A webinar is an online presentation for an audience, usually led by one or more presenters to inform or teach. It can happen live, be recorded for replay, or be made available on demand. Attendees typically watch and listen, with opportunities to take part through features such as Q&A, chat, or polls when the host enables them.

How does a webinar work?

The host sets up the event, decides whether registration and other audience controls are needed, and shares an invitation or registration link. Attendees register if required and receive instructions for joining. At the scheduled time, they join from a supported device and internet connection, then watch the presenter’s live audio, video, or shared materials.

Depending on the event settings, attendees may submit questions, use chat, or answer polls. The host may review attendance or other event reports afterward and share a recording if the platform and configuration support it.

What happens when you attend a webinar?

  1. Open the invitation. Follow the event link and register if the host requires it.
  2. Check the joining details. Use the instructions provided for the event, including its scheduled time.
  3. Join on a supported device. A desktop or mobile device may be suitable; requirements depend on the platform.
  4. Watch and listen. The presenter may speak, show video, or share slides and other materials.
  5. Participate using the available controls. The host may enable Q&A, chat, polls, or other ways to engage. Attendee camera and microphone permissions can be limited.

A dedicated webcam or microphone is not a universal requirement for attendees. Zoom describes a webcam and microphone connected to the presenter’s device as typical presenter inputs, while attendees may join on desktop or mobile devices (Zoom).

How is a webinar different from an online meeting?

A meeting is usually organized as a group conversation; a webinar is usually a presenter-led event with audience participation managed by the host. In a webinar, attendees may have fewer permissions to turn on their cameras or microphones, while presenters or panelists lead the session. This is a common distinction rather than a strict technical boundary: the exact controls depend on the platform and how the event is configured.

Do you have to attend a webinar live?

No. A host may provide a recording for later replay or offer on-demand access. Availability depends on the platform, event setup, and host’s choices.

Live webinars

A live webinar takes place at a scheduled time. Attendees watch the session as it happens and may use any interaction controls the host has enabled.

Recorded or on-demand webinars

A recording lets people watch after the live event. Zoom’s documented on-demand setup requires registration and automatic cloud recording for a scheduled webinar; registration may stay open afterward so later registrants can access the recording. Zoom states that this feature requires a licensed user with the Webinars add-on. Check Zoom’s current eligibility and setup details before relying on this option (Zoom Support: Using on-demand webinars).

Simulive webinars

Zoom also documents a simulive format: a previously recorded session is presented while hosts or panelists can interact with attendees through live chat and Q&A. This is a Zoom-specific offering, not a feature to assume every webinar service provides (Zoom Support).

  • Registration and access: Decide whether registration is required and how attendees will receive joining information.
  • Audience roles and controls: Check which roles can present, speak, use cameras, or manage attendees.
  • Interaction: Confirm whether Q&A, chat, and polls are available and enabled for the event.
  • Recording and replay: Check whether recording is supported, whether it is automatic or manual, and how attendees will access it.
  • Plan and configuration: Verify whether a feature depends on a paid plan, add-on, region, or event type. Capabilities and limits vary by provider and can change.
