure on IT service leaders to align contracts with business outcomes, innovation, and cost objectives. That is a reason to make the intended result explicit—not evidence that every IT benefit can be attributed to the provider.
Turn the desired result into a testable statement
Write down the result in terms that both parties can observe. For example, a client might want to reduce disruption to a named business process. The parties would still need to decide what counts as a disruption, which records establish it, and what comparison period is fair. Do not promise a target until the starting condition, measurement method, and factors outside the MSP’s control are understood.

2. Set the baseline and measurement rules
An outcome fee is only as credible as its baseline. Agree on the existing condition before service begins or before a renewal measurement period starts. Record the source of truth, calculation method, target, measurement window, reporting interval, exclusions, and who is responsible for supplying or validating the data.
Put these items in the measurement agreement
- Outcome and baseline: Define the business result, the starting value or condition, and how the target will be compared with it.
- Data and access: Name the systems or records used, identify who can access them, and specify how either party can verify reported figures.
- Measurement window: State when measurement begins, how often it is reported, and when the parties review results.
- Exclusions and dependencies: Identify client decisions, staff actions, business changes, third-party services, and external events that can affect the result.
- Scope and active use: Define the services and users covered, how active use is validated, and how scope reductions or additions affect billing.
- Disputes and changes: Explain how disputed data is checked, how changes to the environment are handled, and when a review can adjust the commercial terms.
IDC’s 2026 article on sharing efficiency gains recommends transparent data, audit rights, and billing tied to verified active use. It also reports a projection that 30% of service-provider contracts will be outcome-based by 2029; that is a forecast, not an observed result. IDC’s broader point is useful for contract design: an outcome claim should be auditable, not merely asserted.

3. Separate service delivery from realized business value
Use technical service measures to manage delivery and identify problems, but do not treat them as a substitute for the client’s business result. IDC’s 2026 article puts the distinction plainly: “An MSP can meet every SLA target and still fail to deliver real business value.” For example, meeting a response-time commitment does not alone establish that business interruption fell.
Document the control boundary. The MSP may control its staffing, response process, configuration work, or reporting, while the realized result can also depend on client approvals, employee behavior, business changes, vendor availability, and events outside either party’s control. Decide how those dependencies affect measurement and any variable fee. There is no universal allocation: the parties need rules suited to their service and client, reviewed by qualified counsel for the applicable jurisdiction.

4. Cost the scope before setting the fee
Outcome alignment does not remove delivery costs. Build a service-cost view that reflects the work actually promised, then choose a fee that can cover that work through normal variation. Include labor and service management, tools and third-party costs, security and compliance requirements, coverage hours, onboarding, the condition of the client’s environment, and an appropriate contingency for uncertainty.
Make inclusions and change triggers explicit
List what recurring service includes and what it does not. Separate project work, exceptional remediation, and overages from the recurring managed service unless the parties intentionally include them. Define when changes in users, devices, locations, risk, or required coverage trigger a scope review and repricing. A flat fee can make client budgeting easier, but unforeseen work or a growing scope can raise the provider’s costs if change controls are vague.

Best IT MSP’s 2026 survey identifies security and compliance scope, 24/7 versus business-hours coverage, environment age, and onboarding as quote drivers. Its reported average onboarding fee for a 25-seat business was $1,200; that is a survey average, not a required fee or a universal onboarding price. Define the onboarding work separately so a one-time transition effort does not silently distort the recurring service price.

Choose a pricing wrapper that clients can understand and your team can administer. Compare predictability, connection to the agreed result, cost recovery, data verifiability, exposure to scope drift, and the effort required to explain and manage the contract. The structures below can be combined; none makes measurement or attribution problems disappear.

Survey mixes show how providers report structuring fees, not which model will suit a particular contract:
- Best IT MSP’s survey of 412 providers and buyers in the United States and Canada, fielded in May 2026, found 63% primarily priced per user, 24% per device, and 13% using tiered or flat fees. These are USD-market survey findings, with Canadian responses converted at survey-period rates; they do not describe the entire market.
- Kaseya’s guide summarizes its separate 2023 Global MSP Benchmark Survey: 26% combined per-user and per-device pricing, 21% used per-user all-in, 14% fixed/value-based subscriptions, 13% per-device, 12% a-la-carte, and 10% tiered bundles. This is a different survey and year from Best IT MSP’s 2026 figures.
6. Use market benchmarks as a sense check, not a rate card
If a prospect asks, “what should managed IT cost?” or “How much do managed IT services cost per user in 2026?”, benchmarks can help frame the conversation. They cannot price your specific service without its scope, coverage, client environment, and delivery economics.

Use those figures to prompt questions about what is included, rather than to copy a competitor’s presumed price. Confirm whether support hours, security and compliance work, onboarding, and the client’s existing environment resemble the scope you are quoting. The Best IT MSP survey’s country coverage and self-reported method limit how broadly its numbers should be applied.
7. Put the commercial rules and review cadence in writing
The contract should connect the promised services, measurement method, and fee mechanics in one coherent arrangement. Include definitions for the outcome and baseline; the source of truth and reporting access; measurement windows; exclusions and dependencies; the MSP’s control boundary; audit and verification rights; scope and active-use validation; and a regular review date.

Define how changes in client scope, usage, or risk affect the fee and who can initiate a review. IDC recommends building business outcomes into contracts, independently verifying usage, and creating scope-reduction mechanisms. The legal language should be reviewed by counsel familiar with the governing jurisdiction; no single clause is suitable for every MSP engagement.
