Then decide ahead of time how recording and follow-up will work.
Choose a format that fits the learning goal
Start with what attendees should be able to understand or do afterward. A lecture-style webinar with Q&A and polls can work well when extensive hands-on learning is not essential. If participants need small-group discussion or practice, a virtual workshop may be a better fit. Cochrane’s 2020 guidance distinguishes these formats and recommends balancing audience needs and objectives with reach, resources, and sustainability.
Choose a platform based on the tasks the event requires: registration and administration, presenter-attendee interaction, audience capacity, accessibility, recording, and compatibility with the presenters’ setup. Capacity and available features can depend on the platform’s current license; confirm them before promising a registration limit. The cited guidance does not establish one best platform or current cross-vendor prices.
Set a realistic session length
Cochrane’s 2020 guidance gives 60 minutes as a typical webinar duration and 60–90 minutes for a virtual workshop. These are planning examples, not requirements: allow enough time for the objective, interaction, and questions without making the session longer by default.

Plan the event and open registration
Set the topic, date, format, presenter lineup, and responsibilities early. Ask each presenter for an event description, biography, slides, and planned polls or other activities. Share the schedule and participation instructions with attendees so they know what to expect and how to contribute.
Cochrane recommends opening registration 6–8 weeks before the session to allow time for promotion and sign-ups. Treat this as a suggested lead time, not a universal deadline. Promote through channels relevant to the intended audience, check that the event time is clear across time zones, and send registrants a reminder the day before.

Give production clear owners
Do not make the presenter responsible for speaking, watching questions, advancing slides, and fixing technical issues at once. Assign distinct responsibilities and identify a backup who can help if something goes wrong.
- Presenter: Delivers the session and leads its content.
- Moderator: Monitors and organizes audience questions, chat, or polls, and flags questions for the presenter.
- Technical operator: Manages the event controls, materials, transitions, and troubleshooting.
Agree on a private real-time communication method for the event team and decide how the moderator will signal the presenter. Microsoft’s current guidance for large meetings and events advises having more than one person in the event group, assigning responsibilities, and planning team communications: Microsoft Support.

Rehearse the whole event, not just the connection
A platform check alone will not reveal problems with handoffs, materials, or audience participation. Run through the event in sequence with the actual presenters and production team. Microsoft’s official advice is simple: “Most importantly, practice.” Its cited live-event page describes a legacy Teams live-event workflow, so use it as general production advice rather than current setup instructions. Microsoft states that the Teams live event experience retired on June 30, 2026, and points users toward Teams town halls for newer event features. Check Microsoft’s current webinar and town hall documentation and your organization’s tenant availability before choosing a Teams workflow.
- Test each presenter’s audio and video. Confirm that the right microphone and camera are selected and that speech is intelligible. Test room audio and online audio separately when the event has both in-room and remote participants.
- Practice the transitions. Rehearse introductions, presenter handoffs, slide sharing, polls, Q&A, breaks, and the close. Verify that each person knows when to speak or take control.
- Check the actual materials. Open the presentation and any linked content on the computer and account that will be used live. Confirm that text is readable and that planned polls or audience prompts work.
- Test the audience experience. Have someone join as an attendee and verify the registration or joining route, sound, video, captions or accessibility features you plan to use, and participation controls.
- Agree on a contingency. Decide who handles a failed presentation link, presenter disconnection, or audio problem. A secondary internet connection such as a mobile hotspot can be a useful backup, as Microsoft’s event guidance suggests.
Make the audio and picture easy to follow
Prioritize clear speech: attendees may listen while doing other tasks, and poor audio can make otherwise good content hard to use. Test the microphone in the actual room and speaking position. A headset or external microphone can help, but the right choice depends on the room and existing equipment; a branded headset is not a universal requirement.

Check that the presenter is well lit and framed clearly. Avoid a bright window behind the speaker, and ensure the camera shows a stable, uncluttered view. Microsoft’s presenter guidance suggests an external microphone and says frequent presenters may consider a stand-alone LED light; those are options, not prerequisites for every webinar.

Explain at the start how people can ask questions or take part in polls. Have the moderator watch for contributions and group or prioritize questions so the presenter can stay focused on delivery.

Plan interaction into the agenda rather than waiting until the end. Cochrane’s 2020 guidance recommends avoiding presentation stretches longer than 15–20 minutes without an interactive break, such as a poll or Q&A. Use the format that suits the session: a short question, poll, or discussion prompt can reset attention without disrupting the learning goal.
Decide recording and follow-up before going live
Choose whether to record and what attendees should be told about recording. Check the platform’s current recording controls, permissions, storage, and access settings before the event; do not assume the recording will be available to everyone automatically.
Cochrane notes that a synchronous session may be recorded for later viewing and recommends planning for a future-proof archive. Decide where the recording and related materials will live, who can access them, and how attendees will receive the link or follow-up resources. There is no universal consent or retention rule established by the cited guidance, so follow the organizer’s applicable policy and jurisdiction.
