Prepare accessible materials and accommodations, rehearse the production, and let a moderator manage questions and platform controls while the presenter focuses on speaking. The right event format also depends on how many people need to participate and how interactive the session should be.
Plan engagement around the audience and the goal
Start with what attendees should learn or do, then choose interaction that helps them get there. A poll can surface opinions or check understanding; a chat prompt can invite a brief response; Q&A can identify concerns to address; and a resource link can help attendees take the next step. Avoid activity that interrupts the subject without adding value.
Zoom’s current webinar guidance suggests planning an interaction trigger every 8–10 minutes. Its January 2020 guide suggested intervals around five minutes. These are vendor planning examples, not a universal, evidence-based cadence. Use them to prompt agenda planning, then adjust to the content, audience, and session length. Zoom’s during-event guide
Zoom also attributes figures of 40% active participation and below 20% actual chat-and-poll engagement to its 2026 Webinar Audience Behavior Report. Those figures are Zoom’s, and the underlying report was not independently reviewed; they should not be treated as representative of every webinar. They do reinforce a practical point: attendance alone does not mean people have a useful way to participate.

Prepare the event before attendees arrive
Choose a format and platform that fit
Estimate attendance and decide whether people need to speak, use chat, answer polls, raise a hand, or mainly watch and submit questions. Check current platform licensing, tenant policies, and event settings before committing: capabilities can vary by configuration. Also confirm that the platform and materials support the accessibility needs of your audience.
Send useful, accessible information in advance
Share the agenda, objectives, and materials early in accessible formats. Tell attendees how to request accommodations, and arrange captions, interpreters, or alternate ways to participate when needed. If a platform feature presents a barrier, provide another way to access the content or contribute. Section508.gov emphasizes that accessibility should be considered from the beginning of planning, including materials, interaction, and accommodations. Its guidance is especially relevant when attendees may use assistive technology: Accessible Meetings.

Assign clear roles
When staffing allows, separate presenting from moderation and technical production. The presenter can concentrate on delivery while a moderator watches chat and Q&A, and a producer handles slides, polls, recording, and platform controls. Agree in advance on who will read questions, flag urgent issues, and manage handoffs. Zoom recommends distinct roles in its webinar execution guidance.

Rehearse the full sequence and check equipment
Practice speaker handoffs, slide sharing, video playback, polls, Q&A, and recording controls. Rehearse accommodations as well, so captions or interpreters are ready when attendees join. Section508.gov recommends practice when hosts, moderators, or presenters need to learn platform controls or manage accommodations.
- Test microphone, camera, screen sharing, and any video or audio clips before the event.
- Use one audio connection per person in the room to avoid echo.
- Reduce background noise. An optional headset microphone can help with clear audio.
- A wired network connection can support a more reliable recording setup; check the connection and webcam before starting.
- Keep accessible copies of slides or other materials available to attendees who cannot use the shared screen.

Facilitate participation during the live session
Welcome early arrivals, then start with purpose
Open the room early if practical. Welcome attendees with context or a simple warm-up prompt, such as asking what they hope to learn. Once the session begins, lead with a useful hook and keep housekeeping brief. Zoom’s January 2020 guide recommends engaging people before the formal start; treat this as dated vendor advice rather than current interface documentation: Zoom Online Event Best Practices Guide.
Vary interaction and keep it relevant
Use a mix of participation methods instead of relying on one feature throughout. Ask a poll question when the answer will shape the explanation, invite a concise chat response, pause for questions after a key idea, or share a relevant resource when attendees can use it. Explain how to participate before asking, and allow enough time to respond.
Monitor questions throughout
Have the moderator review Q&A and chat while the presentation is underway. Group related questions, flag themes for the speaker, and clarify whether unanswered questions will be addressed later. Reading a useful comment or question aloud can give people who cannot see the screen context for the discussion.

Make spoken and visual content accessible
Describe important visual information aloud rather than relying on a slide or chart alone. Use plain language, provide captions, and keep shared documents accessible. Where a platform feature is difficult for some attendees to use, offer an alternative way to follow along or contribute. Section508.gov’s meeting guidance and Microsoft’s event playbook provide practical accessibility considerations.
End with a concrete next step
Close by telling attendees what they can do next, such as consult a named resource, complete a task, or join a follow-up session. If slides or a recording will be shared, explain how and when attendees can access them instead of leaving the follow-up uncertain.

Review the questions that came in, note where attendees needed clarification, and consider feedback when adjusting the next session’s pacing or interaction. If you distribute a recording, make it accessible with captions and a transcript or another accessible playback option. Choose a format that supports the interaction you need
Compare event options by attendee capacity, participation features, accessibility, moderation and production needs, and recording or follow-up support. Microsoft Teams illustrates the trade-off between scale and interaction in its documented event configurations:
