Start with one real task learners need to complete, then make a focused, accessible clip that helps them do it at the moment the question arises. There is no evidence-based ideal runtime: the right length is the time needed to explain the task clearly without unrelated material.
What makes a video just-in-time training?
A just-in-time training video is a practical aid for a specific question, decision, or procedure that comes up during work. Its purpose is to help someone take the next step—not to cover an entire subject or replace every form of training.
For example, a clip might show employees how to complete one software action or demonstrate a specific physical procedure. The University of South Carolina’s Digital Accessibility Microlearning Series offers practical sessions on discrete subjects such as captioning and transcription; its page describes 30-minute webinars, but that example does not establish an ideal runtime for video.

Choose a point-of-need task
Identify a recurring question, decision, or procedure for which a learner needs help while working. Write one outcome in action terms: “After watching, the employee can…” Keep the outcome narrow enough to verify by observing the task.

Limit the video to the next action
Arrange the explanation around the task and its steps. For software, show the relevant screen state and the action to take. For a physical task, frame the important action clearly. Leave out background that does not help the viewer act.

Plan the narration and visuals together
Write a concise script or outline before recording. Use clear speech separated from background noise, explain visual information that matters to the task, and avoid unexplained jargon, acronyms, and idioms. Use readable, high-contrast on-screen text and avoid flashing content. If an essential visual detail cannot be conveyed in the narration, plan audio description or a described alternative. Keep important text out of the lower part of the frame where captions may appear.

Record and edit for comprehension
Make the demonstration legible and the audio understandable. Speak at a pace that gives viewers time to follow the action and read captions. Section508.gov says speech above 180 words per minute may be too fast for captions; this is a caption-readability guideline, not a universal speaking-rate target. Review the finished video for unclear steps, distracting material, and text or controls that are difficult to see.

Create and review captions
For prerecorded media with audio, captions are synchronized text for dialogue and important sounds. Automatic captions can provide a draft, but they need human review. Check synchronization, names, spelling, punctuation, grammar, meaningful non-speech audio, and logical line breaks. Section508.gov recommends no more than two lines at once and no more than 45 characters per line, with fewer preferred. These are its caption guidance recommendations, not a guarantee that captions will be readable in every context.

Provide a transcript and equivalent visual information
Link a transcript beside the video so learners can scan or search instead of watching. Include spoken content, on-screen text, and key visual information not already explained in the narration. When the main narration cannot convey important visual information, consider audio description or an alternate described version. See Digital.gov’s accessibility guidance for content designers.

Publish accessibly and check the task outcome
Use a player that supports captions and keyboard operation, and make caption and audio-description controls available where applicable. Avoid autoplay. Then check the published clip and transcript where employees will actually look for them, and confirm that a learner can complete the intended task after using the material. Section508.gov’s synchronized-media guidance describes playback-control considerations; the UK Home Office audio and video guidance covers clear speech, descriptive narration, readable text, transcripts, and accessible playback.

Accessibility decisions affect the script, framing, editing, and publishing setup, so plan them before recording rather than treating them as a final captioning task. Use this check before release:

The accessibility guidance supports evaluating how well a platform serves learners; it does not establish a best vendor or compare named products. If you are choosing among options, check the actual learner workflow and compare:
- How captions are created, edited, and synchronized.
- Whether transcripts can be attached and found beside the clip.
- Whether the player supports keyboard use, caption controls, and audio description where needed.
- Whether autoplay can be avoided.
- How easily a clip and its transcript can be updated when a process changes.
- Whether staff can retrieve the material at the point of need.
Requirements vary by jurisdiction and organization. Section508.gov describes U.S. federal accessibility requirements; the UK Home Office page is design guidance. Confirm the rules that apply to your organization and audience.
